How to Create a Video Presentation in PowerPoint

Once the iSpring Narration Editor window appears, you can either record a new video narration or import an existing video file.

How to import a video file

To import an existing video file, click on the Video button in the Import tab.

Find the video file and click on the Open button.

Pro tip : You can insert multiple videos at the same time. To do that, press and hold the Ctrl key while selecting several files.

In the Import Video window, you have the choice of importing your video at the current cursor position or at the beginning of the slide of your choice.

Note: If you choose to import your video at the beginning of a certain slide, you will have the option of selecting the Adjust slide duration option. This will adjust the slide you have selected to the length of your video. 

How to record a video in PowerPoint

To film yourself on a webcam, you can use the video narration feature. Click on the Record Video button on the editor’s toolbar.

The Record Video Narration panel will appear.

You can add a video narration for one or several slides at a time. To start recording video for the current slide, mark Process current slide only.

Step 2. Synchronize video with slides

Now it’s time to synchronize your video with your slides and animation effects. The latter are displayed as yellow bars on the Slides timeline. The great thing is that you’ll be able to choose the exact moment when an animation will appear while watching the video. This way, the effects will perfectly correspond to the narration in your video presentation.

Note : This is only applicable if you have animation effects attached to your slides. 

The sync process is quite simple to use. Just place the cursor where the sync should begin and click the Sync button on the toolbar.

A Sync panel will appear above the timeline. Click on the Start Sync button to start the process.

The Start Sync button will be replaced with the Next Slide or Next Animation button, depending on the next element in the sequence. Click on those buttons at the appropriate moment. Hit the Next Animation button at the point in the narration where you would like to start the next animation. For example, if you are listing information, you can have each new item appear when the narrator mentions it in the video narration.

Once you have finished, click on Done to quit the Sync mode. Then hit the Save & Close button in the upper-left corner.

Step 3. Switch layouts in Slide Properties

iSpring allows you to publish materials using one of two players: the highly customizable Universal player or the Video Lecture player. The latter displays the video presentation in a 50/50 layout and allows viewers to change the proportion between video and slides at any time.

The Universal player features three layouts for a video presentation:

• The Full layout displays the slide, sidebar, and navigation panel.

The No Sidebar layout displays the slide and the navigation panel only.

The Maximized Video layout displays the video in the center, the slide on the sidebar, and the navigation panel.

Your presentation doesn’t have to have the same layout everywhere. You can highlight key points by changing the proportion between the on-screen information and the video for each slide. 

To do that, click on Slide Properties on the toolbar.

In the Layout column, pick the desired layout for a particular slide from the drop-down list.

The layouts for the Video Lecture player can be changed at any time during  playback. You can still preset them, and they will work as follows:

• The Full layout displays video and the presentation in equal proportions.

The No Sidebar layout displays the full slide with a miniaturized video.

The Maximized Video layout will show the enlarged video and a smaller slide.

It is recommended that you set slides to advance automatically during the entire presentation. To do that, in Presentation Explorer , select all slides and click on the Auto button .

Step 4. Customize your player template

The built-in presentation player has flexible customization options for creating presentation templates: you can provide your viewers with the presenter’s info, a brand logo, an outline, and more. First, let’s choose which player to use. Click on Player on the product ribbon, and choose whether to use the Universal or Video Lecture player, as shown in the image below.

For this guide on making a video presentation, we’ll use the Universal player. To customize it, click on Templates . There are several player templates to choose from. We’ll use the Online Lecture with Video template as an example.

You can also experiment with the settings, doing things like turning off the outline and notes by clicking on the Layout button on the ribbon. Here’s what our player will look like:

Additionally, you can customize a presentation to match your brand colors by choosing one of the built-in color schemes or creating your own.

When you have finished customizing the player, click on Apply & Close in the upper left corner. Well done! You’ve put the finishing touches on your video presentation. 

Step 5. Publish your video presentation

When your video presentation is ready, the last step is to publish it to a web format so it can be easily accessed via a browser.

In the Publish Presentation window, select the My Computer tab from the menu at the left. Enter the presentation title and select a local folder where the presentation will be saved. Under Output Options , choose a format. We’ll be publishing to the HTML5 format to make our video presentation play seamlessly across all platforms and devices. These apps range from video recording or video editing software to animating your cartoons. Here’s an overview of five of the most powerful yet easy-to-learn video presentation makers.

By default, you can make your PowerPoint presentation into a video by saving it as one. This can be a solid choice if you don’t need narration for your video. But if you need to, you’ll still be able to record narrations from that menu without going back to the original PowerPoint presentation.

Here’s what you need to do to download your slides as a video in PowerPoint:

• Click on the Create video tab to start downloading your video.

To make your presentation even better, consider the following tips for creating a successful video presentation:

• Make your videos short and sweet . Keep your video clips long enough to grab the attention of your target audience but short enough to incite curiosity. Your goal is to maintain the viewer’s interest. Remember, the optimal length of a video presentation is no longer than 4-7 minutes.

FAQ on Creating Video Presentations

Here are answers to a few popular questions about making a video presentation.

How do I make an effective video presentation?

First and foremost, think about your target audience before you create video presentations. What are their ages, genders, and occupations? What is their prior knowledge on a topic or their level of proficiency? After you define the audience, choose the way you will be presenting accordingly. You should connect with your audience emotionally and ‘speak their language.’ In this way, you’ll communicate the right message to the viewers.

Second, it will be useful to prepare a script for your video. Of course, the slideshow will support you, and you can base your speech on its content. But if you write an intro, outro, some key points, and transition words in advance, you will present more confidently and reduce rambling or unnecessary pauses. This will help you focus on the effectiveness of your message.

How can I prepare myself for a video presentation?

Make sure you’re physically and technically prepared. When delivering a presentation, prevent your mouth and throat from getting dry. Using PowerPoint's animations increases your presentation's professionalism and helps you to emphasize certain elements within your slides. However, compared to the online version of PowerPoint, the animation pane in the Microsoft 365 app is confusing, unclear, and difficult to manage.

The main drawback of the animation pane on the Microsoft 365 PowerPoint app is its lack of clarity. When you add animations, you are offered a mixture of symbols and icons that—unless you're a seasoned PowerPoint expert—are confusing and unclear.

As you can see in the screenshot below, there are numbers and vague icons to the left of each animation, and different colored boxes in varying positions to the right. And if you have animations grouped together, you have to click on the gray bar to see them individually.

What's more, to make changes to the animation—such as the timing or the type of effect—you have to click on the drop-down box and then decide which is the best option (from the many available) to take you where you want to go.

It's also not immediately clear exactly what each animation is when you glance at the animation pane—you have to take the time to hover over the animation in the pane or click on the description to remind yourself of what you've chosen for each element on your slide. And when you do, you're only given minimal details.

Finally, all of the above confusions become even worse if you have dozens of animations on each slide.

It seems that Microsoft recognized that the Animation Pane in the app was substandard, so they took the opportunity to improve these features in the web-based version of the program.

First, you don't have to decode the confusing symbols and icons anymore. The words On Click have replaced the mouse icon, the name of the animation (in this case, Fly In) has replaced the colored star icon, and the duration of the animation is also displayed (in the app version, you'd have to go through two clicks to find this important information). Microsoft has also done away with the pointless colored boxes that were supposed to tell you the timing sequence of the animations.

However, the best feature of the web-based workflow is that you can click on any of the animations in the Animation Pane to view more details, so viewing and changing your animation options is much easier than in the app.

After you've clicked on an animation in the Animation Pane, you can:

• See and change the animation type.
• Decide whether the animation should appear when you click or after a certain time following the previous animation.
• Change the animation duration
• Add a delay.

In the app-based version of PowerPoint, these options were all accessible via a lottery of drop-down options and dialog boxes, so the PowerPoint for the web's Animation Pane saves you time and presents everything to you much more clearly.

It's also much easier to add more than one animation to an item when using the web version of PowerPoint. Simply select the element you want to add another animation to, and click "Add" at the top of the Animation Pane. Likewise, you can easily delete an existing animation by clicking the trash icon next to the relevant item in the Animation Pane.

To animate an item that doesn't already have animations, just select the item on your slide and the same "Add" button will become active for you to click.

Overall, the web-based interface is much more user-friendly and a huge improvement on the PowerPoint app, especially when it comes to using the Animation Pane.

Reorder Your Animations

To reorder your animations in the Animation Pane, click and drag the animation card up or down via the six dots next to the relevant animation.

View More Animations

By default, the Animation Pane offers some of the more commonly-used entrance animations when you want to animate an item. However, to see more animations, click "View More Animations," which will show more entrance, exit, and emphasis animations.

Animate Items Together

To apply the same animation to multiple items on your slide, click the first item, hold Ctrl, and then select the other items. Then, click "Add" in the Animation Pane, and choose the animation you want to use. When you present your slideshow, all the items you selected will appear, exit, or be emphasized in the same way and at the same time.

How To Get Free Access To Microsoft PowerPoint

E very time you need to present an overview of a plan or a report to a whole room of people, chances are you turn to Microsoft PowerPoint. And who doesn't? It's popular for its wide array of features that make creating effective presentations a walk in the park. PowerPoint comes with a host of keyboard shortcuts for easy navigation, subtitles and video recordings for your audience's benefit, and a variety of transitions, animations, and designs for better engagement.

But with these nifty features comes a hefty price tag. At the moment, the personal plan — which includes other Office apps — is at $69.99 a year. This might be the most budget-friendly option, especially if you plan to use the other Microsoft Office apps, too. Unfortunately, you can't buy PowerPoint alone, but there are a few workarounds you can use to get access to PowerPoint at no cost to you at all.

Method #1: Sign Up For A Free Microsoft Account On The Office Website

Microsoft offers a web-based version of PowerPoint completely free of charge to all users. Here's how you can access it:

• Visit the Microsoft 365 page .
• If you already have a free account with Microsoft, click Sign in. Otherwise, press "Sign up for the free version of Microsoft 365" to create a new account at no cost.
• On the Office home page, select PowerPoint from the side panel on the left.
• Click on "Blank presentation" to create your presentation from scratch, or pick your preferred free PowerPoint template from the options at the top (there's also a host of editable templates you can find on the Microsoft 365 Create site ).
• Create your presentation as normal. Your edits will be saved automatically to your Microsoft OneDrive as long as you're connected to the internet.

It's important to keep in mind, though, that while you're free to use this web version of PowerPoint to create your slides and edit templates, there are certain features it doesn't have that you can find on the paid version. For instance, you can access only a handful of font styles and stock elements like images, videos, icons, and stickers. Designer is also available for use on up to three presentations per month only (it's unlimited for premium subscribers). When presenting, you won't find the Present Live and Always Use Subtitles options present in the paid plans. The biggest caveat of the free version is that it won't get any newly released features, unlike its premium counterparts.

Method #2: Install Microsoft 365 (Office) To Your Windows

Don't fancy working on your presentation in a browser? If you have a Windows computer with the Office 365 apps pre-installed or downloaded from a previous Office 365 trial, you can use the Microsoft 365 (Office) app instead. Unlike the individual Microsoft apps that you need to buy from the Microsoft Store, this one is free to download and use. Here's how to get free PowerPoint on the Microsoft 365 (Office) app:

• Search for Microsoft 365 (Office) on the Microsoft Store app.
• Install and open it.
• Sign in with your Microsoft account. Alternatively, press "Create free account" if you don't have one yet.
• Click on Create on the left side panel.
• Select Presentation.
• In the PowerPoint window that opens, log in using your account.
• Press Accept on the "Free 5-day pass" section. This lets you use PowerPoint (and Word and Excel) for five days — free of charge and without having to input any payment information.
• Create your presentation as usual. As you're using the desktop version, you can access the full features of PowerPoint, including the ability to present in Teams, export the presentation as a video file, translate the slides' content to a different language, and even work offline.

The only downside of this method is the time limit. Once the five days are up, you can no longer open the PowerPoint desktop app. However, all your files will still be accessible to you. If you saved them to OneDrive, you can continue editing them on the web app. If you saved them to your computer, you can upload them to OneDrive and edit them from there.

Method #3: Download The Microsoft PowerPoint App On Your Android Or iOS Device

If you're always on the move and need the flexibility of creating and editing presentations on your Android or iOS device, you'll be glad to know that PowerPoint is free and available for offline use on your mobile phones. But — of course, there's a but — you can only access the free version if your device is under 10.1 inches. Anything bigger than that requires a premium subscription. If your phone fits the bill, then follow these steps to get free PowerPoint on your device:

• Install Microsoft PowerPoint from the App Store or Google Play Store .
• Log in using your existing Microsoft email or enter a new email address to create one if you don't already have an account.
• On the "Get Microsoft 365 Personal Plan" screen, press Skip For Now.
• If you're offered a free trial, select Try later (or enjoy the free 30-day trial if you're interested).
• To make a new presentation, tap the plus sign in the upper right corner.
• Change the "Create in" option from OneDrive - Personal to a folder on your device. This allows you to save the presentation to your local storage and make offline edits.
• Press "Set as default" to set your local folder as the default file storage location.
• Choose your template from the selection or use a blank presentation.
• Edit your presentation as needed.

Do note that PowerPoint mobile comes with some restrictions. There's no option to insert stock elements, change the slide size to a custom size, use the Designer feature, or display the presentation in Immersive Reader mode. However, you can use font styles considered premium on the web app.

Method #4: Use Your School Email Address

Office 365 Education is free for students and teachers, provided they have an email address from an eligible school. To check for your eligibility, here's what you need to do:

• Go to the Office 365 Education page .
• Type in your school email address in the empty text field.
• Press "Get Started."
• On the next screen, verify your eligibility. If you're eligible, you'll be asked to select whether you're a student or a teacher. If your school isn't recognized, however, you'll get a message telling you so.
• For those who are eligible, proceed with creating your Office 365 Education account. Make sure your school email can receive external mail, as Microsoft will send you a verification code for your account.
• Once you're done filling out the form, press "Start." This will open your Office 365 account page.

You can then start making your PowerPoint presentation using the web app. If your school's plan supports it, you can also install the Office 365 apps to your computer by clicking the "Install Office" button on your Office 365 account page and running the downloaded installation file. What sets the Office 365 Education account apart from the regular free account is that you have unlimited personal cloud storage and access to other Office apps like Word, Excel, and Outlook.

From PowerPoint to Prezi: How Fernando Rych elevated his presentation pitch

There is always a risk of miscommunication when presenting or sharing information.

However, for a Prezi user, this is not a concern when making pitch presentations. This user is confident that the information has been presented clearly and only needs to concentrate on closing the deal.

Meet Fernando Rych . He’s the founder of an innovation agency where he pitches potential investors and executives. Recently, he met with Danone and Sodexo who wanted to do a huge transformation inside their businesses. They hired his agency as a result of his successful client pitches made in Prezi. 

Discovering Prezi and closing deals 

At the age of 20, Fernando Rych was offered the position of CTO for six companies. In this role, he was tasked with leading executive meetings and presenting at conferences for brands like Coke, Nike, Calvin Klein, etc. These companies were looking to expand their markets to Brazil where Fernando is based. To achieve this, he needed to pitch his presentation on the main stage. 

His goal was to find the best tool to help his audience absorb information. And that’s when he discovered Prezi . 

Once he learned that Prezi was 16.4% more engaging and 25.3% more effective than PowerPoint , he knew he made the right choice. 

“When you change from one slide to another in PowerPoint, you’re losing precious seconds of attention,” Fernando said. 

Improved learning experience 

When he first began teaching, he typically used PowerPoint and Google Slides but disliked how distracted his students were with reading all the text on the slides. With Prezi, he was able to highlight more visual elements, allowing his students to focus on him and not just on the presentation. 

“When you do that in Prezi, it’s a very smooth transition, and you don’t have a moment where you have to scan the entire screen to search for the information before understanding where you are,” Fernando said. 

A few seconds add up, especially as a professor. Fernando teaches MBA courses at the University of Sao Paolo, where he incorporates presentation tips into every lecture. For one of his business consulting courses, he explains how to build a strong presentation, a business speech, and an elevator pitch. 

When it comes to presenting, he says that in a traditional presentation format, it’s “like jumping or teleporting to another continent but with Prezi, it’s like walking your way to that place. You’re able to understand the whole journey and take your time experiencing it – that’s Prezi. ” 

Staying ahead of the latest technological trends 

As a LinkedIn Top Voice in information technology, Fernando is always looking to refresh his technological skills and stay up-to-date on the latest tools. That’s how he stumbled upon the Google Developer Communities . He loved the community format of knowledge sharing and wanted to give back as well. Fernando used Prezi to lecture to these communities, helping companies like Microsoft, Oracle, IBM, Paypal, Slack, and Twitter, on how to create and empower their communities. 

In total, Fernando has founded 24 communities, supported 950+ events, and put on 80+ hackathons. One of the hackathons he organized was for the United Nations, where he set the Latin America record for most people physically present at a hackathon and was awarded the distinction of Latin American Ambassador. 

When he’s not supporting communities, Fernando works as a Senior Global Innovation Consultant. There, one of his main responsibilities is to find impossible projects and make them possible. 

For all of these presentations, he uses Prezi to make sure they’re paying attention to him and the content, instead of the slides changing from one to the other. Fernando says he uses Prezi on a daily basis to achieve his target results.

Record your screen in PowerPoint

You can record your computer screen and related audio, and then embed it in your PowerPoint slide—or you can save it as a separate file.

Open the slide that you want to put the screen recording on.

On the Insert tab of the ribbon, select Screen Recording .

Tip:  PowerPoint automatically records the audio and the mouse pointer, so by default those options are selected on the control dock. To turn them off, deselect Audio  and Record Pointer.

Select  Record . Use Pause as needed and Stop when you're done. 

Note:  Unless you pin the Control Dock to the screen, it will slide up into the margin while you record. To make the unpinned Control Dock reappear, point the mouse cursor at the top of the screen.

Your video is added to the slide. Right-click the video frame, select the  Start  icon and pick how you want your video to start: In Click Sequence , Automatically , or When Clicked On .

You can change the look of the video by right-clicking the video frame, select the  Style icon, and pick another shape. 

Important:     To use the screen recording feature in PowerPoint 2013, install the February 16, 2015 update for PowerPoint 2013 .

On the Insert tab, click Screen Recording .

On the Control Dock, click Select Area (Windows logo key+Shift+A).

The minimum size area you can record is 64x64 pixels.

Tip:     PowerPoint automatically records the audio and the mouse pointer, so by default those options are selected on the control dock. To turn them off, deselect Audio (Windows logo key+Shift+U) and Record Pointer (Windows logo key+Shift+O).

If you have already done a screen recording during your current PowerPoint session, your prior area selection will appear on the screen. You can proceed with recording if that selection area suits you, or you can click Select Area to start over.

Click Record (Windows logo key+Shift+R).

Tip:    Unless you pin the Control Dock to the screen, it will slide up into the margin while you record. To make the unpinned Control Dock reappear, point the mouse cursor at the top of the screen.

To control your recording:

Click Pause to temporarily stop the recording (Windows logo key+Shift+R).

Click Record to resume recording (Windows logo key+Shift+R).

Click Stop to end your recording (Windows logo key+Shift+Q) (shown below).

When you are finished recording, save your presentation: File > Save . The recording is now embedded on the slide you selected in step 1.

To save the recording itself as a separate file on your computer, right-click the picture on the slide that represents the recording, and select Save Media as . In the Save Media As dialog box, specify a file name and folder location, then click Save .

Save your screen recording as a separate file

Right-click the video frame, and select  Save Media as .

In the Save Media as box, choose a folder, and in the File name box, type a name.

Select  Save.

Trim your video

Right-click the video frame, and select  Trim .

To determine where you want to trim your video footage, in the Trim Video box, select  Play .

When you reach the point where you want to make the cut, select  Pause . Use the Next Frame and Previous Frame buttons to specify precise timing.

Do one or more of the following:

To trim the beginning of the clip, select the start point (shown in the image below as a green marker). When you see the two-headed arrow, drag the arrow to the desired starting position for the video.

To trim the end of the clip, click the end point (shown in the image above as a red marker). When you see the two-headed arrow, drag the arrow to the desired ending position for the video.

Select  OK .
