6 Steps To Crafting a Winning Cover Letter for Job Application

Recruiters are busy individuals, so they appreciate cover letters that are clear , structured, and, of course, purposeful. To ensure your application doesn’t end up in the reject pile, follow the steps below to craft a winning cover letter for job application:

1. Research the job you are applying for

Before you begin your job application cover letter, research the company or industry you are applying to. Every job has different requirements; to get noticed by recruiters, it’s crucial to comply with those conditions .

Here are a few things you need to research before starting with your job application cover letter:

  • Job requirements : Read the job description to understand what recruiters seek. Highlight the essential skills or qualities so you can later integrate them into your cover letter.
  • Know the company you’re applying to : Skim through the firm’s website to learn about its long-term goals and culture. If the organization you’re applying to lacks social media handles, you can inquire about them with your friends or colleagues as well.
  • Identify the hiring manager’s name : Addressing the recruiters by their full name indicates that you have invested time to find out who will read your cover letter. To discover the hiring manager’s name, you can refer to the job description, search the company on LinkedIn, or even explore the company’s website.

2. Outline sections of your cover letter for job application

Breaking down your cover letter into sections makes it easier for recruiters to follow . It minimizes confusion and lets them quickly locate key information, such as your qualifications, experiences, and goals.

A compelling cover letter for job application would typically contain several sections, including:

  • Comprehensive header containing your and the employer’s contact information.
  • Formal salutations or greetings.
  • Catchy introductory paragraph.
  • Middle body: containing qualifications, skills, and experiences.
  • Closing paragraph: to thank the recruiter for their time.

3. Sell your abilities in your job application cover letter

When showcasing your skills in a cover letter, it’s crucial to go beyond mere statements and provide concrete evidence to demonstrate your abilities.

An effective approach is identifying the key skills mentioned in the job description. Additionally, select specific examples from your previous experiences that align with the identified accomplishments to strengthen your stance. You can draw on instances from your previous jobs, academic projects, or even extracurricular activities.

Moreover, if you aim to add credibility to your achievements, consider quantifying them . For instance, if you improved a process, mention the percentage of improvement.

Here’s an excellent example of how to utilize the above teachings in a job application cover letter:

“ In my previous role, I spearheaded weekly team meetings, improving communication flow and collaboration among team members. This resulted in a 20% increase in project efficiency, showcasing my ability to convey complex ideas in a clear and concise manner. “

4. Mention your hard and soft skills

Your skills are valuable assets that set you apart from other candidates . Incorporating your expertise into your cover letter clearly demonstrates how you can contribute to the company’s success.

A persuasive job application cover letter example will have the below essential technical skills:

  • Proficiency in programming languages.
  • Data analysis.
  • Know-how of Microsoft Word Suite.
  • Graphic Designing.

In addition to hard skills, your soft skills also play a significant role in conveying your effectiveness in the workplace to recruiters.

As you craft your job application cover letter, consider emphasizing the following soft skills:

  • Ability to convey information clearly, both verbally and in writing.
  • Open to collaborating with others to achieve common goals.
  • Flexible and open to change in the working environment.
  • Capability to identify challenges and develop practical solutions.

5. Prove your enthusiasm to the employers

Highlighting your accomplishments and skills is crucial for a job-winning cover letter . However, another critical element in establishing credibility is expressing enthusiasm to potential employers using impactful action words.

Clearly state why you are excited about the role. Is it the chance to work with a talented team or the alignment between your skills and the job requirements? Be specific .

Here’s an example to make it more clear:

“I am genuinely excited about the prospect of contributing my skills and passion to ABC Company. I am confident that my software development and my enthusiasm for driving innovative solutions make me an ideal fit for your team.”

Moreover, you can also mention specific achievements or projects of the company that inspire you. This demonstrates that you’ve researched and are genuinely interested in the organization.

For instance, you can add:

“ The innovative projects undertaken by ABC Company, particularly the groundbreaking development of the XYZ platform, resonate deeply with my career aspirations. “

6. Close your job application cover letter with the appropriate CTA

Ending your cover letter with a compelling Call to Action (CTA) is crucial in expressing your eagerness for further discussion. Consider the following steps when crafting the ending paragraph of your job application cover letter:

  • Express gratitude : Start by thanking the recruiter for their time and consideration. A simple “ Thank you for your consideration ” is a polite way to express appreciation.
  • Restate your interest : Remind the recruiters that you’re genuinely interested in the job by highlighting how your skills align with what they seek.
  • Showcase eagerness to discuss things further : Clearly express your readiness to discuss your qualifications and skills by providing your contact information.

For instance, you can mention:

“I am eager to further discuss how my skills and experiences align with (Company Name)’s goals. Please feel free to contact me at [your phone number] or [your email address] to schedule a convenient time for an interview.”
  • Conclude with a formal sign-off : Finally, conclude your job application cover letter with a formal salutation such as “ Sincerely, ” followed by your full name.

How to Create a Unique Cover Letter by Using Template?

Creating a unique cover letter using a Word cover letter template is a straightforward yet creative process that begins with selecting the right template. Opt for a template that aligns with your industry and professional level, and ensure it has a matching cover letter template to maintain consistency in design and formatting.

Once you’ve chosen the template, start personalizing it. The key to a standout cover letter is making it uniquely yours. Edit the color scheme, fonts, and layout to reflect your personal brand while keeping it professional.

Next, focus on the content. Tailor your cover letter to the specific job and company you’re applying for. Use the template as a guide, but ensure your personality and career achievements shine through. Highlight relevant experiences, skills, and why you are the ideal candidate for the role. The goal is to make a compelling case for why you’re a great fit, using clear, concise, and engaging language.

Finally, proofread your cover letter thoroughly. A well-designed cover letter can lose its effectiveness if it contains typos or grammatical errors. Consider getting a second pair of eyes to review it for errors and to provide feedback on the overall flow and impact of your letter.

By carefully selecting and customizing your Word cover letter template and focusing on writing your cover letter , you can create a unique cover letter in Word that not only complements your resume but also captures the attention of potential employers.

Writing a Job Application Letter (Samples & Examples)

Often, employers prefer that job applicants furnish them with a professionally written application letter for an open position instead of sending them their resume and cover letter. A job application letter is usually used when applying for a role when the role focuses more on their personality than all other aspects. A job application letter reflects more details about the applicant, whereas the resume focuses on their professional experiences and skills.

What is a Job Application Letter?

A job application letter is a standalone document submitted to the potential employer by the applicant expressing their interest in an open position. The application letter explains who you are, either as an individual or as a professional. The application letter should highlight your skills and achievements, helping to capture the recruiter’s attention responsible for reviewing job applications.

When properly drafted, an application letter explains to the recipient why they should book you for an interview and outlines the significant qualifications that make you the perfect candidate for the position. A professionally written job application letter can create a great first impression and help set you apart from thousands of applicants.

Difference Between a Job Application Letter and a Cover Letter

The key difference between a job application letter and a cover letter is that;

  • Cover letters only define the applicants’ professional qualifications and the reason for writing the letter, while;
  • The job application letter outlines the applicants’ skills, qualifications, strengths, and previous job experiences that are related to the position that they are applying for.

How to Write a Job Application Letter

When drafting your job application letter, follow these steps to ensure that you include all the information about yourself and your professional experience that will help you seize the hiring managers’ attention:

Do your research about the organization and the open positions

You must draft a new job application letter for each position you are applying for. This is important so as not to sound generic. By writing from scratch, you will also be able to include pertinent details about the position you are applying for and show your interest in that specific role. Go through the job advert and the company’s website and compare the qualifications and experience with the list of skills and qualifications listed in the job posting. You may also want to brainstorm some of your significant experiences related to the position you are applying for.

Use a professional format

All job application letters should follow a standard format and should be professionally written. The letter should be single-spaced, have a one-inch margin, and should be left-aligned. Also, you should consider using a more professional and traditional font such as Times New Roman- font size twelve. Try to tailor your letter to fit on one page of printed paper.

Use a formal business heading

When writing your job application letter, you should use a formal business heading. The heading of your application letter should include your name, your contact information, the date of writing, and the company’s name and address.

Address the letter to the right recipient

When gathering information about the company, try and find out the name of the person that you are to send the letter to. In most cases, the person you are supposed to send the letter to is usually included in the job advert, if not try and contact the company and find out their name.

Start by describing your interest

In your first paragraph, mention the position that you are applying for and where you saw the job listing. Include your interest in the position and provide a brief description of your experiences and qualifications that make you the best candidate for the role.

Outline your skills, experiences, and qualifications

In the next few paragraphs of your job application letter, outline your skills, experiences, and qualifications poised in a way that aligns with the company’s mission and vision statements.

Include aspects of your personality

When writing your application letter, focus on how you can incorporate aspects of your personality. An engaging letter is more likely to attract the attention of the reader, especially when they can get an idea of how you will be an asset to their team.

Express appreciation

Before signing off on your job application letter, express your appreciation to the recipient of the letter for reviewing your application letter and considering you for the job. Remember that the hiring manager/potential employer is taking their time to go through your letter, so expressing your gratitude for the time that they spend is a polite and professional way to close your letter.

Close the letter

Use a professional sign off to conclude your letter. Most people use “Best” or “Sincerely” to close the letter, but you can choose any other that is professional to use.

Sending Your Job Application Letter

Job application letter formats depending on whether one is sending it to their supervisor or the hiring manager. If you are looking to send your letter via email, your letter’s format will differ from a mailed or printed letter. When sending via email, your contact information should be at the bottom part of your letter for an email, below your full typed name.

When you are sending your job application letter via email, it is important to consider the letter’s subject line. The subject line will, in most cases, determine whether the hiring manager opens your letter or not. Make sure to use a relevant subject line in your application, for instance; you can use something like, “Job application letter for the position of…” The best subject line is usually professional, polite, concise, and relevant.

Tips to Follow

When drafting your job application letter, make sure to follow these tips to ensure that you have included all the information that the hiring manager requires:

  • Emphasize your abilities and skills: your job application letter is an opportunity for you to introduce and sell yourself as the best candidate for the position that you are applying for. Include some specific situations in which you managed to properly apply your skills, experiences, and abilities to benefit the organization that you were working for. You can also include data to quantify and back up your claims
  • Keep the letter short: even though you may be tempted to include a lot of unnecessary details about yourself, it is important to be brief in your writing. If the potential employer or the hiring manager receives a letter that has several pages, they may not dedicate their time to go through it. A concise letter is more manageable and appealing to them.
  • Proofread your work: since the job application will serve as your first impression, you want to ensure that it sends a positive vibe to the recipient. Ensure that your letter is free of any grammatical errors and spelling mistakes to avoid a potentially negative first impression.
  • Close the letter with all the important details: thank the hiring manager for their time and consideration. Also, provide your contact information and mention how you will follow up.

Most companies usually receive thousands of applications for open positions every day, therefore for you to stand out, your letter should look good, and it must capture their attention from the onset. Having a well-drafted job application letter can greatly help you in getting your dream job. If your job application looks professional, then the hiring manager will be more likely to take it more seriously.

Is cover letter and application letter the same?

The terms “cover letter” and “application letter” are often used interchangeably, but they can have slightly different nuances depending on regional and industry preferences. In general, both refer to a formal document submitted along with a job application to provide additional information about the applicant’s qualifications, skills, and interest in the position. The primary purpose is to complement the simple resume and showcase how the applicant’s experiences align with the requirements of the job.

Some people use “cover letter” to refer specifically to a letter that introduces and “covers” the contents of the job application, while “application letter” might be seen as a broader term encompassing any sample letter submitted with an application, including cover letters. However, the distinction between the two is not universally agreed upon, and many people use these terms interchangeably.

Adverse Action Notice: Landlord’s Guide [+Template]

Under the FCRA, landlords must send an adverse action notice should they deny a tenant’s application based on information gained from a credit report.

application letter templates word

PUBLISHED ON

application letter templates word

Filling vacant rental units can be a time-consuming and stressful process, and there’s a lot of pressure to choose the best possible tenant. Selecting a bad tenant comes with the risk of late or missed rent payments, property damage, or evictions.

This invariably means landlords will have to reject some of the prospective tenants who apply for their rental. This will be done at either the prescreening, application, or tenant screening stage.  If a rental applicant fails to pass the final stage, the tenant screening stage of the tenant selection process, then landlords will need to send what is known as an adverse action notice.

In this guide, we explore what an adverse action notice is, when and why a landlord needs to send one, and what needs to be in it.

Related : The Landlord's Guide To Tenant Screening

Key Takeaways

  • Landlords must send an adverse action notice should they deny a tenant’s application based on information gained from a credit report.
  • Adverse action notices are required in these circumstances under the Fair Credit Reporting Act.
  • Key details to include in an adverse action notice must include the reason the rental application was rejected as well as outline the tenant’s rights and protections.

What is an Adverse Action Notice?

An adverse action notice is a formal document that a landlord sends to a tenant if they deny an application based on information obtained from a credit report.

What this means is, if you run a credit check on a tenant and find they don’t meet your minimum criteria, then you need to send an adverse action notice to the tenant to inform the tenant of the reason they were denied (eg. their credit score was too low) and inform them of their rights pertaining to the handling of their financial data.

The notice should include the following details:

  • Name, address, and contact information of the consumer reporting agency
  • The credit score utilized in the decision-making process
  • Notification regarding anti-discrimination laws
  • Explanation of the creditor's decision
  • Specific reasons for issuing the notice
  • Information about the applicant's right to request a free copy of the credit report used

Landlords must include all of the above information if they want to remain compliant with the Fair Credit Reporting Act. Failure to do so, especially regarding notices from the credit reporting agency and free credit report details, can expose you to legal actions and disputes from the applicant.

When Must Landlords Send An Adverse Action Notice?

There are a few scenarios where landlords are required to send an adverse action notice. While some causes, such as low credit scores , are obvious reasons for an application’s rejection, others are less obvious and may need to be explained in greater detail on the adverse action notice.

Below we explore some of the common reasons an application might be rejected because of the details received in a credit report, and which would mean an adverse action notice needed to be sent.

Credit Score Does Not Meet Minimum Requirement

Probably the most common reason an adverse action notice would be sent is because the applicant’s credit score is too low.

Landlords often shy away from applicants with low credit scores due to the elevated risk they pose. Such scores can stem from various factors but primarily relate to missed bill payments. These can indicate financial instability and a high risk that rent will be paid late.

A High Debt to Income Ratio

Someone with a significant debt burden may have issues fulfilling them all, which puts them at a high risk of not meeting their rental payments. Naturally, landlords prefer applicants with lower debt and higher income, as it indicates a greater level of financial responsibility and capacity to afford their rent.

Not Enough Credit History

A lengthy and positive credit history indicates a track record of responsible credit management. If an application is otherwise sound this might not be reason enough to reject the applicant, however, should other areas of the application raise questions, then landlords often look to the credit history to get a picture of a tenant's financial responsibility.

What Information to Include in an Adverse Action Letter

An adverse action letter must include certain information to effectively serve its purpose and remain legally compliant.

The different sections of an adverse action notice include:

Introduction

Initiate the letter with an introduction, including essential details such as the date, the applicant's name, address, and other pertinent information. Additionally, express gratitude to the applicant for their time and effort in the application process.

Outline the reasons behind the adverse action (eg. your credit score was too low).

Provide instructions on how the applicant can appeal the adverse action decision. This section should outline the process for submitting an appeal, including the necessary time frame and contact information.

Rights and Protections

Include information regarding the rights and protections afforded to the applicant by federal law. This section is crucial and should cover key legislation such as the Fair Credit Reporting Act and the Equal Credit Opportunity Act.

Key details of these protections are:

Fair Credit Reporting Act (FCRA)

The Fair Credit Reporting Act (FCRA) is legislation designed to empower consumers with insights into credit-related decisions. This act holds significant importance as it grants consumers the ability to comprehend the utilization of their credit information.

Under the FCRA, consumers have the right to ascertain if their credit details influenced the decision-making process. Furthermore, the act affords consumers the opportunity to ascertain the sources of the information utilized and its impact on the decision.

Incorporating information about the FCRA into the letter is imperative as it ensures consumers are aware of their rights. It's crucial to elucidate how the information was acquired and elucidate the procedure for accessing their complimentary credit report.

Equal Credit Opportunity Act (ECOA)

The Equal Credit Opportunity Act is an act that serves to protect credit applicants from any sort of discrimination when it comes to their applications. The act states that individuals partaking in any credit application can only be evaluated using factors that are directly related to their creditworthiness.

This means that creditors and lenders are not allowed to consider things like race, color, national origin, sex/gender, religion, marital status, and age. They are not allowed to consider any of these factors during any stage of the application process.

Final Statement of The Adverse Action Notice

The concluding section of the adverse action notice should comprise a closing statement. This segment is valuable as it provides contact details for addressing any general inquiries or questions from the applicant.

Copy and paste the below adverse action notice template into a word document and edit as required.

[Your Name]

[Your Address]

[City, State, ZIP Code]

[Applicant's Name]

[Applicant's Address]

[City, State, ZIP Code]

Dear [Applicant's Name],

We regret to inform you that your recent rental application for [Property Address] has been declined based on the information obtained during our screening process. This letter serves as an adverse action notice in compliance with the Fair Credit Reporting Act (FCRA).

Reasons for the adverse action:

  • Low credit score: Upon reviewing your credit report, it was found that your credit score falls below our minimum threshold for approval. A low credit score poses a higher risk for timely rental payments.
  • Debt-to-income ratio: The analysis of your financial background revealed a high debt-to-income ratio, indicating potential difficulty in meeting rental obligations.
  • Limited credit history: Your credit report indicates a limited credit history, which provides insufficient evidence of your ability to manage financial responsibilities effectively.

While these are the primary reasons for our decision, please note that additional factors may have influenced the outcome of your application.

If you believe there has been an error in our decision or would like to provide further information for reconsideration, you have the right to appeal. Please submit your appeal in writing within [number of days] days from the date of this letter to:

[Landlord's Name]

[Landlord's Address]

[Contact Phone Number]

[Contact Email Address]

You also have the right to obtain a free copy of the credit report used in our decision. If you wish to receive a copy, please contact the consumer reporting agency listed below within [number of days] days from the date of this letter:

Final Words: Managing Adverse Action Notices

Ensuring that your adverse action notice is compliant with the Fair Credit Reporting Act (FCRA) and the Equal Credit Opportunity Act (ECOA) is not just a legal obligation but also a step toward fostering transparency and trust with potential tenants.

To help streamline the management of tenants and important documents such as leases and your adverse action notice it may be worth exploring how property management software like Landlord Studio can help.

Landlord Studio, for example, offers tools to help create and manage rental listings and screen tenants to reduce the risk of bad tenants and costly evictions. This will save you time, reduce the risk of legal disputes, and help enhance the overall tenant experience.
