An application letter is usually written when a person would like to enroll for courses at a college or university. It is worth remembering that entry and enrollment in colleges and universities has become an extremely competitive prospect. Many more students desire to find a place to earn a degree than there are places to accommodate them. Naturally, the admissions committees only take the best applicants they can find, and they base a large part of their decisions on the application letter written by prospective students.

Steps for Writing an Application Letter

  • Read the admissions notice or site publicizing the university or college carefully.
  • Make a list of all the requirements and all the materials you are expected to provide in the application.
  • Create an appropriate curriculum vitae (CV) or resume to be attached to the cover letter.
  • Make sure you have certified copies of any certificates required.
  • Make a point list of all aspects to cover in the application letter.
  • Write three central paragraphs that cover your awareness of the admissions requirements, the qualifications you hold that match them, and why you feel you are a suitable candidate.
  • Write a concluding paragraph asking for a personal interview.
  • Last of all, write an introduction which shows you fully understand what is required of you and express your desire to enroll.

Selecting an Appropriate Tone

Not all colleges and universities are the same. So, not all application letters are the same. Each one addresses a particular ethos or character that an institution possesses. It must be written from scratch and in a tone that suits the educational institution. An application letter to enroll at a community college for a catering course is worded in a different way than one covering an application for enrollment at an ivy-league university.

Tone and attitude are the aspects—after form and content—that the admissions committee looks at when they are seeking for the most suitable students to attend their institute. To be one of those most suitable people, you must make sure that the language of your application letter expresses a tone that compliments the requirements of the institution and that your attitude is shown to be charismatic and driven.

  • Assemble all the materials you need before you start. These include the notice announcing the opening and closing dates of the admissions period. All the appropriate and relevant certificates and documents must be present, which might include a recent photo of yourself, certification of your qualifications, letters of support and testimonials, and evidence of identity, such as a passport, residence permits, and visas. Make certified copies; this means having the correct public officer in your area witness the copies, and place everything in a card folder. Open a word processing folder and type the notes mentioned in Point 5 above. These are easily reworked into paragraphs later.
  • Facts and figures are more important than ideas and opinions. The people reading the application letter need information about you, and facts about your qualifications, together with the data you have gathered about your education, any previous positions held, and your experience in the same field that you are applying for. Other relevant experience is also important.
  • A self-devised note-taking system is best. It will help to keep notes and cuttings in order. The less confusion and fragmentation the better: organization is valuable, and time management skills come into play whenever you need to concentrate on such a task. An application letter is a reflection of your personal standards of language, eloquence, organization, and timeliness.
  • You need to express yourself well and without flaws, organize your materials properly, and send them in on time.
  • It is important to use effective writing techniques in an application letter. Three basic persuasion techniques are: use facts and evidence, apply logic and reason, and appeal to the intelligence and emotions of the reader. Combine the three to create valid points that relate directly to the topics in the advert or announcement for the educational program you are applying for.
  • If there is a list of selection criteria, make sure you address each point on the list.
  • Each point can be built into a paragraph, using notes and paraphrased material from your certificates, testimonials, and other reference materials.
  • Deciding on a writing style is easy—everything must be semi-formal and precise: do not make the mistake of using conversational language, since it is inappropriate for an application letter.

  • It is a mistake to try to be too persuasive. The educational institution needs to enroll excellent students who will uphold the reputation of the college or university: what they seek are diligent people who show plenty of promise
  • The most common mistake found in application letters is a failure to mention one’s skills and aptitudes. A list of these, and how they were achieved and developed, is an important part of the application package.
  • It is not wise to omit anything of importance. When you realize it is a matching exercise, you must try to be a perfect match, mentioning all experience and credentials truthfully but clearly.
  • A frequently-seen flaw is rushed or unprepared writing. Research the educational institution carefully and try to find out as much as you can about their ethos, traditions, activities, and reputation. Make clear notes and build paragraphs of well-prepared writing gradually and with confidence.
  • Lack of structure or a piece missing from the required package will set your application back. It is extremely important to understand what information you need to provide, and to address each aspect personally and clearly. You must express why you want to attend above all others, and how important it is as part of your life plan.
  • Poor language skills, inappropriate or irrelevant vocabulary, the wrong tone, and errors in punctuation, grammar, syntax, and structure demonstrate low aptitude. An application letter is like a sample of the kind of person you are and the kind of work you are capable of. Attention to detail is vital.

Writing the Application Letter

Traditionally, the application letter or cover letter is a formal letter that accompanies your résumé when you apply for a position. Its purpose is to support your résumé, providing more specific details, and to explain in writing why you are a strong candidate for the specific position to which you are applying. It should not simply reiterate your résumé; it’s an opportunity for you to make a case for your candidacy in complete sentences and phrases, which gives the reader a better sense of your “voice.”

As always, it’s helpful to start by first thinking about the audience and purpose for the application letter. What information does your reader need to glean from your letter? At what point in the hiring process will they be reading it?

Specific (named) employer for a specific position

Gets a sense of your “voice” and your interest through your writing—you are talking directly to the reader

State your intention to apply for the position

Explain why you are a good candidate by describing your experiences and demonstrating your skills (go beyond the résumé)

Display knowledge of and interest in this specific employer/job

Produce a high quality piece of writing (proving that you have the ability)

As you draft the letter, consider what you would want to say if you were sitting across the desk from your reader. It should be written in a formal, professional tone, but you still want it to flow like natural speech—this will make it easier for your reader to absorb the information quickly.

What to Include in the Application Letter

It can be helpful to think about writing the application letter in sections or “blocks.” This provides a basic structure for the letter; once you have an understanding of this foundation, you can customize, update, and personalize the letter for different applications and employers.

Introductory Paragraph

Open the letter with a concise, functional, and personable introduction to you as a job candidate. This is your chance to establish the essential basics of your qualifications and to set the themes and tone for the rest of the letter.

  • Name the position you’re interested in (by exact name and number, if available), and where you heard about it
  • Clearly state that you are applying for the position—remember that you are requesting (not demanding) that they consider you as a candidate for the position
  • Identify your major, year or graduation date, and school (this should be a brief preview of your educational status/area—you will go into more detail in the Education paragraph)
  • Create a theme (essentially a thesis statement) for the letter, based on the job requirements and your knowledge of the employer (this may not be possible until you write the other paragraphs, so save it for last) → NOTE: Once you have established the thesis (the key reasons for your qualifications), keep in mind that the remaining paragraphs must specifically “prove” or “show” that you possess these qualifications

Optionally, you might also take the opportunity at the beginning of the letter to express your interest in working for this particular company and/or your passion for and interest in the field—I am particularly interested in this position because… This sets a nice tone and shows that you are engaged and enthusiastic. It is also an opportunity to demonstrate your knowledge about the employer and what they do (developed through your research).

Education & Academics Paragraph(s)

Since you will have already stated your basic educational status (major/year/school) in the introductory paragraph, the purpose of this paragraph is to paint a more detailed picture of you as a student, making progress in your academic program and gaining valuable experiences along the way. Your opportunity in this paragraph is to describe your academic progress in more specific detail, explaining the activities and knowledge you are developing that most matter for this position and employer. Carefully consider what the employer will value most about your educational experiences.

  • Emphasize specific skills and knowledge that you are developing
  • Describe significant coursework or projects—don’t be afraid to focus in on a particularly compelling example or experience

If you have a lot of project experience or several key experiences that you want to highlight, this information may be written in multiple paragraphs.

This content should NOT be a laundry list of course titles. Instead, describe how your academics have shaped your understanding of the field you are entering and significant skills you are developing, but always tie it back to what the employer is looking for—stay focused on the information your audience needs and what they will care about.

Employment Paragraph (if applicable)

It is important for employers to feel that they are hiring responsible, reliable people who know how to hold down a job. If you do have work experience in this field such as a previous internship, this is a perfect time to discuss that.  If you have previous work experience, even if it’s not related to your field, this is your opportunity to describe the value of that experience—the value for you, but, more importantly, to your reader.

  • Describe your previous work experience (show, don’t tell that you’re a good employee)
  • Be specific about the company, the time frame, your responsibilities, actions and the outcomes/results
  • Focus on relevant and transferable skills developed on the job

Activities Paragraph (if applicable)

Activities and involvement in things outside of your coursework and work experiences such as student organizations, clubs, and volunteer work are a great way to show that you are a well-rounded, motivated person with good time management skills. Personal, human connections are an important part of the job application process, and describing some of these activities and interests can help your reader start to feel a more personal connection.

  • Demonstrate personality, values, and transferable skills through sports, volunteer, travel or other professional experiences
  • Describe your specific actions and involvement honestly, while still trying to connect to transferable skills and the keywords in the job posting

If the employer has a strong program for charitable giving and involvement in an area that you share an interest, that would be another opportunity to build a connection with them and show that you could embrace the company culture and values.

Concluding Paragraph

As you conclude the letter,  tie everything together, acknowledge the next steps, and end on a positive note.

  • Reference your resume (“You will find additional information on my résumé”)
  • Request (don’t demand) an interview (“I would appreciate the opportunity to meet with to learn more about the position and discuss my application”)
  • Provide contact information in the paragraph (phone number and email address)—don’t put this below your name
  • Reiterate interest in the position, the employer—another opportunity to demonstrate your knowledge about the company

A Note About Topic Sentences

As you reinforce the main idea or purpose of the letter (that you have the necessary skills, qualifications, and temperament for the job), make sure you prioritize what your reader needs to know about you and that all of the experiences you describe are meaningful to them. One good way to do that is to focus on how you construct the topic sentences. The first sentence in each paragraph should clearly explain the purpose of the information contained in that paragraph.

Begin each paragraph with a statement that connects your experience to the employer’s requirements and desired qualifications.

Topic Sentence = My experience + Why it matters

Consider how the following examples were revised to focus more on the value of the experience to the employer rather than simply stating the information about the experience.

  • Original: During the past three summers, I worked at Ray’s diner in my hometown.
  • Revised: Working at Ray’s diner in my hometown for the past three summers has taught me a lot about responsibility and reliability.
  • Original: During my freshman year, I was part of an Alternative Energy Vehicle project group.
  • Revised: I gained first-hand experience with collaborative problem solving and project management while working on an Alternative Energy Vehicle project during my freshman year.

The revised versions explicitly connect the experience (working at the diner, being on a project team) with the value and lessons learned, making it easier for your reader to understand, even while reading quickly, how this supports your qualifications.

Letter Formatting Considerations

Your application letter should use formal letter formatting. You will find detailed information about the required elements of a letter document here and more information about writing cover letters here (both are from Purdue’s Online Writing Lab).

In today’s job market, where many applications are online, the letter might be delivered in a variety of different formats. For example, it might be a PDF file uploaded to an online application system or if might be simply sent in the body of an email. In any case, consider the following as you decide how to format the letter:

  • If you are delivering it as a stand-alone file or an attachment, use a formal letter format and save it as a PDF (unless otherwise instructed).
  • If you are sending the application letter content directly in the body of an email, you do NOT typically need to include the sender’s (your) address, the date, or the recipient/inside address. You would begin the email with the greeting.

Many people worry that they will be unable to write reflectively but chances are that you do it more than you think!  It's a common task during both work and study from appraisal and planning documents to recording observations at the end of a module. What is reflective writing?

Writing reflectively involves critically analysing an experience, recording how it has impacted you and what you plan to do with your new knowledge. It can help you to reflect on a deeper level as the act of getting something down on paper often helps people to think an experience through.

The key to reflective writing is to be analytical rather than descriptive. Always ask why rather than just describing what happened during an experience.

Where might you use reflective writing?

You can use reflective writing in many aspects of your work, study and even everyday life. The activities below all contain some aspect of reflective writing and are common to many people:

1. Job applications

Both preparing for and writing job applications contain elements of reflective writing. You need to think about the experience that makes you suitable for a role and this means reflection on the skills you have developed and how they might relate to the specification. When writing your application you need to expand on what you have done and explain what you have learnt and why this matters - key elements of reflective writing.

2. Appraisals

In a similar way, undertaking an appraisal is a good time to reflect back on a certain period of time in post. You might be asked to record what went well and why as well as identifying areas for improvement.

3. Written feedback

If you have made a purchase recently you are likely to have received a request for feedback. When you leave a review of a product or service online then you need to think about the pros and cons. You may also have gone into detail about why the product was so good or the service was so bad so other people know how to judge it in the future.

4. Blogging

Blogs are a place to offer your own opinion and can be a really good place to do some reflective writing. Blogger often take a view on something and use their site as a way to share it with the world. They will often talk about the reasons why they like/dislike something - classic reflective writing.

5. During the research process

When researchers are working on a project they will often think about they way they are working and how it could be improved as well as considering different approaches to achieve their research goal. They will often record this in some way such as in a lab book and this questioning approach is a form of reflective writing.

6. In academic writing

Many students will be asked to include some form of reflection in an academic assignment, for example when relating a topic to their real life circumstances. They are also often asked to think about their opinion on or reactions to texts and other research and write about this in their own work.

Think about all of the activities you do on a daily basis. Do any of these contain elements of reflective writing? Make a list of all the times you have written something reflective over the last month - it will be longer than you think!

Reflective terminology

A common mistake people make when writing reflectively is to focus too much on describing their experience. Think about some of the phrases below and try to use them when writing reflectively to help you avoid this problem:

  • The most important thing was...
  • At the time I felt...
  • This was likely due to...
  • After thinking about it...
  • I learned that...
  • I need to know more about...
  • Later I realised...
  • This was because...
  • This was like...
  • I wonder what would happen if...
  • I'm still unsure about...

Always try and write in the first person when writing reflectively. This will help you to focus on your thoughts/feelings/experiences rather than just a description of the experience.

Using reflective writing in your academic work

Many courses will also expect you to reflect on your own learning as you progress through a particular programme. You may be asked to keep some type of reflective journal or diary. Depending on the needs of your course this may or may not be assessed but if you are using one it's important to write reflectively. This can help you to look back and see how your thinking has evolved over time - something useful for job applications in the future. Students at all levels may also be asked to reflect on the work of others, either as part of a group project or through peer review of their work. This requires a slightly different approach to reflection as you are not focused on your own work but again this is a useful skill to develop for the workplace.

Writing a Reflection Paper Outline

Reflection paper should contain few key elements:

Introduction

Your introduction should specify what you’re reflecting upon. Make sure that your thesis informs your reader about your general position, or opinion, toward your subject.

  • State what you are analyzing: a passage, a lecture, an academic article, an experience, etc...)
  • Briefly summarize the work.
  • Write a thesis statement stating how your subject has affected you.

One way you can start your thesis is to write:

Body Paragraphs

The body paragraphs should examine your ideas and experiences in context to your topic. Make sure each new body paragraph starts with a topic sentence.

Your reflection may include quotes and passages if you are writing about a book or an academic paper. They give your reader a point of reference to fully understand your feedback. Feel free to describe what you saw, what you heard, and how you felt.

Example: “I saw many people participating in our weight experiment. The atmosphere felt nervous yet inspiring. I was amazed by the excitement of the event.”

How to Write a Reflection Paper: Step-by-Step Guide

Step 1: create a main theme.

After you choose your topic, write a short summary about what you have learned about your experience with that topic. Then, let readers know how you feel about your case — and be honest. Chances are that your readers will likely be able to relate to your opinion or at least the way you form your perspective, which will help them better understand your reflection.

For example: After watching a TEDx episode on Wim Hof, I was able to reevaluate my preconceived notions about the negative effects of cold exposure.

Step 2: Brainstorm Ideas and Experiences You’ve Had Related to Your Topic

You can write down specific quotes, predispositions you have, things that influenced you, or anything memorable. Be personal and explain, in simple words, how you felt.

For example: • A lot of people think that even a small amount of carbohydrates will make people gain weight • A specific moment when I struggled with an excess weight where I avoided carbohydrates entirely • The consequences of my actions that gave rise to my research • The evidence and studies of nutritional science that claim carbohydrates alone are to blame for making people obese • My new experience with having a healthy diet with a well-balanced intake of nutrients • The influence of other people’s perceptions on the harm of carbohydrates, and the role their influence has had on me • New ideas I’ve created as a result of my shift in perspective

Step 3: Analyze How and Why These Ideas and Experiences Have Affected Your Interpretation of Your Theme

Pick an idea or experience you had from the last step, and analyze it further. Then, write your reasoning for agreeing or disagreeing with it.

Step 4: Make Connections Between Your Observations, Experiences, and Opinions

Try to connect your ideas and insights to form a cohesive picture for your theme. You can also try to recognize and break down your assumptions, which you may challenge in the future.

There are some subjects for reflection papers that are most commonly written about. They include:

  • Book – Start by writing some information about the author’s biography and summarize the plot—without revealing the ending to keep your readers interested. Make sure to include the names of the characters, the main themes, and any issues mentioned in the book. Finally, express your thoughts and reflect on the book itself.
  • Course – Including the course name and description is a good place to start. Then, you can write about the course flow, explain why you took this course, and tell readers what you learned from it. Since it is a reflection paper, express your opinion, supporting it with examples from the course.
  • Project – The structure for a reflection paper about a project has identical guidelines to that of a course. One of the things you might want to add would be the pros and cons of the course. Also, mention some changes you might want to see, and evaluate how relevant the skills you acquired are to real life.
  • Interview – First, introduce the person and briefly mention the discussion. Touch on the main points, controversies, and your opinion of that person.

Everyone has their style of writing a reflective essay – and that's the beauty of it; you have plenty of leeway with this type of paper – but there are still a few tips everyone should incorporate.

Before you start your piece, read some examples of other papers; they will likely help you better understand what they are and how to approach yours. When picking your subject, try to write about something unusual and memorable — it is more likely to capture your readers' attention. Never write the whole essay at once. Space out the time slots when you work on your reflection paper to at least a day apart. This will allow your brain to generate new thoughts and reflections.

  • Short and Sweet – Most reflection papers are between 250 and 750 words. Don't go off on tangents. Only include relevant information.

Reflection offers you the opportunity to consider how your personal experiences and observations shape your thinking and your acceptance of new ideas.  Professors often ask students to write reading reflections.  They do this to encourage you to explore your own ideas about a text, to express your opinion rather than summarize the opinions of others.  Reflective writing can help you to improve your analytical skills because it requires you to express what you think, and more significantly, how and why you think that way.  In addition, reflective analysis asks you to acknowledge that your thoughts are shaped by your assumptions and preconceived ideas; in doing so, you can appreciate the ideas of others, notice how their assumptions and preconceived ideas may have shaped their thoughts, and perhaps recognize how your ideas support or oppose what you read.

Types of Reflective Writing

Popular in professional programs, like business, nursing, social work, forensics and education, reflection is an important part of making connections between theory and practice.  When you are asked to reflect upon experience in a placement, you do not only describe your experience, but you evaluate it based on ideas from class.  You can assess a theory or approach based on your observations and practice and evaluate your own knowledge and skills within your professional field.   This opportunity to take the time to think about your choices, your actions, your successes and your failures is best done within a specific framework, like course themes or work placement objectives.  Abstract concepts can become concrete and real to you when considered within your own experiences, and reflection on your experiences allows you to make plans for improvement.

To encourage thoughtful and balanced assessment of readings, many interdisciplinary courses may ask you to submit a reading reflection.  Often instructors will indicate to students what they expect of a reflection, but the general purpose is to elicit your informed opinions about ideas presented in the text and to consider how they affect your interpretation.   Reading reflections offer an opportunity to recognize – and perhaps break down – your assumptions which may be challenged by the text(s). 

Approaches to Reflective Inquiry

You may wonder how your professors assess your reflective writing.  What are they looking for? How can my experiences or ideas be right or wrong?  Your instructors expect you to critically engage with concepts from your course by making connections between your observations, experiences, and opinions.   They expect you to explain and analyse these concepts from your own point of view, eliciting original ideas and encouraging active interest in the course material.

It can be difficult to know where to begin when writing a critical reflection.  First, know that – like any other academic piece of writing – a reflection requires a narrow focus and strong analysis.  The best approach for identifying a focus and for reflective analysis is interrogation.   The following offers suggestions for your line of inquiry when developing a reflective response.

It is best to discuss your experiences in a work placement or practicum within the context of personal or organizational goals; doing so provides important insights and perspective for your own growth in the profession. For reflective writing, it is important to balance reporting or descriptive writing with critical reflection and analysis.

Consider these questions:

  • Contextualize your reflection:  What are your learning goals? What are the objectives of the organization?  How do these goals fit with the themes or concepts from the course?
  • Provide important information: What is the name of the host organization? What is their mission? Who do they serve? What was your role? What did you do?
  • Analytical Reflection: What did you learn from this experience? About yourself? About working in the field? About society?
  • Lessons from reflection: Did your experience fit with the goals or concepts of the course or organization?  Why or why not? What are your lessons for the future? What was successful? Why? What would you do differently? Why? How will you prepare for a future experience in the field?

Consider the purpose of reflection: to demonstrate your learning in the course.  It is important to actively and directly connect concepts from class to your personal or experiential reflection.  The following example shows how a student’s observations from a classroom can be analysed using a theoretical concept and how the experience can help a student to evaluate this concept.

For Example My observations from the classroom demonstrate that the hierarchical structure of Bloom’s Taxonomy is problematic, a concept also explored by Paul (1993).  The students often combined activities like application and synthesis or analysis and evaluation to build their knowledge and comprehension of unfamiliar concepts.  This challenges my understanding of traditional teaching methods where knowledge is the basis for inquiry.  Perhaps higher-order learning strategies like inquiry and evaluation can also be the basis for knowledge and comprehension, which are classified as lower-order skills in Bloom’s Taxonomy.

Critical reflection requires thoughtful and persistent inquiry.  Although basic questions like “what is the thesis?” and “what is the evidence?” are important to demonstrate your understanding, you need to interrogate your own assumptions and knowledge to deepen your analysis and focus your assessment of the text.

Assess the text(s):

  • What is the main point? How is it developed? Identify the purpose, impact and/or theoretical framework of the text.
  • What ideas stood out to me? Why? Were they new or in opposition to existing scholarship?

Develop your ideas:

  • What do I know about this topic? Where does my existing knowledge come from? What are the observations or experiences that shape my understanding?
  • Do I agree or disagree with this argument?  Why?

Make connections:

  • How does this text reinforce my existing ideas or assumptions? How does this text challenge my existing ideas or assumptions?
  • How does this text help me to better understand this topic or explore this field of study/discipline?

A Note on Mechanics

As with all written assignments or reports, it is important to have a clear focus for your writing.  You do not need to discuss every experience or element of your placement.  Pick a few that you can explore within the context of your learning.  For reflective responses, identify the main arguments or important elements of the text to develop a stronger analysis which integrates relevant ideas from course materials.

Furthermore, your writing must be organized.  Introduce your topic and the point you plan to make about your experience and learning.  Develop your point through body paragraph(s), and conclude your paper by exploring the meaning you derive from your reflection. You may find the questions listed above can help you to develop an outline before you write your paper.

You should maintain a formal tone, but it is acceptable to write in the first person and to use personal pronouns.  Note, however, that it is important that you maintain confidentiality and anonymity of clients, patients or students from work or volunteer placements by using pseudonyms and masking identifying factors. 

The value of reflection: Critical reflection is a meaningful exercise which can require as much time and work as traditional essays and reports because it asks students to be purposeful and engaged participants, readers, and thinkers.

Writing Critical Reflection

Reflective writing is a common genre in classrooms across disciplines. Reflections often take the form of narrative essays that summarize an experience or express changes in thinking over time. Initially, reflective writing may seem pretty straightforward; but since reflective writing summarizes personal experience, reflections can easily lose their structure and resemble stream-of-consciousness journals capturing disjointed musings focused on only the self or the past.   

Critical reflection still requires a writer to consider the self and the past but adopts an argumentative structure supported by readings, theories, discussions, demonstrated changes in material conditions, and resources like post-collaboration assessments, testimonial evidence, or other data recorded during the collaboration . Common arguments in critical reflections present evidence to demonstrate learning, contextualize an experience, and evaluate impact. While critical reflections still require authors to reflect inwardly, critical reflection go es beyond the self and examine s any relevant contexts that informed the experience. Then, writers should determine how effectively their project addressed these contexts. In other words, critical reflection considers the “impact” of their project: How did it impact the writer? How did it impact others? Why is the project meaningful on a local, historical, global, and/or societal level? H ow can that impact be assessed?  

In short: reflection and critical reflection both identify the facts of an experience and consider how it impacts the self. Critical reflection goes beyond this to conceive of the project’s impact at numerous levels and establish an argument for the project’s efficacy. In addition, critical reflection encourages self-assessment—we critically reflect to change our actions, strategies, and approaches and potentially consider these alternative methods.  

Collecting Your Data: Double-Entry Journaling

Double-entry journaling is a helpful strategy for you to document data, observations, and analysis throughout the entire course of a community-based project. It is a useful practice for projects involving primary research, secondary research, or a combination of both. In its most basic form, a double-entry journal is a form of notetaking where a writer can keep track of any useful sources, notes on those sources, observations, thoughts, and feelings—all in one place.  

For community-based projects, this might involve:  

  • Recording your observations during or after a community partner meeting in one column of the journal.  
  • Recording any of your thoughts or reactions about those observations in a second column.   
  • Writing any connections you make between your observations, thoughts, and relevant readings from class in a third column.  

This allows you to document both your data and your analysis of that data throughout the life of the project. This activity can act as a blueprint for your critical reflection by providing you with a thorough account of how your thinking developed throughout the life of a project.   

The format of a double-entry journal is meant to be flexible, tailored to both your unique notetaking practice and your specific project. It can be used to analyze readings from class, observations from research, or even quantitative data relevant to your project.  

Just the Facts, Please: What, So What, Now What

Getting started is often the hardest part in writing. To get your critical reflection started, you can identify the What , So What , and Now What? of your project. The table below presents questions that can guide your inquiry . Freewrite your answers to these questions; that is, respond to these questions without worrying about grammar, sentence structure, or even the quality of your ideas. At this stage, your primary concern is getting something on the page. Once you’re ready to begin drafting your critical reflection, you can return to these ideas and refine them.

Analyzing Your Experience: A Reflective Spectrum

Y our critical reflection is a space to make an argument about the impact of your project . This means your primary objective is to determine what kind of impact your project had on you and the world around you. Impact can be defined as the material changes, either positive or negative, that result from an intervention , program , or initiative . Impact can be considered at three different reflective levels: inward, outward, and exploratory.

Inward reflection requires the writer to examine how the project affected the self. Outward reflection explores the impact the project had on others. Additionally, you can conceptualize your project’s impact in relation to a specific organization or society overall, depending on the project’s scope. Finally, exploratory reflection asks writers to consider how impact is measured and assessed in the context of their project to ultimately determine: What does impact look like for the work that I’m doing? How do I evaluate this? How do we store, archive, or catalog this work for institutional memory? And what are the next steps?  

This process is cyclical in nature; in other words, it’s unlikely you will start with inward reflection, move to outward reflection, and finish with exploratory reflection. As you conceptualize impact and consider it at each level, you will find areas of overlap between each reflective level.   

Finally, if you’re having trouble conceptualizing impact or determining how your project impacted you and the world around you, ask yourself:   

  • What metrics did I use to assess the "impact" of this project? Qualitative? Quantitative? Mixed-methods? How do those metrics illustrate meaningful impact?  
  • How did the intended purpose of this project affect the types of impact that were feasible, possible, or recognized?  
  • At what scope (personal, individual, organizational, local, societal) did my outcomes have the most "impact"?  

These questions can guide additional freewriting about your project. Once you’ve finished freewriting responses to these questions, spend some time away from the document and return to it later. Then, analyze your freewriting for useful pieces of information that could be incorporated into a draft.  

Drafting Your Critical Reflection

Now that you have determined the “What, So What, Now What” of your project and explored its impact at different reflective levels, you are ready to begin drafting your critical reflection.  

If you’re stuck or find yourself struggling to structure your critical reflection, the OWL’s “ Writing Process ” [embe ded link ] resource may offer additional places to start. That said, another drafting strategy is centering the argument you intend to make.  

Your critical reflection is an argument for the impact your project has made at multiple levels; as such, much of your critical reflections will include pieces of evidence to support this argument. To begin identifying these pieces of evidence, return to your “reflection stem” responses . Your evidence might include :  

  • H ow a particular reading or theory informed the actions during your partnership ;  
  • How the skills, experiences, or actions taken during this partnerhsip will transfer to new contexts and situations;  
  • Findings from y our evaluation of the project;  
  • Demonstrated changes in thoughts, beliefs, and values, both internally and externally;  
  • And, of course, specific ways your project impacted you, other individuals, your local community, or any other community relevant to the scope of your work.  

As you compile this evidence, you will ulti mately be compiling ways to support an argument about your project’s efficacy and impact .  

Sharing Your Critical Reflection

Reflective writing and critical reflections are academic genres that offer value to the discourse of any field. Oftentimes, these reflective texts are composed for the classroom, but there are other venues for your critical reflections, too.  

For example, Purdue University is home to the Purdue Journal of Service-Learning and International Engagement ( PJSL ) which publishes student reflective texts and reflections with research components. Although PJSL only accepts submissions from Purdue students, other journals like this one may exist at your campus. Other venues like the Journal of Higher Education Outreach and Impact publish reflective essays from scholars across institutions, and journals in your chosen discipline may also have interest in reflective writing.

Reflection papers allow you to communicate with your instructor about how a specific article, lesson, lecture, or experience shapes your understanding of class-related material. Reflection papers are personal and subjective [1] X Research source , but they must still maintain a somewhat academic tone and must still be thoroughly and cohesively organized. Here's what you need to know about writing an effective reflection.

How to Start a Reflection Paper

To write a reflection paper, first write an introduction that outlines your expectations and thesis. Then, state your conclusions in the body paragraphs, explaining your findings with concrete details. Finally, conclude with a summary of your experience.

Step 2 Jot down material that stands out in your mind.

  • For lectures or readings, you can write down specific quotations or summarize passages.
  • For experiences, make a note of specific portions of your experience. You could even write a small summary or story of an event that happened during the experience that stands out. Images, sounds, or other sensory portions of your experience work, as well.

  • In the first column, list the main points or key experiences. These points can include anything that the author or speaker treated with importance as well as any specific details you found to be important. Divide each point into its own separate row.
  • In the second column, list your personal response to the points you brought up in the first column. Mention how your subjective values, experiences, and beliefs influence your response.
  • In the third and last column, describe how much of your personal response to share in your reflection paper.

Step 4 Ask yourself questions to guide your response.

  • Does the reading, lecture, or experience challenge you socially, culturally, emotionally, or theologically? If so, where and how? Why does it bother you or catch your attention?
  • Has the reading, lecture, or experience changed your way of thinking? Did it conflict with beliefs you held previously, and what evidence did it provide you with in order to change your thought process on the topic?
  • Does the reading, lecture, or experience leave you with any questions? Were these questions ones you had previously or ones you developed only after finishing?
  • Did the author, speaker, or those involved in the experience fail to address any important issues? Could a certain fact or idea have dramatically changed the impact or conclusion of the reading, lecture, or experience?
  • How do the issues or ideas brought up in this reading, lecture, or experience mesh with past experiences or readings? Do the ideas contradict or support each other?

Step 1 Keep it short and sweet.

  • Verify whether or not your instructor specified a word count for the paper instead of merely following this average.
  • If your instructor demands a word count outside of this range, meet your instructor's requirements.

Step 2 Introduce your expectations.

  • For a reading or lecture, indicate what you expected based on the title, abstract, or introduction.
  • For an experience, indicate what you expected based on prior knowledge provided by similar experiences or information from others.

Step 3 Develop a thesis...

  • This is essentially a brief explanation of whether or not your expectations were met.
  • A thesis provides focus and cohesion for your reflection paper.
  • You could structure a reflection thesis along the following lines: “From this reading/experience, I learned...”

Step 4 Explain your conclusions in the body.

  • Your conclusions must be explained. You should provide details on how you arrived at those conclusions using logic and concrete details.
  • The focus of the paper is not a summary of the text, but you still need to draw concrete, specific details from the text or experience in order to provide context for your conclusions.
  • Write a separate paragraph for each conclusion or idea you developed.
  • Each paragraph should have its own topic sentence. This topic sentence should clearly identify your major points, conclusions, or understandings.

Step 5 Conclude with a summary.

  • The conclusions or understandings explained in your body paragraphs should support your overall conclusion. One or two may conflict, but the majority should support your final conclusion.

Step 1 Reveal information wisely.

  • If you feel uncomfortable about a personal issue that affects the conclusions you reached, it is wisest not to include personal details about it.
  • If a certain issue is unavoidable but you feel uncomfortable revealing your personal experiences or feelings regarding it, write about the issue in more general terms. Identify the issue itself and indicate concerns you have professionally or academically.

Step 2 Maintain a professional or academic tone.

  • Avoid dragging someone else down in your writing. If a particular person made the experience you are reflecting on difficult, unpleasant, or uncomfortable, you must still maintain a level of detachment as you describe that person's influence. Instead of stating something like, “Bob was such a rude jerk,” say something more along the lines of, “One man was abrupt and spoke harshly, making me feel as though I was not welcome there.” Describe the actions, not the person, and frame those actions within the context of how they influenced your conclusions.
  • A reflection paper is one of the few pieces of academic writing in which you can get away with using the first person pronoun “I.” That said, you should still relate your subjective feelings and opinions using specific evidence to explain them. [8] X Research source
  • Avoid slang and always use correct spelling and grammar. Internet abbreviations like “LOL” or “OMG” are fine to use personally among friends and family, but this is still an academic paper, so you need to treat it with the grammatical respect it deserves. Do not treat it as a personal journal entry.
  • Check and double-check your spelling and grammar after you finish your paper.

Step 3 Review your reflection paper at the sentence level.

  • Keep your sentences focused. Avoid squeezing multiple ideas into one sentence.
  • Avoid sentence fragments. Make sure that each sentence has a subject and a verb.
  • Vary your sentence length. Include both simple sentences with a single subject and verb and complex sentences with multiple clauses. Doing so makes your paper sound more conversational and natural, and prevents the writing from becoming too wooden. [9] X Research source

Step 4 Use transitions.

  • Common transitional phrases include "for example," "for instance," "as a result," "an opposite view is," and "a different perspective is."

Step 5 Relate relevant classroom information to the experience or reading.

  • For instance, if reflecting on a piece of literary criticism, you could mention how your beliefs and ideas about the literary theory addressed in the article relate to what your instructor taught you about it or how it applies to prose and poetry read in class.
  • As another example, if reflecting on a new social experience for a sociology class, you could relate that experience to specific ideas or social patterns discussed in class.

Short Cover Letter Samples: Effective Examples for Job Applications

Sometimes, a short and simple cover letter is all you need.

Today's hiring managers are inundated with resumes and cover letters, making it an impossible task to read everything that comes across their desks. Because of this, you need to make a great first impression as quickly as possible. 

However, it can be a difficult task to condense years of experience, education, and career achievements into something concise. But you've come to the right place. Here, you'll find some short cover letter samples that will help you win the day. 

Less is more

A lot of job seekers fall into the trap of trying to fit everything they've ever done into their resume and cover letter under the false impression that will help them land an interview. Nothing could be further from the truth. 

The fact is, there isn't a hiring manager alive who is reading your resume and cover letter. Each document they get is quickly skimmed for pertinent information – details that prove the job seeker is the right person for the role they have open. 

This is where the concept of a short cover letter comes into play. Don't be confused, though. Short doesn't mean that it lacks value. The idea is, instead, to relay only what's most important to the hiring manager to ensure you land a coveted interview.

Get their attention

The goal is to grab the hiring manager's attention within six seconds. Once they come across something they find interesting, they'll slow down and read what you've provided. When it comes to writing a cover letter that sings your praises in a clear and precise manner, it's best to follow an outline. 

Even in a short cover letter, structure is important as it makes it easy for the hiring manager to quickly find what they're looking for.

Start your letter with the hiring manager's name , if possible. You can use LinkedIn to try to find their name, or perhaps it's listed in the job description. If you absolutely can't find a person's name, then you can use a general greeting like “Dear Hiring Manager.” 

The opening paragraph

This is your first opportunity to hook the hiring manager into reading. State your value proposition and let them know why you feel you'd be a great fit for the role. Be specific and mention the position by name – this is part of what's called tailoring your cover letter . 

Try to avoid using redundant language. If you perform an online search for cover letter templates, it's a fair bet that most of them will start with some form of “I'm writing to express my interest in [job].” No kidding! There's no need to use “I'm writing to express my interest” because that's completely obvious.

Instead, use more impactful language like “My career is punctuated by the ability to lead companies through complex transformations to drive sustainable growth.” Here, you've immediately stated something of value that you bring to the table. 

The middle paragraph

Since your focus is on writing a short cover letter, you don't have a lot of space to go into great detail about your achievements. Therefore, you should find something in the job description the company is really keen on getting from a new hire. Match that thing with an achievement from your past and write a blurb about it. Always try to use metrics – numbers – to prove your point. 

For example, “In my previous role, I increased sales by 15% in just 6 months by building lasting relationships with executive decision-makers at client companies.” 

Alternative to using a middle paragraph

It might be easier to make your point and keep it short if you replace the middle paragraph with a series of bullet points to break down your accomplishments. Even if you do this, you still want to focus on the parts of your career history that are relevant to the job you're applying for. 

Bullet points keep things clear and readable, making it virtually impossible for a hiring manager to miss the point you're trying to make. Also, bullet points add white space which improves how easily someone can skim through what you've written. 

Case in point:

Sentence in paragraph form:  

“In my previous role as a Sales Manager, I led a team of 15 sales reps to increase revenue by 20% year over year.” 

Sentence in bullet form:

Led a team of 15  sales representatives

Increased team revenue by 20% annually

You've said the exact same thing in both instances, but you make your point way faster in the bullet format than in the paragraph form. 

The closing paragraph

Now, you express your enthusiasm for the role and the company – if you know enough about the company to be passionate about what they do. Don't forget to invite them to contact you and thank them for their time. Sign your name (or type your name) beneath this last paragraph. And, yes, it's okay to include your contact info on a line beneath your name.

The beauty of writing a short cover letter is that you can do so whether you're fresh out of college or have decades of experience under your belt. Though admittedly, it does get more difficult the longer your career. To give you some ideas of what yours could look like, here are some short cover letter samples for different roles and experience levels. 

Avoid copying and pasting these as your own because no two careers are alike, and your cover letter needs to be properly targeted to the job you want. But you can absolutely use them as inspiration for writing your own short cover letter.

One of my proudest moments came during an internship at Digital Horizons, where I partnered with the Social Media Manager to oversee campaigns and analyze audience engagement. I created a new strategy for Instagram that resulted in a 25% increase in followers within three months. This experience not only sharpened my ability to create compelling content but also taught me how to interpret analytics and adjust strategies to drive better engagement.

One of the reasons this short cover letter works is the conversational tone. Your cover letter doesn't have to use the same stuffy language that your resume does. When you write your cover letter like this, it feels more approachable and engaging. Other than the tone, this short cover letter instantly highlights your degree and talks about practical skills you've gained. Even though there's not a lot of experience to draw from, it's still possible to find a way to inject an achievement.

There are key accomplishments – like leading HR operations across multiple locations and founding new committees – and enough detail to make the point without overwhelming the reader. On top of that, the tone is engaging without being verbose. There's even a polite yet confident call to action at the end.

Even at the executive level, this short cover letter works because it is bursting with value. It immediately zeros in on the amount of experience you have in a niche, highly regulated field and quickly talks about achievements. It also shows hiring managers that you're capable of leading both at the strategic and operational level by mentioning Board of Director experience. It may be written in a conversational tone, using phrases like “take the reins,” but it does so in a way that conveys confidence without sounding arrogant. 

Short is still impactful

As you write your short cover letter, remember the focus should be on clarity and professionalism while keeping it concise. It's easy to relay the value you can offer a new team without presenting a wall of text that is not only tedious to read but overwhelms the hiring manager into skipping your application altogether. This as-told-to essay is based on a transcribed conversation with John Morganelli Jr., a former Director of Admissions at Cornell University and the current Director of College Admissions for Ivy Tutors Network , about his experience with admission to elite colleges in the United States. The following has been edited for length and clarity.

College prep in the United States starts early. The summer after eighth grade, going into ninth grade, when students should start thinking about what clubs to join in high school. If you want to get into a US college and you wait until 10th and 11th grades, you may not have enough time to create the depth in the application you're looking for.

If you have good grades, you can get into a good college. But there's a subtle difference between an application that will get a child into an Ivy-level school versus an NYU-level school. Here are my insider tips from working as the director of admissions at Cornell University.

Prospective major selection can impact your chances

When I was the Director of College Admissions at Cornell, managing institutional priorities was my biggest job. Elite colleges want diversity — ethnic, intellectual, academic, and social. One of the things that can make students more attractive to a top-tier school is their prospective major.

When you apply to a university, you first apply to the college: arts and sciences, engineering, or business college. Moving between colleges is difficult, but you don't have to declare your major until the second semester of your sophomore year. You can pick any major you have the grades for; it doesn't have to be what's on the application.

The prospective major is just the lens through which readers look at your application. Some majors are more competitive than others. Computer science and pre-med are competitive, but if you say on your application that you want to major in anthropology, the popularity would be very low.

Anthropology is housed in the same college as these more competitive programs but receives fewer applications. And the quality of the apps for anthropology — the engagement, the research, and the objective achievement — would be more diverse because the field is more broad.

Consider applying with a secondary or tertiary interest that may not be your long-term goal but would allow you a significantly easier pathway into the college type you want.

Activity lists are a needle mover in an application

The activity list is a focused list of your extracurricular activities. You want to add some personality and contribution-oriented language.

Many students struggle with it and treat it like a résumé by just explaining their duties.

Admissions officers want to understand your perspective, whatever activity you choose. If it was the school newspaper, what drew you specifically to this activity, and how did you make a difference in this role? Be clear about your contribution.

Clubs like the newspaper and the model UN are easily adaptable as precursors to various academic disciplines.

Don't leave the additional information section blank

The biggest opportunity students don't capitalize on is the additional information section.

90% of the apps we received were submitted with no additional information.

But you have 650 words available in that section. Use that section for what I call "evidence" — proof that you're already engaged with your prospective major in your community.

Conduct independent research with a community-oriented, information-sharing or advocacy aspect. Formulate a research question you want to know about independently or with a teacher's supervision.

The question could be, "Which groups are left out of public communication about injury prevention?" Write the answer as a paper.

Then, do some additional outreach on that topic in your local community. Maybe write an op-ed for the local newspaper, or attend a council meeting, and speak during the open forum. Get a video or a press clipping of that, and include the public outreach and the research paper's abstract in the additional information section.

Admissions officers glancing at this section will immediately recognize how passionate an applicant is. An application with this extra step will look a lot different than 99% of the students in the country.

Top colleges want you to have a personal brand

The acronym PAGE is a helpful reminder of the four things that make an application stand out.

"P" stands for perspective, "A" for activity or action, "G" is your academic goal, and "E" is ethos.

The difference between admitted and waitlisted students is the clear academic goal: your prospective major or a topic like housing insecurity in rural areas. The more specific, the better. The activities and actions you list should support that goal.

Most students who apply to Ivy League schools have clear goals and activities that support those goals. The differentiator is perspective; how they specifically approach life.

Ethos stands for the application's brand or theme, which should reflect all these elements. We write one for every student. It's about two sentences long and explains the student's values. For example, "I believe that a person must embrace being empathetic to overcome a lack of connection and foster meaningful relationships," or "I believe that being audience-centered, engaging, and adaptive in communication is essential to fostering meaningful engagement and effectively reaching diverse groups."

Infuse these qualities across all your activities, creating a brand or theme in the app. Tie your activity descriptions back to the ethos.

An admissions officer wants to understand the value you're adding to the community. Otherwise, it's just who's the smartest with the highest grades. The easiest way to do that is to create a brand.

Since pivoting to higher education consulting, I have used this strategy to help many students get accepted into Ivy League schools.
