Defining Home Management And Its Purpose

Home management is the process of overseeing and organizing the various tasks and responsibilities involved in running a household.

This includes everything from keeping track of finances and bills to cleaning the house and preparing meals.

The purpose of home management is to make life easier and less stressful for everyone involved. By taking care of the little things, we can free up time and energy to focus on the things that matter most to us.

In a well-run household, no one should feel overwhelmed by the day-to-day grind. Instead, everyone should feel confident and capable, knowing that they are playing an important role in keeping the wheels turning.

When everyone pitches in and does their part, home management becomes second nature. It’s not about doing everything perfectly; it’s about finding what works for you and your family.

Have you thought about using a chore chart to keep everyone accountable for the tasks they need to do?

The Benefits Of Home Management

There are plenty of benefits to keeping your home well-managed. For one, it can help you avoid costly repairs down the line.

Regular maintenance and upkeep can help identify potential problems early on before they have a chance to cause serious damage.

Additionally, a well-managed home is often more comfortable and inviting than one that is neglected.

This can be important if you ever decide to sell your home, as potential buyers are more likely to be impressed by a property that appears to have been well cared for.

Finally, there is simply a sense of satisfaction that comes with knowing your home is in good shape. Whether you’re doing it for yourself or for your family, taking pride in your home can be its own reward.

How To Get Started With Home Management

Home management can seem like a daunting task, but it doesn’t have to be! The key to successful home management is organization and focus. Here are a few tips to get you started:

First, take inventory of what needs to be done. Make a list of all the tasks that need to be completed on a daily, weekly, and monthly basis. Once you have a clear idea of what needs to be done, you can start to develop a plan of action.

Have you tried a daily checklist for the tasks you need to get done?

Once you have a general idea of what needs to be done, create a cleaning schedule and try to stick to it as much as possible. In addition to regular cleaning, don’t forget about important maintenance tasks like changing air filters and checking the smoke detectors. By staying on top of these things, you can help keep your home in tip-top shape.

Next, delegate tasks to other members of your household. Everyone should pitch in to help with the upkeep of the home. By involving others, you can lighten your load and make things more efficient.

Finally, establish some routines and stick to them. Having set times for certain tasks will help to keep things running smoothly. When everyone knows what needs to be done and when it needs to be done, things will run more smoothly overall.

With these tips in mind, you’ll be on your way to successful home management in no time!

Tips For Creating A Successful Home Management System

A home management system is only as good as the effort you put into it.

If you’re not consistent with tracking and maintaining your system, it will quickly become outdated and ineffective.

Here are a few tips for creating a successful home management system:

  • Keep it simple. Don’t try to track every single thing in your home. Focus on the areas that are most important to you and your family.
  • Be consistent. The key to any successful system is consistency. If you only track your cleaning schedule once in a while, it’s not going to do much good. Set aside some time each week to update your system.
  • Get everyone involved. A home management system is only effective if everyone in the household is on board. Make sure everyone knows how the system works and where to find the information they need.
  • Stay flexible. Things change, so be prepared to adjust your system as needed. If something isn’t working, don’t be afraid to ditch it and start over.

Troubleshooting Common Problems With Home Management

You can start small by tackling one room at a time, or you can focus on specific areas like your desk or closet. Once you’ve made some headway, you’ll be surprised at how much better you feel.

Repairs And Maintenance Of The Home

Another common issue is dealing with repairs and maintenance.

Whether it’s a leaky faucet or a broken window, unexpected home repairs can be frustrating.

And if you’re not sure how to fix the problem yourself, it can be tempting to put off the repair until later.

But putting off needed repairs will only make the problem worse in the long run. Instead, take the time to research the issue and find a qualified professional who can help.

Dealing with home management problems doesn’t have to be stressful. By following these simple tips, you can keep your home running smoothly – without pulling your hair out in the process.

Effective management enhances the chances of reaching the desired goals through wise decisions and effective use of resources.

Devdas, “Home management is making the best use of what you have to get what you want.” What you have” means the resources available in the family and “What you want to get” meaning to goals or aims of the family. All the resources (Both human and non-human) which are available for a particular family must be utilized properly in order to achieve the family goals.

Just like that all human and non-human resources are deposited in the DAM of Home Management. How to run a household: the importance of home management

The importance of home management

The Importance of Home Management as a Basic Need

Table of Contents

One of life’s basic necessities involves having a place we call home. During the 1940’s a psychologist, Abraham Maslow, determined that there are 5 basic needs: physiological, safety, love/belonging, self-esteem, and purpose.  This isn’t an absolute list, but is where the importance of home management comes in.  There is room for improvement as we’ve gained insight into human nature and as culture has evolved, but a good starting point to examine human needs.

Having shelter and feeling safe is fundamental, but also can be complicated.  This can look drastically different for each person but there are many similarities. We want a roof over our head, food on the table, a place where loved ones can gather, and safe surroundings. Different life circumstances lead to different housing situations, depending on the stage of life you’re in. You might be in a position where you need to rent or even live with family member or friends. Or maybe you own a home.

the importance of household management

People Make Up the HOme

There’s also the possibility of roommates or you live by yourself.  If you have family living with you, this could be just a spouse.  But could also include kids, parents, siblings, grandparents.  Living arrangements are also impacted by cultural preferences.  The last factor impacting housing involves financial circumstances.  Each person’s individual life circumstances impact living arrangements and create a unique situation that represents who you are and the stage of life you’re in.

The one thing we all have in common is that we long for a place to call home that is warm and inviting and calming .  A place that we want to come home to.  But a house doesn’t run itself.  The belongings we own don’t put themselves away.  Food doesn’t cook itself and end up on the table.  It would be so nice if it was that easy!!

Is Homemaking the same as Housekeeping?

By definition, homemaking is the creation and management of a home, especially as a pleasant place in which to live. It involves overseeing the day-to-day operations that take place in the home.  This is different than housekeeping that only takes into consideration of the home and keeping it clean.  Homemaking involves values, priorities, and creating an environment of love and support for everyone who lives within the home.

In addition, we usually think of homemaking and we think of someone who stays at home. Homemaking usually infers something that a woman would do.  Making a home look pretty, creating a functional space for her family, and maintain order in her surroundings.  If she is a stay at home mom or wife, making sure the house is clean and there is food on the table.

But I think that as roles and culture has changed, this does not have to be the case anymore.  More couples are splitting responsibilities, and I also think our priorities and standards have shifted some.  But as culture shifts and roles aren’t as clearly defined, a more practical approach can be taken and that’s when household management is a better term to use.

It removes the stigma that this is the woman’s responsibility and involves each person who lives within the home.

The Benefits of Maintaining Your Home and Household

Reduced stress.

When you create a plan on how you want to maintain your home, you have the steps in place to set you up for success.  When you determine what you’re good at and how to handle the things hat you’re not, you’ll feel confident in your abilities which will reduce stress.

Establish habits and routines

If homemaking doesn’t come naturally, creating routines will help you develop better habits.  And even if you are good at these things, life can be overwhelming, but if you have routines in place that have become habitual, there will less of a chance to get off track.

Make Room for what’s important

When you put homemaking in its rightful place, you can spend more time on the things that matter.  Also, when you have a plan, keep up with the routine, you become more efficient at getting things done.

The Complexities of Managing a Household

So, what all is involved in managing a home?  Is there a title that fits all the responsibilities and the tasks involved?  Who is responsible for all that is involved?  How should each task be accomplished and what is the best way to go about things?  Is there a good way of establishing a routine so that your house can run like clockwork? All these things should be taken into consideration or at least pondered to determine how this will work for you and what it should look like.

The Importance of Home Management

Creates functionality through systems.

I function best when I create systems that fit my personality and lifestyle, that help me to maintain my sanity and allow me to function in the other areas of life.  Some of these categories don’t necessarily involve an actual physical home, but are important to me in the overall process.

I think of homemaking as a way to add order and functionality to my life, and a lot of that is done within the home.  Home management helps creating a home where one can flourish and be comfortable.  The process of doing this takes place in the management of the home.

A Place Where Memories Can Be Made

The main goal or purpose, no matter how defined or what it is called is to make sure the home is place where memories are made, family and friends can enjoy their time together, and that the household is run in a way where each person can fulfill their duties and reach their goals.  Homemaking can be a calling or it can be a stepping stone for achieving more.  A properly functioning home helps all facets of life. It allows us to keep up with the things that need to be done, placing a greater focus on the things that matter, our experiences, and making memories with the people we love.

When Homemaking Doesn’t Come Naturally

What should you do if you’re not good at these things?  I don’t think taking care of these tasks necessarily come naturally to everyone.  More and more family units are being redefined and roles are shifting. This makes the importance of home management even more complicated. It’s not just as simple as the woman stays at home and this is what she’s supposed to take care of the home.  As we determine all the tasks involved in managing a home, it’s important to also analyze what skill sets, abilities and qualities you have. The best practice is to develop good habits when it comes to household management.  This is how to set yourself up for success.

  • Make home management a priority
  • Set aside enough time in your schedule to complete necessary tasks
  • Develop good time management skills
  • Utilize strengths and recognize weaknesses
  • Delegate or outsource when necessary
  • Make sure family members are on board as much as possible.
  • Make sure there are clear expectations and defined roles

The Best Place to Start is to Determine Everything that is Involved

This is a list of the areas of my life and things that are important for me to prioritize.

Homemaking Categories:

  • Organization/Storage
  • Function/Systems
  • Grocery shopping
  • Meal planning
  • Schedule and routines
  • Finance and bills
  • Relationships
  • Spirituality
  • Creativity/Hobbies

There are a lot of hats to put on that involve many different skill sets, but hopefully, you can see the importance of home management.  If we try and conquer these roles and set high standards for ourselves, we set ourselves up for failure. But when we decide on what needs to be done, when and how to do it, and take into consideration our strengths and weaknesses, we can set up a household management plan that can be successful.

Hi, I’m Shara

I have a passion for organizing. This stems from being naturally drawn to simplicity and structure in my home. Combined with my desire to help women achieve their goals, Simply Renewed Living was born.

I love that there is a difference between homemaking and housekeeping. It is completely different. Your list is a great one to model and I feel that I have been ignoring a few of the 17. Thanks for the great tips and inspiration!

This is a great work especially in modern times when people get into marriages and home making unprepared and without any plan. Is there any way you think such families could be helped to reduce domestic violence and divorce cases that are common these days.

The Importance of Home Management: 5 Unique Benefits

  • April 14, 2021
  • by Ashleigh

There’s a difference between making sure your home is clean and making sure a home with all of its components is running efficiently. More importantly, there’s a difference between having somewhere to live and living in a home you actually enjoy.

The importance of Home Management is knowing the difference between these two concepts and recognizing the benefits of implementing a system at home that makes sure things are running on auto-pilot.

The ultimate goal of home management is that you free up some time for yourself by having things at home run efficiently.

There are so many components to running a home. From cleaning schedules to making sure the kids and spouse feel loved. From making sure bills aren’t paid late to putting a morning routine in place. Running a home can be overwhelming, but putting systems in place will help you reap the benefits of Home Management.

5 Benefits and The Importance of Home Management

1. creates routines & consistency.

One of the biggest benefits and the importance of home management is the fact that you’re building routines and consistency around the things that matter most.

Bills are never late because budgets are in place and payments are on auto-pilot, your home is mostly guest-ready because cleaning and decluttering happens on a regular basis. You’re never running around last minute trying to throw together dinner because you had a plan for the week on Sunday.

Routines can be hard to implement and stick to, but once you learn how to make systems and routines work for your family, that consistency is what builds up to full on auto-pilot systems. When home management is on auto-pilot, life, in general, becomes easier.

Things are easier to manage, last minute plans can actually be fit in without added stresses, and your time is freed up for more important things in life.

Implementing routines that create a whole home management system can also positively impact your mental health .

2. Keeps the Family on the Same Page

Isn’t it a great feeling when your family is on the same page?

When everyone in the household knows that it’s a team effort to clean up once dinner is done, things happen a lot faster and the stress of trying to ask for help is gone.

A nightly cleanup routine is normal in our household and everyone wants to get it done so we have time to relax before the night is over as a family. Sure, it was hard at first to get everyone on board, but now, everyone knows that after dinner it’s clean up time and everyone helps in their own way.

One of my favorite forms of home management is communication management within a family. Having great communication within a family about things important to keeping the home running is a GAME CHANGER!

Seriously! If you don’t have a family command center yet, this is a MUST HAVE for anyone looking into the importance of home management.

Your family is your team. So when the family is on the same page and is helping one another out, the load is lighter for everyone and things become easier!

3. Creates a Home You Enjoy

I don’t know about you, but I find joy in coming home to a house I love that is for the most part, clean enough.

Now, we don’t have some ridiculously huge home that’s brand new with upgrades throughout. Let’s be real, our home is a modest size (1600 sq ft), needs some love in certain areas, and could use a fresh coat of paint. But, because of implementing systems, I don’t remember the last time I was late on paying a bill, my home is cleaned routinely throughout each week, I don’t have piles of laundry everywhere, and I enjoy spending time at home.

I can honestly say that because I have taken the time to implement consistent routines that make up a whole home management system, I can sleep better each night and enjoy my free time because it’s not all spent on catching up from the week before.

Sure, things aren’t perfect, but life isn’t perfect. As a working mom, I aim for ‘good enough’ and because I know my home management is mostly on auto-pilot, getting to ‘good enough’ is a lot easier than it used to be.

4. Teaches Your Kids Life Long Lessons

If you want your kids to learn how to get along in the real world, involving them in home management is the perfect way to introduce them. They’ll be light years ahead of most kids when it comes to money management, laundry and how to live life in the real world.

We recently introduced a money system to our daughter where she gets a budget that she earns through helping with the house. She can use that money to ‘buy’ t.v. time, Nintendo Switch time, a special treat, etc.

It’s nothing complicated, but it has introduced her to budgeting, how to earn money through hard work, the importance of delayed gratification (sometimes we say you can have 10 minutes of t.v. time now or you can wait until after dinner and get 30 minutes), and teamwork.

We introduced chores early on when my daughter was two. She showed interest in helping organize the shoes by the front door so we told her that was her responsibility. She is now 5 and that is still something she manages daily. We don’t have to bug her (for the most part) to make sure it’s maintained. She actually takes pride in how the shoes look and enjoys it.

We never tried to force chores on her, we just let her help when she became interested in something.

My son is now just over a year and LOVES to help unload the dishwasher. What kid doesn’t??

Now every time I need to unload the dishes, I ask him to help. Any guesses as to what his first chore will be??

As soon as your kids show interest in helping with a piece of home management, get them involved! You won’t have to pull teeth because they are the ones showing interest. They may break a few dishes along the way and you may have to re-do some of their work, but the lessons they are learning far outweigh the downfalls.

Pay attention to what your kids may be interested in and get them involved as soon as you see that spark in their eyes. Get creative when teaching them so they stay excited and absorb everything you teach them.

5. Keeps Your Home Organized

The benefits of decluttering and a good cleaning schedule are so important in home management. Creating these systems will ensure that your home is never overcrowded with “stuff” and your home is always guest-ready.

Once you do a deep declutter and cleaning session, you just need to be in maintenance mode. Having a routine in place to keep the clutter and cleaning on track will keep your home organized throughout the year.

Sometimes getting started with these two things can be very overwhelming, but once you’ve found what works for you and your family, that consistency ensures your home will never turn into a chaotic mess again.

Consistency may be the hardest part, but I assure you, it’s worth trying. I can’t tell you how many times I’ve wanted to skip the night time and morning routines , but I’m so glad I stuck to them because getting ready for family get togethers or summer parties is so much easier now that I have these routines in place.

There are so many benefits to implementing a whole-home approach to managing all the things. The importance of home management is so huge that I’ve dedicated a lot of my time researching the benefits of doing the work up front and in a systematic way. home management essay

Importance of Home Management

Home management is the process of properly maintaining a home and property and overseeing necessary household activities. Much like operating a business, managing a home requires skills such as planning, organizing, budgeting and directing. Effective home management is important for maintaining the condition of the property and the overall financial health of the family that resides there.

Staying Organized

Video of the Day

Effective home management helps you keep things organized around the house. You'll be able to keep track of household items and you won't have to rush around looking for your keys or clothing in the morning while preparing to go to work. You'll also reduce clutter that can creep up over time if you don't have a plan to dispose of unnecessary items. You'll reduce the likelihood of running out of important supplies when you need them the most.

Maintaining Property Value

A home that falls into disrepair can lose value, making it less attractive to potential buyers. A home management plan should include a schedule for routine maintenance and cleaning for inside and outside of the home as well as the surrounding property. If you're not particularly handy or don't have the time for upkeep, it can be worth your while in the long run to hire a handyman or cleaning person to do some of the work for you.

Tracking Finances

Home management also should include a plan to manage your household finances. Prepare a monthly budget to track expenses and eliminate wasteful spending. Develop a plan for handling bills when they arrive such as setting up a filing system with a separate file for each day of the month and placing the bill in the file for the day it should be paid. Set up a fund to cover regular household expenses such as cleaning supplies and groceries.

Teaching Your Kids

If you have kids, getting them involved in home management can be a good way to teach them the importance of handling responsibility and managing their own household when the time comes. Give them chores or projects to do around the home and involve them in the budgeting process by encouraging them to find ways to help trim household expenses. Kids can also provide a cheaper source of labor than hiring cleaning or maintenance help.

The Best Home Management Tips that are Actually Easy

Inside: Tired of always feeling tired, stretched too thin, and stressed out as you try to manage your home? These 7 powerhouse home management tips will help you create a custom home management system that eliminates stress and leaves you with a cleaner, more organized home!

Managing a home is a full-time job all by itself. Between cleaning, organizing, cooking, paying bills, running errands, and completing small repairs, all the tasks that are necessary for home management can easily consume the entire day.

And if you don’t have any systems in place, you’re probably overwhelmed with all of it. I would know because that’s exactly how I felt. Managing our house and raising our kids was much more difficult than my corporate job because I didn’t have the tools I needed to get the job done.

Home management tips being created on a printed sheet

Why You Should Use a Home Management System

In my corporate life, I know how to help teams of people prepare for their future. But, when I started to focus on raising our family, I didn’t know how to manage my own house. I was frustrated, stressed, and overwhelmed, to say the least.

That’s because I didn’t have a home management system. I simply didn’t have a way to make sure that I was staying on track, instead of dropping all the balls.

7 Top Home Management Tips That Are Actually Easy and Effective

While my home management skills were less than ideal at first, I was determined to come up with systems to make it extremely manageable. After years of fine-tuning those systems, I am now sharing my top tips with you to help you hone yours!

1. Use To-Do Lists

One of the things I discovered early on when I began managing our home was I couldn’t make it work without to-do lists. There are just so many things that come up and need to be addressed but also get forgotten in the busyness of life.

Life happens. The washing machine needs to be repaired. The grass gets long and full of weeds. The heat won’t turn on. Your son needs his baseball uniform washed pronto.

When it comes to managing a household, let’s face it: the to-do list is extensive. That’s why it helps to get all the tasks out of your brain and on paper so that they aren’t using up precious memory space or energy just to remember them.

Make your to-do list a part of a home management binder so it’s always ready when you need it.

2. Cleaning Routine Checklist

Certain cleaning tasks must be done daily, while others need to be done regularly but less frequently (weekly, monthly, etc). Staying on top of these tasks is the difference between feeling overwhelmed and feeling like you’ve got everything under control. Make a list of chores and split them into what needs to be done daily, weekly, or monthly.

Daily Chores

Here are a few examples of chores that need to be done daily in order to help you stay on top of them:

  • Wiping down the kitchen after use
  • Sorting through the mail or papers from school that come home
  • A load of laundry
  • Put shoes and clothes away each day
  • Sweep the floors
  • Wash dishes

This was just a list of examples. If you have other daily chores, add them to the list!

Check out my 10 Minute Speed Cleaning Tasks to help you tackle those daily chores quickly so your house always feels clean.

Weekly Chores

This list might include things like:

  • Cleaning the bathrooms
  • Changing bedsheets

Again, feel free to modify this list based on how often you want certain chores done.

Monthly Chores

Some ideas of monthly chores (or tasks) might include:

  • Do a monthly clean cycle for your washing machine
  • Run a monthly clean cycle for your dishwasher
  • Change your furnace filter
  • Clean bedrooms
  • Dust blinds and ceiling fans

In other words, if you want to keep your home clean without spending all weekend long cleaning it, do a little at a time – consistently. The effort goes a long way and reduces those feelings of overwhelm that engulf you when you look around at a filthy house.

a desktop with a smartphone, a planner, and a woman's hand writing on a planner sheet

3. Calendar

Do you remember when your next dentist appointment is scheduled? How about when the A/C repair guy is coming? Your daughter’s orthodontist appointment? Or your husband’s work party?

Life flows at a breakneck speed these days, which means that you are often hearing about (or scheduling) events that your brain doesn’t retain as it’s also trying to remember 9,738 other things.

Keep a calendar handy. Whether you use a trusty paper version or a calendar on your smartphone, having an updated calendar always at your fingertips is huge for helping you keep track of all. the. things.

Tip: If you use a calendar in your smartphone, take advantage of the feature that allows you to set alerts. I always set alerts for my events. In fact, I sometimes set multiple alerts if I think I might forget about an event so that I am not too distracted and forget where I need to be!

4. Meal Plan & Prep

Meal planning is one of the easiest and most impactful home management tasks you can do. Really, it’s your secret weapon.

It literally shaves hours of work off your week and eliminates the daily frantic struggle to come up with a dinner plan (and get it made in time while also running soccer carpool and helping your daughter with her homework).

Here are some other benefits to meal planning:

  • It limits the number of trips (and time spent) going to the grocery store.
  • It saves money by eliminating aimless grocery shopping.
  • It’s healthier (and cheaper) for your family because you spend less on unplanned take out or drive through meals.

Learn how to do easy weekly meal planning and save yourself the headaches and stress of figuring out what’s for dinner each night. If not, I highly recommend you check out some of these menu planning services if that fits better into your schedule and lifestyle.

The next time you hear the question that used to spark dread in your heart, you can answer what’s for dinner without any hesitation (or scrambling)!

5. Get Finances in Order

Part of managing a home is keeping track of finances and paying the bills. Having a clear picture of the money that comes into the household and where it flows is crucial for a smooth-running home.

Get your finances in order by setting a budget and sticking to it. You can find everything you need to get started by setting a budget and paying bills on time in my Home Management Binder .

6. Develop A System For Organization

If being organized doesn’t come naturally to you, that’s ok. There are certain things you can do to make your home more organized in a way that fits your personality.

If you take a look at organizational systems that professional home organizers use, you can adapt them to your own home so that they work for you.

Here are a couple of gems to help you get started:

  • Designate a “home” for everything. When everything has a place where it belongs and is in that spot, there is no clutter. “A place for everything and everything in its place” as the saying goes.
  • Use baskets, bins, and other storage containers to create organized (and designated) places for everything. Label them to keep them organized.

organized playroom shelves with toys and storage boxes

7. Create Routines

People naturally crave routines, so build routines that fit your personality and help you stay on track. When you have a backbone for your day, it’s easier to stay on task and be productive than when you’re moving aimlessly from task to task.

Use your daily tasks, your frequent appointments, and other commitments to establish a daily routine that helps you.

Home Management: Final Thoughts

Adopting these 7 home management tips will help you implement a home management system that helps you stay organized and stress-free.

Need a little extra help? My Home Management Binder  will help provide the structure you need. No more missed appointments or dinnertime frustrations!

Property Management Systems Essay

Definition of property management.

Property management systems is a computerized system that deals with all aspects of the hotel from booking, online reservations, point of sale and various amenities depending on the way the system is set for example, some PMS can be set to include processing of payrolls, back office operations and also in accounting. The hotel industry is a very dynamic and sensitive industry and it highly emphasizes on satisfying the customer demands and therefore, it has to come up with new ideas every time in order to be able to attract them. Also, the hotels must be able to embrace technology to the comfort of its customers and hence, it has to install the necessary software. Clients want to be able to book hotels in the convenience of their homes or offices. The role of PMS in the hotel: The PMS speeds up the process of reservation and consequently checking in by a mere click of a button at the comfort of the guests. It helps in reservation by showing the availability of rooms. PMS is effective in reservation as it does not allow false allocation of rooms as the guest is able to give all the information through the hotel’s website including the credit card details and therefore saves on the time that would be wasted through manual processes. It maintains a standard discount rate and therefore, there is no room for deep discount rate that can lead to loss. PMS allows the manager to always be in control of the hotel’s daily progress by just going through the system.

It helps in the elimination of errors by the staff. The elimination of manual processes can reduce or eliminate errors and speed up access to important information for decision making. Introducing a friendlier user- interface can improve staff effectiveness thereby increasing productivity and staff satisfaction (UniDevCo, 2004). It helps in good maintenance of guest’s records. Maintaining guest’s preferences allows the hotel to be able to provide higher standard services and consequently being able to customize marketing efforts (UniDevCo, 2004). The PMS can also be useful in billing whereby, for every service or goods enjoyed by the client, it automatically bills updates the account and therefore making checking out easier and eliminate errors of the over or under billing. It can also facilitate quick check out through quick processing of the credit cards. PMS helps in controlling hotel resources such as electricity by the use of Scientific Control Systems like Energy32 that is able to switch off light when not in use. The PMS also helps in the key locking system by the use of key cards that are set differently with each guest. Quick and easy access to key reports and the ability to create ad hoc queries will provide a competitive advantage and aid in better decision making with up-to-date information (UniDevCo, 2004). How PMS link with different department: With any hotel property, there can be a number of disparate systems being used in different departments; the restaurant POS, guest room systems like movies and mini bars, telephone and call accounting systems.

It is advantageous to have many of these systems integrated to the PMS to minimize manual intervention and to ensure that all relevant billings flow effectively to the guest folio (UniDevCo, 2004. The property management system has all features that are required in order to put control measures. It presents an operational function of integrating all areas of the hotel from booking, reservation, checking in to the guests stay and eventually checkout. The link between the different departments is like a cycle. When the guest walks into a hotel, he or she comes into contact with the front office staff that check through the reservation. The guest’s credit card number is then fed to the computer. Before the guest checks in to his room, the house keeper checks the status of the room again through the software and is able to communicate to the reception. The guest in most of the hotels is given an electronic key card that opens the door of the room. Everything that they consume is charged to the credit card. For example, if the guest takes anything from the mini bars in the room, it records automatically to the system unlike traditionally where the room stewards manually calculated the drinks as the guest was checking out. This also happens when the guests watch pay television which is then directly billed. The food and beverages consumed by the guest in most cases can be paid in cash or by the use of the credit card depending on the choice of the guest. Other services that can also be billed to the clients account are such services like laundry and buying of items in gift shops. When the guest is checking out, the bills are processed easily as it involves a print out of all the services the client enjoyed.

The property management system helps in accountability as there is no room for errors. The system enhances speed especially when the guests are checking in and out. The PMS can be seen as a link to all the departments of the hotel through the guest cycle. For example, it links the front office with housekeeping as the receptionist is able to access information on the conditions of the room through the system. It connects the accounting office to the front office as they are able to access information of new arrivals and therefore create new accounts. All the hotels should look forward to installing the software as it will help put measures that are advantageous to both the hotel and the guests.
