Once you've customized your template, here's how to present a PowerPoint on Google Meet:

1. Open the PPT file

To begin, locate the PowerPoint file on your PC that you want to share on Google Meet and open it.

2. Log Into Your Google Account

You won't be able to use Google Meet unless you're logged into your Google account. So, the next step is to make sure that your Google account is logged in.

3. Create a Meeting

Create a meeting.

Open a browser and go to https://meet.google.com/ . Click on the blue New Meeting button in left of the screen.

  • Create a meeting for later
  • Start an instant meeting
  • Schedule in Google Calendar

Click on Start an Instant meeting to start a meeting. A  popup displays asking for access to your camera and microphone.

Click Allow to give Meet access to your camera and microphone. 

4. Start Your Meeting

Now that you've started a meeting. In the left upper corner, a popup window gives you a link that you can use to add others to your Google Meet session.

Click the icon in the left of the gray bar to copy the link and email to the people you want to invite to your meeting. Or add others to the meeting by using the blue button.

If you don't want people don’t see you, click the Camera button on the bottom of the screen.

5. Give Your Presentation 

Present Now

On the bottom of the screen, click on the Present now button. When you click on this button, a menu will pop up. In this menu, you've got three options:

  • Your entire screen . Shows your entire screen in the meeting window.
  • A window . Allows you to select a single window to share Google Meet.
  • A tab . Share a selected tab with the meeting. 

Choose the best option for you. I recommend clicking on the A window option to share the window where you've got your presentation open. When you choose this option, a window pops up that gives you an option to choose from your open windows.

Once you’ve selected the window where your presentation is, click on the Share button on the bottom of the window.

6. Start Your Presentation

On your open presentation, click Slideshow from the menu bar. Then click From Beginning . Click through the slides at your own pace. If your microphone is turned on, you can talk about each slide. 

You're now sharing your PowerPoint presentation in Google Meet.

7. End the Meeting

To end your Google Meet presentation , click on the Stop Presenting button in the top right corner. When you click on this button, you’ll stop sharing your window, but you’ll still be in Google Meet. To leave the meeting, click on the Leave Call button.

Presenting a document in Google Meet has never been easier. You'll notice a handy button at the top of your Google Docs, Sheets, or Slides menu that lets you present your document directly to your meeting participants in Google Meet.

You have three convenient ways to present the document. You can open the document in a new tab for an active meeting, click a scheduled Google Calendar event, or enter a meeting code or link.

At the time of writing in July 2021, the feature is only available when using Google Chrome.

If you've already joined your Google Meet meeting, presenting your Google Docs, Sheets, or Slides document is simple.

Open Docs, Sheets, or Slides in a new Google Chrome tab and navigate to the document you want to present.

On the top right of the screen, next to the Share button, click the icon for "Present to a Meeting" (a box around an up arrow). You should see your current active meeting appear in the drop-down box. Click "Present Tab to Meeting."

In the subsequent pop-up window, make sure "This Tab" is selected and displays your document. Select the tab content to highlight it and click "Share."

Pop over to your Google Meet tab and you should then see the document you're presenting simultaneously with your meeting participants .

Present With a Scheduled Google Calendar Event

If the meeting organizer scheduled the Google Meet in Google Calendar, you can present your document directly to the event.

Open the document and click the "Present to a Meeting" icon (a box around an up arrow). If the meeting hasn't started yet, you'll see the name and time. If it has started, you'll see the name and Now. Click the event.

In the subsequent screen, click "Present Tab to Meeting" and follow the same process as above to select the tab content and hit "Share."

While this option does have you presenting your document, it will not join you to the meeting automatically. You'll need to join your meeting like any other Google Meet and will see your document presented once you do.

Present With a Google Meet Code or Link

If you don't have the Google Meet meeting open and active and also don't have a Google Calendar event for it, you can use the meeting code or link to present your document. This assumes that you've obtained the Google Meet code or meeting link from the organizer.

Open your document, click "Present to a Meeting"(a box around an up arrow), and choose "Present Using a Meeting Code."

Click "Present Tab to Meeting" and follow the same process to select the tab content and click "Share."

Like with the Google Calendar event option above, you'll still need to join the meeting in Google Meet . And again, when you do, you'll see your document being presented.

Stop Presenting Your Document

When you join a Google Meet and present your document, you'll see a note of this at the top of the meeting screen. So, when you're done presenting the document, click "Stop" in that message.

Alternatively, you can go to your document tab in Chrome, click the "Present to a Meeting" icon again, and then click "Stop Presenting Tab."

Presenting Google Slides in-person is straightforward, but doing it online can be a bit trickier. Since most meetings now happen online, knowing how to use Google Slides in Google Meet is key for effective presentations.

In this article, we’ll cover everything you need to know to ace your Google Slides presentation on Google Meet. Keep reading to find out how.

How to Present Your Google Slides at the Start of the Meeting

Before joining the Google Meet meeting, ensure you're using the Chrome browser and are logged into your Google account.

  • Open your Google Slides presentation in a separate tab or window.

If you’re the host, make sure to create a new Google Meet meeting before starting your presentation.

To avoid the infinity mirror effect, you can open both Google Slides and Google Meet in separate windows. However, if you have a large monitor, you can open both windows side-by-side.

If the window is minimized, it won’t be available as part of the window options. So ensure it’s maximized in the background.

When you hide the mini-popup, it gets minimized as a Chrome window. To reveal it, click on the Chrome icon in your toolbar.

Presenting a window is very helpful if you have multiple tabs (with slides, a YouTube video, etc.) you want to share with your audience, and you want to seamlessly navigate between them.

How to Present Your Google Slides in the Middle of a Meeting

In some scenarios, you won’t be presenting your slides right at the start of the meeting. In that case, here’s what to do.

  • Ensure your Google Slides presentation is open in a Chrome tab before joining the meeting.

To view your notes (or conduct a Q&A), click the drop-down arrow beside the Slideshow button and select Presenter view .

You have the option to make yourself visible to the audience when presenting. If your camera is switched on, both your video and presentation will be seen. Turning off your camera will show only your presentation and hide you on Google Meet. When the camera icon at the bottom of your screen is red, it means that your camera is off.

Can you speak during your PowerPoint presentation?

Google Meet gives you the option to speak and explain your slides during a presentation. All you have to do is unmute your microphone. To do this, tap the microphone icon at the bottom of your Google Meet screen.

Will ending the presentation end the meeting?

No, once you stop the presentation, the video call will still be active. You would have to exit the Meet to disconnect from the call. However, if you end the call, your presentation will also come to a halt.

How to present Google Slides in Google Meet

In October 2022, Google added the ability for a presenter to display and control a Google Slides presentation directly within the Google Meet interface. This ensures that the slides, presentation controls, participant video images and all other Google Meet tools display and are readily available to the presenter. There’s no need to switch back and forth to a separate window or tab while presenting. This all-in-one display of slides alongside participant video may make it possible to gauge people’s reactions as you present, which can lead to more meaningful conversations.

Additionally, the ability to present Slides in Meet also may be useful when you want to record a presentation to be used later, such as for training purposes. Set your browser full-screen, share your Slides in Meet and record the session. The resulting recorded file shows both your slides and video, side-by-side. For this to work, you’ll need access to an account that supports Meet recording.

The steps below assume that you use Google Chrome on a computer, and that you have already confirmed that audio, video and standard screen presenting are all working as expected. Presenting Slides in Meet as described below is available to people with Google Workspace Business Standard or Plus; Enterprise Essentials, Standard or Plus; Education Standard or Plus; the Teaching and Learning Upgrade; and Nonprofit edition accounts.

How to present to a tab to share Google Slides in Google Meet

Before you present in Google Meet, review your Google Slides for content size. When you present Slides within Google Meet, each slide displays on only a portion of the screen. This is because the browser interface, Meet controls and participant video frames all occupy space. Adjust the text and images on each slide to be as large as feasible to ensure readability when you present Slides in Google Meet.

Start your Google Meet session in Chrome, then follow these steps to present Slides in your session.

1. In a separate Chrome tab, go to Google Drive (or Google Slides), navigate to your presentation and then open it in Google Slides. You should then have at least two tabs open: One for Google Meet and one for Google Slides ( Figure A ).

Open the "Activities" options on the Google Meet tab and the Slides presentation opened on another tab.

2. Select the present icon, then choose A Tab ( Figure B ).

Select "A Tab" in the Google Meet Present settings.

3. From the displayed list of open tabs, select the tab with your Slides presentation ( Figure C ). If you have any embedded audio or video in your presentation, make sure to check the box by the Share Tab Audio option. Select Share to continue.

4. At this point, Slides displays within Meet for you, but is not yet displayed to meeting participants. Select the Start Slideshow button ( Figure D ) to begin your presentation.

5. Select from one of the following presentation controls ( Figure E ) as desired.

Use the arrow key controls to navigate slides, or click in the slide number box to pick and display any slide.

  • Right or left arrow keys display next or previous slides, respectively.
  • Click on the slide number to either select a slide directly or type in a number to jump to a slide.
  • Select the exit slideshow, which displays on the left of the slideshow controls as an arrow pointing to the right in a box, to pause the slideshow.

To end the presentation, select the Present now icon, then choose the Stop Presenting menu option.

Over the course of the year, almost all of us have gotten acquainted with remote conferences and virtual meetups. With vaccination drive running on all cylinders, we’re expected to attain peace of mind sooner than later. However, that doesn’t mean we’ll go back to the way things were before the pandemic hit. 

Video conferencing and meetings are here to stay, albeit in a less intrusive manner. So, if you’re still struggling to get around in video collaborative platforms, it’s probably best to learn the essentials and be as efficient as possible. 

With that thought in mind, today, we’ll be taking a look at one of the most used video collaborative tools out there — Google Meet — and learn about one of its fundamental features. Today, we’ll tell you how you could use it to present PPT.

What is a PPT or PPTX file? 

Microsoft, with its PowerPoint application, revolutionized meeting presentations. From adding enticing images and fonts to stitching pie charts and graphs — PowerPoint opened new avenues and became the industry standard in a short while. 

A PPT or PPTX file is nothing but a native PowerPoint file. You could either create a PPT file straight from Microsoft Powerpoint or you could use other services — such as Google Docs — to create a PowerPoint-compatible presentation file.

What does ‘Present’ mean in Google Meet? 

Unlike Zoom and Microsoft Teams, Google Meet doesn’t have a dedicated app for desktops — Windows or Mac. It has a web client, which is fully capable of catering to most of your needs.

During meetings, you might have noticed the ‘Present’ button at the bottom-right corner of your screen. This button allows you to share your entire screen, a window, or a tab with the meeting participants. You can even join a meeting only to present and leave when done. 

Google’s very own presentation application, Google Slides, and Microsoft Office’s Powerpoint are compatible with Google Meet. Below, we’ll check out how you could deliver a riveting presentation using the two most popular applications.

How to present present a Google Slide on Google Meet

Now that you know what ‘Present’ means in Google Meet, let’s check out how you could use the feature to present your Google Slides presentation. 

First, go to Slides.Google.com  and click on the file you want to present. Now, open a new tab and load Google Meet . If you have a meeting invite, paste the link in the text field. Else, click on ‘New Meeting’ to get a new session underway. When your Meet room is filled with important attendees, hit the ‘Present now’ button at the bottom-right portion of your screen.

Now, click on ‘A Tab.’

Here, you’ll get a list of tabs that are currently open on that browser. Select the Google Slides tab and click on ‘Share.’

Your Google Slides tab would be shared and you’d be taken to the Google Slides tab. Click on the ‘Present’ button at the top-right corner.

The Slides window would become full-screen, enhancing the experience for the viewers. 

How to present a Powerpoint on Google Meet

If you don’t want to use Google Slides as your go-to presentation application, you can always opt for Microsoft PowerPoint — the one that started it all.

Since Microsoft offers both a web and desktop client, we’ll split the guide into two sections. 

Present with Microsoft PowerPoint online

Similar to the Google Slides guide, we’ll present with the help of tab sharing. First, go to PowerPoint’s Live page  and log in to your Microsoft account. Next, open the file you want to present. Now, jump back to Meet.Google.com and either join an ongoing meeting or start a new one. Then, click on the ‘Present now’ tab at the bottom-right corner.

Select ‘A Tab.’ 

When the list appears, select the Live PowerPoint tab. Click on ‘Share.’

The tab will be shared immediately. Next, jump back onto the PowerPoint page and click on the ‘Present’ button in the top-right corner.

The presentation would go full screen immediately. 

Present with Microsoft PowerPoint desktop

Google Meet also allows you to share from the PowerPoint desktop client. As always, launch the PowerPoint application on your computer and open the presentation you want to showcase. Next, go to Meet.Google.com and join or start a meeting. Now, click on the ‘Present now’ button in the bottom right.

Then, select ‘A Window.’

This section will give you the list of applications that are currently running on your system. Select the PowerPoint window and hit ‘Share.’

Go back to the PowerPoint application and start presenting. That’s it! Meeting attendees would be able to see your presentation in full-screen mode. 

How to stop presenting PPT (stop sharing a tab or window)

Over the last couple of sections, we’ve learned all about sharing a specific window or tab. Now, we’ll check out how you could terminate a sharing session.

Since sharing a window/tab has the potential of taking a toll on your data balance and overall performance, it’s important to stop the transmission as soon as you’re done. Below are a couple of ways to stop transmission immediately.

Stop from Google Meet

Irrespective of whether you’re sharing your entire screen, a tab, or a window, the Google Meet screen would change and show “You’re presenting to everyone.” To stop the presentation, all you have to do is click on ‘Stop Presenting.’

The session would be terminated without further confirmation.

Kill the tab/application window

When you share a tab or an application window, Google Meet only gets access to that particular window, nothing else. If the tabs and windows are closed, the transmission would be terminated automatically.

So, if your Google Meet tab isn’t working as it should and you’re not getting the option to stop sharing directly from Meet, all you have to do is close the source window or tab. The transmission would be killed instantly.

Google Meet PPT Presentation FAQs:

Can you present a ppt file directly.

We have already learned how you could share your Google Sheets or Microsoft PowerPoint presentation on Google Meet. However, that doesn’t mean you can directly share a PPT — Microsoft PowerPoint file — file that you have downloaded to your PC. As of now, no video popular conferencing application allows you to run an external file directly, and Google Meet isn’t an exception.

Can you present from your mobile?

Google Meet’s mobile app doesn’t come with the ‘Present’ button like the web client. However, that doesn’t mean you cannot present a PPT file from your smartphone.

As you may already know, the Google Meet app has a screen sharing feature, which allows you to share your entire mobile screen with everyone in the meeting. With its help, you can simply open a PPT file and share it with the class as originally intended. The only drawback is that it might expose some sensitive information or notifications. Here’s how to present a PPT file from your mobile: 

First, launch the Google Meet app and log in with your username and password. Now, either host a meeting or join one. Once in the meeting, hit the vertical ellipsis button at the bottom-right corner.

Tap on ‘Share screen.’ Google would give you a standard warning, which you have to acknowledge and let the application read/broadcast your screen for a while.

Tap on ‘Start sharing’ to confirm.

Next, open a PPT file and start a slideshow if you wish. The meeting participants would be able to see your screen clearly. 

Can you present when someone else is presenting?

If you’re a part of a big organization, chances are, you’ll have to share your limelight with other people. Standing in queue to present your file isn’t the worst inconvenience, of course, but it can get frustrating if your predecessor is taking forever to close their session.

Google Meet remedies it with one simple feature ‘Present Instead.’ It simply allows you to pause someone else’s presentation to make way for your own. This feature also comes in handy when two presenters need to bounce off each other’s material.

When in a meeting, click on the ‘Present’ button at the bottom right. Choose what you want to present — the entire screen, a tab, or a window — and click on ‘Share.’ Finally, click on ‘Present Instead’ to make your presentation take the center stage.

Why can’t you present a window or tab?

Sharing a tab, window, or the entire screen is straightforward enough on Google Meet. However, some users could end up having a hard time accessing the feature set. Below, we’ll check out why that is. 

You are not using Google Chrome

Google Chrome is the most widely used internet browser on the planet, and Google intends to keep the scales tipped for as long as it can through exclusive features. Meet, which has become the go-to video conferencing solution for many organizations, comes alive only with Google Chrome, giving you access to a bunch of features that no other browser will. And the ability to share a tab or a window is one such exclusive feature. 

So, even if you’re not fond of Google Chrome, you’ll need to download and use it to get the tab or window sharing feature. Else, you could share your entire screen with the class and run Google Slides or Microsoft Powerpoint. 

Chrome doesn’t have permission to share 

Even if you are using Google Chrome, you might not be able to present an application window. This happens predominantly on macOS, but other OSes could also make your life difficult. Usually, Operating Systems take this step to improve your privacy.  So, all you have to do is mark Google Chrome as a trusted application and allow it to record — and share — your screen/application windows. 

When Google Chrome tries and fails to share your application window, it will give you the option to go to ‘System Preferences’ and make the necessary changes.

Click on the hyperlink and allow Google Chrome to open System Preferences. Click on ‘Open System Preferences’ to do so.

Now, hit the lock icon at the bottom left corner and authenticate by entering your Mac’s username and password.

Now, on the left-hand side panel, click on ‘Screen Recording.’

Check ‘Google Chrome.’

This would give Google Chrome permission to record and share your screen. Confirm your action by reloading Google Chrome. Hit ‘Quit and Reopen’ to confirm.

That’s it! You should be able to share separate application windows through Google Chrome on macOS.

How to Present in Google Meet and Still See Participants

Google Meet is one of the forerunners in the video conferencing ecosystem, as one would expect it to be. And quite right too, products from such big companies often spark such expectations. And yet, even though Google Meet is steadily ahead in the race, it’s not winning.

It has been consistently behind its competitors in bringing the features that users most covet. Even an offhanded comparison with it’s biggest competitors, Zoom and Microsoft Teams, would show that it’s been the last to bring features such as virtual backgrounds and tiled view in meetings. These features have persistently been fan favorites, the ones users haven’t been shy in voicing their love for.

Google Meet has now caught up considerably, but it seems like there’s still a long way to go. Even though you can share your screen in meetings that make it possible to deliver presentations or just share content, something essential is sorely missing on Google Meet. And you guessed it right! It’s almost unbelievable that Google Meet doesn’t have the mechanics to also view the meeting participants’ videos while you’re presenting.

Not being able to see other participants’ videos while you’re sharing your screen makes it incredibly difficult, almost impossible even, to connect with students, colleagues, or even friends trying to watch a movie together. Fortunately, the lack of a feature hasn’t stopped anyone before. There are a few ways you can see the participants’ videos while sharing your screen. They might not be as ideal as a built-in functionality, but it’s at least something.

Attach a Second Monitor to your Computer

This has to be the solution that most users find the most convenient in every sense. It’s easy to pull off, and you get to view the presentation as well as the video feeds on full screens. The only requirements are a spare monitor, a cable for the required ports, and the desk space. Many people will find it at home, whether it’s a screen from an old computer or a spare TV screen.

Whether you’re using a laptop or a desktop computer, you can attach a second monitor to it. Most systems have multiple VGA or DVI ports. The easiest perhaps might be using the HDMI port, though. It’s also a better solution. And there’s a good chance your laptop will have it. If not, you could use a USB to HDMI adapter.

Once you connect the second monitor to your system, you want to ensure that the screen is extending, not duplicating. On Windows 10, right-click on the desktop and select ‘Display settings’ from the menu.

The display settings window will open. Scroll down until you find the option for ‘Multiple Displays’.

‘Duplicate these displays’ will be selected by default. Click on it to expand the drop-down menu and select ‘Extend these displays’ from the options.

A confirmation message might appear on your screen asking whether you want to keep these changes, or else the changes will revert back in a few seconds. Click the ‘Keep changes’ button.

Now, when you need to share your screen in Google Meet, remember to do this. If the content you want to share is a Chrome tab, pop it out as a separate window. If it’s already a window, well, you need to perform one less step. Now, drag that window onto the extended monitor. Then, share it from Google Meet.

Now, one of your monitors will have the content you’re sharing, and on the other, you can see the video feeds of other participants.

Use the Dualless Chrome Extension

Now, for people who don’t have a second monitor or consider it too much of a hassle setting it up, you can use the Chrome extension ‘Dualless’ that produces a similar effect. But the only problem is that this is only useful when the content you’re presenting is in a browser window.

The Dualless extension splits your browser window into 2 screens of varying ratios. You can have one portion of the screen for your presentation content and the other for the Google Meet window to view the video feeds of other participants.

Go to the Chrome web store on Google Chrome or other browsers like Microsoft Edge that support it and search for ‘Dualless’. You could also click the button below to hop there in a jiffy.

Click the ‘Add to Chrome’ button to install the extension on your browser.

A confirmation dialog box will appear. Click the ‘Add extension’ button to confirm.

The extension will install, and the icon for the extension should appear on the right of your address bar. If it doesn’t, click the ‘Extensions’ button (the jigsaw-puzzle icon).

Then, click the ‘Pin’ icon next to the Dualless extension to pin the extension to your address bar. You could also use the extension from the Extensions menu every time without the need to pin it. Pinning it just makes it easily and quickly accessible.

Now, use the extension in the meeting when you want to present your screen. Click the extension icon from either tab – Google Meet window or the tab you want to share.

Then, select the ratio of how you’d like to split your screen and click on it. Available ratios include 3:7, 4:6, 5:5, 6:4, and 7:3. You can change this ratio at any time later if you want to.

The tab from where you just clicked the extension icon will split in one part of the screen, left or right, depending on which side you clicked from Dualless’s menu. The rest of the tabs will split in the remaining part of the screen. It means that if you clicked the extension icon from the Google Meet tab and then clicked the left side tile, then Google Meet will appear on the left side and all remaining tabs on the right.

Now, share the screen from Google Meet, and you’ll be able to see the content you’re sharing on one side of the screen and participants’ videos on the other.

Use a Second Device to login to Meet a 2nd Time

So, you don’t have a second monitor, and the Dualless extension won’t help either as the content you want to share is not present in the browser tab. What else can you do? There’s still a couple of options.

If you’re attending the meeting from your computer and have another device, perhaps a smartphone or a tablet, you can log into your own meeting a 2nd time from that device. Google Meet lets you log in to a meeting more than one time from a single account. This allows you to view the participants’ videos on that device while presenting the content from the first device.

Open Google Meet on the 2nd device, and log in with your account. Now, click the ‘Join with a code’ button and enter the meeting code from the previous device. Remember to join the existing meeting and not start a new meeting.

The meeting will now have two instances of your account.

If you do choose to log in to a second device, remember to mute the microphone, as well as the speaker sound, on that device to avoid noise echo. Keep the 2nd device only to view the video feeds of other participants. Then, when the presentation is over, end the meeting on the 2nd device to return to the normal meeting experience.

Adjust Your Presentation and Meet Windows Manually

When you can’t use any of the above solutions, there’s the good old-fashioned manual adjusting of the windows. Restore down both your Google Meet and the presentation content window. Then, reduce their sizes and overlay them in a position that lets you see the presentation content on one side and Google Meet window on the other.

This might not be the most ideal solution, but for meetings with few participants at least, it’d work smoothly. If there are a lot of students in the meeting, you can direct the students to ask any questions in the chat. And you can keep an eye on the chat panel from the repositioned Google Meet window and open it while sharing your screen easily.

Imagine not being able to see other participants when you’re presenting in a real-world scenario. It would suck, just like it does in virtual meetings. Fortunately, these few tips might help you get ahead of the situation.

Standardization in business reporting ensures that data is presented in a consistent manner, enhancing comprehensibility and comparability across different reports. Imagine flipping through different reports where each one tells its story in its own unique language — confusing, right? Standardization is like translating all those languages into one that everyone can understand easily.

Consistency is Key

Think of standardized reports as a well-organized bookshelf. You know exactly where to find what you’re looking for, and every book (or in this case, piece of data) is presented in a way that makes sense. This consistency is crucial for making informed business decisions quickly and accurately. No more wasting time trying to figure out what’s what!

I remember a time when I was working on a project that involved analyzing sales data across multiple brands. Let’s be honest, who wouldn’t want to save time? Standardization not only reduces the risk of misinterpretation but also enhances the efficiency of report generation and review processes. Once you have a standardized template, creating new reports becomes a breeze. You can focus more on analyzing the data rather than formatting the report.

Understanding IBCS Standards

Now that we’ve established why standardization is so important, let’s get to know IBCS. The International Business Communication Standards provide a comprehensive framework for the design of business communication, particularly in the context of reports, presentations, and dashboards. The goal of IBCS is to improve the clarity, efficiency, and effectiveness of business communications.

The SUCCESS Formula

The heart of IBCS is the SUCCESS formula:

  • SAY : Convey a clear message.
  • UNIFY : Apply consistent semantic notation.
  • CONDENSE : Increase information density.
  • CHECK : Ensure visual integrity.
  • EXPRESS : Choose proper visualization.
  • SIMPLIFY : Avoid clutter.
  • STRUCTURE : Organize content logically.

Let’s break down each component briefly:

  • SAY : It’s all about making your key message unmistakably clear. Your audience should be able to grasp the main point at a glance. This involves using clear titles, highlighting key figures, and ensuring that the message is front and center.
  • UNIFY : Consistency is key. This principle ensures that all visual elements (like colors, shapes, and fonts) are used consistently throughout your reports. This helps in creating a familiar look and feel, making it easier for readers to navigate and understand.
  • CONDENSE : More information doesn’t necessarily mean more clutter. This principle focuses on presenting data in a compact and dense format, without overwhelming the reader. Think of using small multiples, sparklines, and condensed tables that pack a lot of information in a small space.
  • CHECK : Accuracy and integrity are paramount. This involves verifying the data, ensuring that scales and labels are accurate, and avoiding any visual misrepresentations. It’s about being honest and precise with your visuals.
  • EXPRESS : Choosing the right type of visualization for your data is crucial. This principle guides you on selecting the most effective chart types to convey your message clearly, whether it’s bar charts, line charts, scatter plots, or more advanced visualizations.
  • SIMPLIFY : Less is more. Avoiding unnecessary elements and focusing on what’s important helps in reducing cognitive load on the reader. This means removing gridlines, reducing colors, and using white space effectively.
  • STRUCTURE : Organize your content logically. This involves structuring your reports in a way that guides the reader through the data naturally. Sections, subsections, and a logical flow of information are essential here.

I’ve been standardizing reports in my previous roles for quite some time. But I only came across IBCS recently, and let me tell you, I’m absolutely loving it as a framework. It has transformed the way I think about presenting data. Suddenly, my reports are not just a collection of numbers but a coherent story that my audience can easily understand and act upon. Each element of the SUCCESS formula plays a critical role in achieving this clarity.

Practical Steps to Implement Standardization

Alright, let’s get practical. How can you start standardizing your reports? Here’s a step-by-step guide that I’ve found incredibly useful:

Personal Experience in Implementation

In my previous role, we initiated a project to standardize our sales reports. Initially, there was some resistance — change is always hard. But after a few training sessions and some hands-on practice, the team started to see the benefits. The reports were not only easier to produce but also much more impactful. We even started receiving positive feedback from our clients who appreciated the clarity of our presentations.

Here’s a personal tip: Start small. Implement standardization in one type of report first. This approach allows you to refine the process and make adjustments before rolling it out across all reports.

One challenge we faced was with custom reports requested by different departments. These reports often deviated from the standard format. Our solution was to create a flexible template that allowed for some customization while still adhering to the core IBCS principles. This compromise ensured that the reports remained standardized but could still meet the specific needs of each department.

Types of Data Analysis

Before we dive deeper into reporting, let’s quickly touch on the different types of data analysis. Understanding these will help you tailor your reports to your specific needs.

Descriptive Analysis: The What

Descriptive analysis is all about summarizing past data to understand what happened. Think of it as the “what” of your data. It’s like looking at your car’s speedometer to see how fast you went. This type of analysis uses statistics like mean, median, and mode to describe the data.

For instance, if we look at the nycflights13 R dataset, a descriptive analysis might involve calculating the average delay time for flights, the total number of flights, or the distribution of flight delays across different months. This helps to paint a clear picture of historical performance.

Diagnostic Analysis: The Why

Diagnostic analysis moves us to the “why.” This type of analysis examines data to understand why something happened. It’s like figuring out why your car’s speed dropped suddenly — maybe there was a traffic jam? Diagnostic analysis involves looking at correlations and potential causal relationships to uncover the reasons behind certain trends or anomalies.

In the context of nycflights13, we might investigate why certain flights are delayed more frequently. This could involve examining variables like weather conditions, carrier performance, or airport congestion. Understanding these factors can help pinpoint the causes of delays.

Predictive Analysis: The What Might Happen

Predictive analysis uses statistical models and forecasting techniques to predict future outcomes based on historical data. It’s like forecasting whether you’ll hit traffic on your next trip based on past experiences. This type of analysis helps in anticipating future trends and making proactive decisions.

Using nycflights13, a predictive analysis might involve forecasting future flight delays based on historical delay patterns and upcoming weather forecasts. This can help airlines and passengers plan better and mitigate potential issues.

Prescriptive Analysis: The What Should We Do

Finally, prescriptive analysis provides recommendations for actions based on predictive analysis. It’s like your GPS suggesting an alternate route to avoid that predicted traffic jam. This type of analysis uses algorithms to suggest various courses of action and their potential outcomes.

For nycflights13, prescriptive analysis could recommend optimal flight schedules or routes to minimize delays. It might also suggest operational changes, like adjusting staffing levels during peak hours or implementing new maintenance protocols.

Reporting Delivery Platforms

Not all reports are created equal, and neither are the platforms we use to deliver them. Let’s break down the different platforms and how they impact standardization:

Interactive Dashboards

Interactive dashboards are dynamic and allow users to explore data in real-time. Standardization here ensures consistency across various views and interactions. Think of platforms like Power BI or Tableau. These dashboards are great for providing an overview and enabling detailed drill-downs.

Using the nycflights13 dataset, an interactive dashboard might include various widgets and filters that allow users to view flight performance by date, carrier, or destination. Ensuring that these elements are standardized makes the dashboard intuitive and user-friendly.

Presentations

  • Prescriptive Analysis Across Platforms : Whether it’s a dashboard, presentation, or report, standardized recommendations ensure that the suggested actions are clear and actionable.

Tools for Standardizing Reports in R

In this chapter, we’ll discuss the tools I’ll be using in R to ensure our reports adhere to IBCS standards. Standardizing reports involves a combination of data manipulation, visualization, and documentation tools. Here are the main tools and packages we’ll be using throughout this series:

Data Manipulation with dplyr and tidyr

To start, we need robust tools for data manipulation. The dplyr and tidyr packages from the tidyverse suite are indispensable for cleaning, transforming, and organizing our data.

  • dplyr : This package is perfect for data wrangling. With functions like select(), filter(), mutate(), summarize(), and arrange(), we can easily manipulate our data frames to get them into the right shape for analysis.
  • tidyr : This package helps in tidying data, ensuring that it follows the tidy data principles. Functions like pivot_longer(), pivot_wider(), unite(), and separate() make it straightforward to reshape data as needed.

Data Visualization with ggplot2

Visualization is a cornerstone of effective reporting, and ggplot2 is the go-to package for creating high-quality graphics in R. It follows the grammar of graphics, which makes it highly flexible and powerful.

  • Consistent Themes : We’ll use ggplot2's theming capabilities to apply consistent colors, fonts, and layouts across all our visualizations. This aligns with the UNIFY principle of IBCS.
  • Custom Visuals : We’ll create custom visuals that not only look good but also convey the right message clearly, adhering to the EXPRESS principle.

Enhancing ggplot2 with Extensions

There are several extensions to ggplot2 that can help enhance its capabilities and ensure our visualizations are both informative and aesthetically pleasing:

  • ggthemes : Provides additional themes and scales that help in standardizing the look and feel of plots.
  • gghighlight : Allows us to highlight specific data points in a plot, making it easier to draw attention to key information.
  • ggrepel : Helps in adding labels to plots without overlapping, ensuring that our visualizations remain clear and readable.
  • patchwork : Facilitates the combination of multiple ggplot2 plots into a single cohesive layout, supporting the CONDENSE principle by increasing information density.

Reporting with Quarto

For generating and maintaining our reports, we’ll use Quarto, a new, powerful tool for creating dynamic documents in R.

  • Dynamic Reports : Quarto allows for the integration of R code and markdown, enabling us to create reports that are both reproducible and interactive.
  • Standardized Templates : We can create standardized templates that ensure consistency across all reports.

Table Formatting with kableExtra

Tables are a crucial part of any report, and kableExtra is an excellent package for creating well-formatted tables in R.

  • Enhanced Tables : kableExtra provides functionality to produce beautiful tables within Quarto documents. It supports various table styling options, including striped rows, column alignment, and more.
  • Interactive Tables : This package also supports the creation of interactive tables, making it easier for readers to explore data.

Supplementary Tools

  • scales : This package works with ggplot2 to ensure that our scales are appropriately formatted, enhancing readability and accuracy.
  • lubridate : Useful for handling date-time data, ensuring our time series data is properly formatted and easy to manipulate.
  • stringr : Helps with string manipulation, making it easier to clean and prepare text data for reporting.

Use Google Meet with Google Docs, Sheets, Slides, & Jamboard

From Google Docs, Sheets, Slides, or Jamboard, you can:

  • Join a Google Meet video meeting
  • Present directly to a Google Meet video meeting

Important: To join a Google Meet video meeting or present from Google Docs, Sheets, Slides, or Jamboard, you must use a computer with a Chrome or Edge browser.

  • If you’ve clicked “Join the call,” you can't present your file or change how other participants view the meeting.

  • Important:  When you present a tab from your document, spreadsheet, presentation, or whiteboard, you can’t change which tab you present. To switch between tabs while you present, you can present from Google Meet instead .

  • On your computer, open a file in Google Docs , Sheets , Slides , or Jamboard .
  • To start a new meeting, click Start a new meeting . On the right, a side panel shows your meeting.

Transfer a Google Meet video meeting into your file

You can transfer a Google Meet video meeting directly into your Doc, Sheet, or Slides tab on the same device.

  • On your computer, go to Google Meet .
  • Join a meeting.
  • Open a file in Google Docs , Sheets , Slides  , or Jamboard  that you want to transfer the Google Meet video meeting into.
  • When you bring a video meeting into a document, spreadsheet, presentation, or whiteboard, it doesn’t present your tab.

  You can present directly from a file in Google Docs, Sheets, Slides, or Jamboard to a Google Meet video meeting. When you use this option, your mic, speaker, and camera are unavailable.

  • Join a Google Meet video meeting .
  • Open a file in Docs , Sheets ,  Slides , or  Jamboard .
  • To present to a scheduled meeting, click the meeting name you want to join.
  • To present to a meeting with a meeting code, click Use a meeting code , then enter a meeting code. Use Companion Mode with Meet for hybrid collaboration .
  • Important: If you don't already have a meeting open and you click Just present this tab , you'll present your file but won't be able to view the Google Meet video meeting in the file tab. To view your document, spreadsheet, presentation, or whiteboard, and the Google Meet video meeting in one tab while you present, follow the steps to join a video meeting from Docs, Sheets, or Slides .
  • Select the tab you’re in.
  • Important: When you present a tab from your document, spreadsheet, presentation, or whiteboard, you can’t change which tab you present. To switch between tabs while you present, you can present from Google Meet instead .
  • Back in Meet, view your presented content directly in the meeting.

Share links for a video meeting from your file

When you’re using a Google Docs, Sheets, or Slides file while in a Google Meet video meeting, you can share the file link to all the meeting participants. You can also share the URL for the video meeting.

  • Join a Google Meet video meeting from your file or present from your file to the video meeting .

  • Click Share file to Meeting Chat .
  • Tip:  If you own or have modify access to the Calendar event, the file will also attach to the Calendar event. If you don't want to attach the file, deselect "Attach the file to the Calendar event."
  • Click Share in Meet chat.
