embed youtube video in powerpoint presentation

Insert a video from YouTube or another site

Your browser does not support video. Install Microsoft Silverlight, Adobe Flash Player, or Internet Explorer 9.

In PowerPoint for Microsoft 365, PowerPoint 2021, or PowerPoint 2019, you can insert an online video from YouTube or Vimeo on a slide.

In PowerPoint for Microsoft 365, version 1907 or later, you can also insert an online video from Microsoft Stream, a video service for enterprises—people in an organization can upload, view, and share videos with one another.

The video plays directly from the website, and it has the site's controls for playing, pausing, volume, and so on. The PowerPoint playback features (Fade, Bookmark, Trim, and so on) don't apply to online videos .

Because the video is stored on a web site, rather than in your presentation, you must be connected to the internet in order for the video to play successfully.

Insert a web video

In your web browser, locate the video you want.

Copy the URL of the web page from the Address bar of your browser.

Switch back to PowerPoint and select the slide where you want to place the video.

On the Insert tab of the ribbon, select Video > Online Video .

In the Online Video dialog box, paste the URL you copied in step 2.

Select Insert .

Play the video

If a video is inserted successfully, you can play it either in Normal view or Slide Show.

A Play button appears on the video in Normal view.

In Slide Show, you can interact with videos just as you would in a web browser.

By default, videos from YouTube and Vimeo play in "click sequence." You can play the video without having to click the Play button. Just tap the spacebar to advance to the next step in your click sequence.

Troubleshooting

Not all online videos from these sites are allowed to be embedded. You should check on the video site to find out if a certain video can be embedded.

Internet Explorer 11 is required on your computer

Note:  Microsoft 365 apps and services will not support Internet Explorer 11 starting August 17, 2021. Learn more . Please note that Internet Explorer 11 will remain a supported browser. Internet Explorer 11 is a component of the Windows operating system and follows the Lifecycle Policy for the product on which it is installed.

For the purpose of playing videos in PowerPoint, Internet Explorer 11 is required to be on your computer. You don't have to use it to browse the web; you simply have to have it installed, because under the covers, PowerPoint needs its technology to play videos on Windows.

If your operating system is Windows 10, then you already have Internet Explorer 11 installed. If you have an older version of Windows, you can go to this Internet Explorer Downloads page for instructions.

SlideShare.net:

In PowerPoint 2016, you can insert an online video with an embed code or search for a video by name. Then you can play it during your presentation.

The video plays directly from the website, and it has the site's controls for playing, pausing, volume, and so on. The PowerPoint playback features (Fade, Bookmark, Trim, and so on) don't apply to online videos.

Insert the online video with an "embed" code

On YouTube or Vimeo, find the video that you want to insert.

Below the video frame, click Share , and then click Embed . (If you neglect to click Embed , you'll end up copying the wrong code.)

Click Share, and then click Embed

Right-click the iFrame embed code, and click Copy .

Copy the iFrame embed code

If the highlighted text that you copy begins with "http", STOP. It's the wrong code to copy. Return to step 2 and click Embed :

To work correctly, the code you use to embed your video must begin with either "iFrame" or "<object".

In PowerPoint, click the slide that you want to add a video to.

On the Insert tab, click Video > Online Video .

In the From a Video Embed Code box, paste the embed code, and then click the arrow.

Shows embed video option in powerpoint

A video rectangle is placed on your slide, which you can move and resize as you like. To preview your video on your slide, right-click the video rectangle, select Preview , and then click the Play button on the video.

Note:  If your video doesn’t embed correctly, double-check that you have installed the required Office updates.

Search for the YouTube video by name

Click the slide that you want to add a video to.

The button on the ribbon for inserting an online video in PowerPoint

In the Search YouTube box, type the name of the video that you want to insert, and press Enter.

Select the video from the search results, and click Insert .

Note:  If your video doesn’t insert correctly, double-check that you have installed the required Office updates.

Preview the video

Once the video rectangle is on your slide, select it, right-click it and choose Preview .

A Play button appears on the video.

Click the video's Play button.

Because the video is on a web site, rather than actually in your presentation, you must be connected to the internet in order for the video to play successfully.

Embed content from Slideshare.net

On a slide in PowerPoint, you can embed content from Slideshare.net , a sharing web site for presentations, infographics, and documents.

On Slideshare.net, any content that can be embedded elsewhere has a Share button on it. That button opens a window where you can copy an embed code like an embed for a video.

On Slideshare.net , find the content you want to embed.

Select the Share button beneath the content frame.

Sharing codes appear in the video frame.

Select the box named Embed .

All the text in the box becomes selected when you do this.

Right-click the selected text and choose Copy .

The text you've copied contains more information than you need, so it needs to be trimmed and re-copied.

Paste the copied text into a text editor such as Word or Notepad.

Select the portion of the text that begins with <iframe src ... and ends with </iframe> . Copy that text.

That's the embed code you need for inserting the content into PowerPoint.

In PowerPoint, go to the slide where you want to insert the content.

On the toolbar ribbon, select the Insert tab, select Video , and then select Online Video .

The Insert Video dialog box opens.

Paste the embed code in the box named From a Video Embed Code , and then press Enter.

It takes a moment for PowerPoint to absorb the content. When it has done so, a black box appears on your slide.

Trimming a video

PowerPoint for the web can't trim videos, and online videos can't be trimmed. If you have a video that you want to trim, you must save it to your computer, then insert it on your slide in a desktop version of PowerPoint.

Newer Mac versions

In PowerPoint for Microsoft 365 for Mac, PowerPoint 2021 for Mac, or PowerPoint 2019 for Mac, you can insert an online video from YouTube or Vimeo on a slide.  Earlier versions of PowerPoint for macOS don't support inserting an online video.

In PowerPoint for Microsoft 365 for Mac, you can also insert an online video from Microsoft Stream, a video service for enterprises—people in an organization can upload, view, and share videos with one another. This feature requires PowerPoint for Microsoft 365 for Mac version 16.27 or later.

Switch to PowerPoint and select the slide where you want to place the video.

On the Insert tab of the ribbon, in the Media group at the right end, select Video . Then select Online Movie .

In the dialog box, paste the URL you copied in step 2.

Click Insert .

The video is added to the slide.

To preview the video, click the Play button that appears on top of video.

Inserting and playing an online video requires a recent version of macOS and PowerPoint for macOS:

PowerPoint version 16.15.18070902 or later

macOS 10.13.4 (High Sierra) or later

A Mac manufactured in 2012 or later

How to Put YouTube Videos in PowerPoint: A Step-by-Step Guide

Want to make your PowerPoint presentation a bit more engaging with a cool YouTube video? It’s actually pretty simple to do. By following a few easy steps, you can embed a YouTube video directly into your PowerPoint slide. This way, you won’t have to switch between applications during your presentation – it’ll all be right there in your slide show!

Step by Step Tutorial on How to Put YouTube Videos in PowerPoint

Before we dive into the steps, know that adding a YouTube video to your PowerPoint will enhance your presentation and keep your audience interested. No more boring bullet points, just a captivating video to emphasize your point!

Step 1: Find the YouTube video you want to embed

Locate the YouTube video that you want to add to your PowerPoint presentation.

Finding the right YouTube video is the first step. Make sure it’s relevant to your presentation’s content and will add value for your audience. Once you’ve found it, copy the URL from the address bar.

Step 2: Open your PowerPoint presentation

Open the PowerPoint presentation where you want to insert the YouTube video.

Make sure you’re on the slide where you want the video to appear before you move on to the next step. This will save you the hassle of moving it later on.

Step 3: Click on the ‘Insert’ tab

In PowerPoint, go to the ‘Insert’ tab on the menu bar.

The ‘Insert’ tab is where all the magic happens – from adding pictures and shapes to videos, it’s your go-to for jazzing up your slides.

Step 4: Select ‘Video’ and then ‘Online Video’

Within the ‘Insert’ tab, click on ‘Video’ and then select ‘Online Video’.

By selecting ‘Online Video’, you’re telling PowerPoint that you’re looking to add a video from the web, not one that’s saved on your computer.

Step 5: Paste the YouTube video URL

In the dialog box that appears, paste the YouTube video URL that you copied earlier.

After you paste the URL, PowerPoint will do a quick check to make sure it’s a valid link. If all is well, you’ll be able to move on to the next step.

Step 6: Resize and position the video on your slide

Once the video is embedded, you can resize and position it on your slide to fit your design.

Click and drag the corners of the video to resize it, and click and drag the video itself to move it around the slide. You can also use the format options to add effects like borders or shadows.

After you complete these steps, you’ll have a YouTube video embedded directly into your PowerPoint slide. No more awkward pauses while you exit the presentation to open up a browser. Your video will play seamlessly within your slide when you’re presenting, making for a smooth and professional presentation.

Tips for Putting YouTube Videos in PowerPoint

  • Make sure you have a stable internet connection during your presentation, as the video will need to buffer.
  • Test the video before your presentation to ensure it plays correctly.
  • Keep the video short and to the point – you don’t want to lose your audience’s attention.
  • Consider the volume of the video – ensure it’s audible for your audience but not overwhelming.
  • If the video is long, use the ‘Trim Video’ feature in PowerPoint to show only the relevant part.

Frequently Asked Questions

Can i put a youtube video in powerpoint if i don’t have an internet connection.

No, you need an internet connection to play a YouTube video in PowerPoint as it streams directly from the website.

Will the video play automatically when I get to that slide?

You can set the video to play automatically or when clicked – it’s up to you. You’ll find these options in the ‘Playback’ tab once the video is inserted.

Can I put a YouTube video in any version of PowerPoint?

You can embed YouTube videos in PowerPoint 2010 and later versions. Earlier versions do not support this feature.

What if the YouTube video is removed or the link changes?

If the YouTube video is removed or the link changes after you have embedded it, the video will not play in your PowerPoint. Always check the video link before presenting.

Can I embed a video that is not from YouTube?

Yes, as long as it’s an online video, you can embed it by following the same steps and using the video’s direct link.

  • Find the YouTube video you want to embed.
  • Open your PowerPoint presentation.
  • Click on the ‘Insert’ tab.
  • Select ‘Video’ and then ‘Online Video’.
  • Paste the YouTube video URL.
  • Resize and position the video on your slide.

There you have it – putting YouTube videos in PowerPoint is a piece of cake! With this handy skill, you can now make your presentations more dynamic and engaging for your audience. Just remember to choose videos that complement your content and resonate with your listeners. And don’t forget to test everything beforehand to ensure a smooth-running presentation. Happy presenting, and may your slides be ever compelling!

How to Embed a YouTube Video in PowerPoint (Step-by-Step)

  • PowerPoint Tutorials
  • Pictures, Icons, Videos, Etc.
  • February 25, 2015

This is your  SUPER GUIDE  for how to embed a YouTube video in PowerPoint, covering all versions of PowerPoint (find your version below).

Adding videos to your presentations is a great way to create more engaging content and backup your main points with PROOF.

Before you get started embedding your video though, there are 3 considerations to take into account

Note:  You are limited to what you can do with online videos in PowerPoint, compared to videos you embed from your computer. To learn all about these differences,  read our guide

YouTube Video Considerations

1. which version of powerpoint you are using.

There are various techniques for the different versions of PowerPoint and add-ins you can install to make this process (and your life) easier.

The guide below covers PowerPoint versions 2007, 2010, 2013 and the latest Office 365 version of PowerPoint.

2. Do you want the YouTube video’s entire playlist on your slide?

If so, you need to navigate to your video through the YouTube channel’s playlist, which drove me crazy when I was trying to figure this out.

Also, inserting a playlist isn’t available in PowerPoint 2007.

3. Do you need to trim your YouTube video?

If you want to take advantage of all the PowerPoint video editing features, you will need to find a way to download your YouTube video and embed it in PowerPoint.

That’s because the FULL range of PowerPoint video editing tools is only available for videos you directly embed into PowerPoint from your computer.

To see everything you can do with videos embedded directly from your computer (instead of from an online source like YouTube),  read our guide here .

PowerPoint 2019 (Office 365) Embed a YouTube Video

1. find your youtube video’s proper url.

Navigate to YouTube, find the video you want to embed in PowerPoint, open the video, and select share at the bottom of the YouTube video

To find the right URL for your YouTube video to embed into PowerPoint, follow these steps:

  • Navigate  to  YouTube.com
  • Use the  Search Bar  to find your video
  • Select  your video to open the YouTube Player
  • Click  Share  at the bottom of the video player
  • Click  Copy

The same is true if you are using an online video from another source.

You want to make sure you use the Share button (or similar feature) to get the proper URL for your video before you embed it into PowerPoint.

Otherwise it might not play properly, as discussed below.

WARNING: Get the right YouTube URL

You want to make sure you copy your video’s URL using the share button. DO NOT use the URL from your web browser.

That’s because the URL in your web browser tends to start where you last left off in the video and not at the beginning of the video.

embed youtube video in powerpoint presentation

In the picture above this is reflected in the URL with T=60s. This means the video will start 60 seconds into the video, and not from the beginning.

This can lead to an embarrassing presentation, where you play the video at the punchline that you want to make instead of the full video that leads up to the punch line.

2. Embed your YouTube video into PowerPoint

Click the insert tab, open the video drop down, click online video, paste your video code into the dialog box and click insert

To embed a YouTube video in PowerPoint, simply:

  • Navigate to the  Insert  tab
  • Select the  Video  drop down (within the Media group)
  • Choose  Online Video
  • Where it says  Enter the URL for the Online Video ,  Paste  in (Ctrl + V) your URL
  • Click  Insert

Clicking  Insert , a message at the bottom of your screen will tell you the video is processing. Once it’s done, the video appears on your slide as you can see below

Example of a YouTube video embedded in PowerPoint

How to trim a YouTube video

Keeping in mind that you are limited in what you can do with online videos in PowerPoint (like YouTube videos), you can adjust the start time of your YouTube video.

This allows you to start your YouTube video at a certain time within the video, so you can just show the most relevant part of the video that backs up your presentation.

The trick to doing this is to adjust it BEFORE you copy the YouTube video’s URL.

If you want to trim both the start and end times of your video, you’ll need to download the YouTube video, embed the video from your PC and then use the Trim command.

To learn how to embed a video in PowerPoint (including trimming the video’s length),  read our guide here .

embed youtube video in powerpoint presentation

To trim a YouTube video to a certain start time, simply:

  • Open  your YouTube video’s watch page
  • Click the  Share  button
  • Adjust the video’s  Start at  time

Adjusting the YouTube video’s start time, you’ll see the new start time reflected in the URL, as pictured below.

PowerPoint 2013: Embed a YouTube video in PowerPoint

There are two ways to embed YouTube videos in PowerPoint 2013: the new dedicated YouTube option in PowerPoint, and the old embed code method.

Warning: New YouTube Option

Although the new YouTube option in PowerPoint simplifies the embedding process…you DO lose the capability to format your YouTube videos and/or embed an entire YouTube playlist.

To format the appearance of the YouTube video in PowerPoint 2013 or to grab a playlist, you still need to use the old embed code method (the second method).

I’ve covered both methods in the tutorials below. You’ll notice I used an image of a computer screen to frame the video and create a cool effect…just another tip for making your videos come to life!

There are two methods for adding YouTube videos in PowerPoint:

Method #1 –  The dedicated YouTube option (simplest but least flexible)

Method #2 –   Using the embed code (most flexible)

Although the words ‘embed code’ wig most people out, rest assured that you don’t need to know ANYTHING about coding to pull the second method off…YouTube does all of the hard work for you

Method #1: Dedicated YouTube option

1. search the youtube dialog box.

Click the insert tab, open the videos dropdown and select Online Video

Within the online video dialog box, go to the YouTube search box and type the name of the video you are searching for (in this case I’ve typed ‘breaking up your bullet points’), and then hit Enter.

embed youtube video in powerpoint presentation

The dialog box searches YouTube and displays the video results. In this case the video we want is on the far left so I will select it and hit Insert.

In the YouTube dialog box select the video that you want to embed in PowerPoint and click insert

2. Resize the YouTube video to fit your screen

Note:  If you are using an image like I am, you want to extend the YouTube video until its controls cover up the bottom of the picture…which will make it look more realistic.

With the video setup, double-click the embedded YouTube video to load the video and see what it looks like.

Example of an embedded video in PowerPoint that has been resized to fit a picture of a computer monitor

What about the playlist and other formatting options?

Although this new YouTube embedding method is EXTREMELY fast and easy, notice that you are not given any options to remove the YouTube controls (on the bottom or the top of the video) and there was no option to include the entire YouTube playlist (assuming there is one associated with that video).

You can see the difference in this picture:

embed youtube video in powerpoint presentation

For more control over these additional features, you need to know how to embed a YouTube video using the embed code method, which is SUPER straightforward and easy…continue reading on to see how.

Method #2: Using the embed code

This technique not only works for embedding a YouTube playlist into your presentation, but will also work for embedding other online videos into your presentation.

1. Navigate to your YouTube video through the channel playlist

Assuming that you want a video’s entire playlist, you need to navigate to the channel where the playlist exists, and open the video through the playlist. If you don’t care about the playlist, simply search YouTube as you normally would.

This might seem SUPER weird, but as you will see in a minute, it works.

To get the playlist for this video, you can see that I’ve navigated to the Nuts & Bolts channel page (fancy that!), selected the playlists option, found my playlist and then found the video that I want within the playlist.

embed youtube video in powerpoint presentation

Select the video (through the playlist) to open the video in YouTube as you normally would. Notice in the picture below, to the right of the video, you can see the entire playlist.

To embed a YouTube playlist in PowerPoint need to open through the actual playlist first

2. Navigate to the embed code

embed youtube video in powerpoint presentation

3. Choose how you want your video to play

When embedding a YouTube video in PowerPoint 2013, there are few options you want to pay attention to, primarily:

Below the YouTube video you can choose to show suggested videos, show player controls, and to show video title and player actions before you embed it in PowerPoint

Option #1: Show Player Controls –  This includes the pause, play and other navigational features at the bottom of the YouTube video.

Option #2: Show Video Title and Player Actions –  This includes the tile of the video, share buttons on the far right and a playlist dropdown…assuming the video is part of a playlist and you navigated to it through the playlist itself.

Leaving these selected, the YouTube video will play in PowerPoint as demonstrated below.

embed youtube video in powerpoint presentation

If you uncheck both of these options, your YouTube video will play in your PowerPoint presentation as pictured below (you can obviously do a hybrid of these controls as well).

embed youtube video in powerpoint presentation

Other video options include:

Video size  – Not terribly important as you can manually resize your video within PowerPoint anyway.

Show suggested videos when the video finishes –  This is optional and depends on whether you want people to continue watching other videos once the video finishes. This option is not available if you navigate to the video through the playlist as I described above.

Enable privacy – Enhanced mode –  This last option is only relevant if you are embedding the YouTube video on a website…choosing this option will not work in PowerPoint.

4. Copy and Paste the Embed Code

Copy the entire embed code of the YouTube video to embed a YouTube video in PowerPoint

Alternatively, you can simply right-click the video, select ‘Get embed code’ and then hit CTRL + C to copy.

embed youtube video in powerpoint presentation

With the embed code copied, back in PowerPoint 2013, navigate to the Insert tab, open the Insert Video dropdown and select Online Video.

To embed an online video PowerPoint click the insert tab, open the video drop down and select online video

In the dialog box that pops open, in the ‘From a Video Embed Code’ option, hit CTRL + V on your keyboard to paste the embed code into the dialog box and then hit Enter.

embed youtube video in powerpoint presentation

A black box is inserted into your layout that you now want to resize and position.

If you are using a blank TV or computer monitor image (as I am in this example) you want to stretch the video down to cover the bottom of the monitor so that the YouTube controls cover the controls on the static image…it will look more realistic this way.

Use of the white resizing handles on your video to resize the video to fit your PowerPoint layout

Note:  Going this route has given us more control over the look and feel of our YouTube video and we were able to get the playlist feature in the upper left-hand corner.

PowerPoint 2010: Embed a YouTube video in PowerPoint

Believe it or not, there are three ways to embed YouTube videos in PowerPoint 2010:

  • The free add-in (see Method #1 on the PowerPoint 2007 tab)
  • Using the Shock Wave ActiveX Control (see Method #2 on the PowerPoint 2007 tab)
  • Using the dedicated YouTube embed option

In this tutorial, I will focus on the third and newest method, which is a HUGE improvement over the previous methods: using the dedicated YouTube embed code option.

This method gives you the most flexibility in formatting your YouTube video in PowerPoint  AND  it allows you to embed an entire playlist…something that was not possible in PowerPoint 2007.

For the tutorial, I used an image of a computer screen to frame the video and create a cool effect…just another tip for making your videos come to life!

1. Find your YouTube video

Use the YouTube search bar to find the YouTube video you want to embed in PowerPoint

When embedding a YouTube video in PowerPoint 2010, there are few options you want to pay attention to, primarily:

Option #2: Show Video Title and Player Actions –  This includes the tile of the video, share buttons on the far right and a playlist dropdown (see ‘getting the playlist’ below) on the left…assuming the video is part of a playlist.

Leaving these selected, your YouTube video will play in PowerPoint as demonstrated below.

If you uncheck both of these options, your YouTube video will play in your PowerPoint presentation as displayed here:

Video size  – This is not terribly important as you can manually resize your video within PowerPoint anyway.

Show suggested videos when the video finishes –  This is optional and depends on if you want people to continue watching other videos once the video finishes.

Enable privacy – Enhanced Mode –  This is only relevant if you are embedding the video on your website…choosing this option will not work in PowerPoint.

As YouTube states  “Enabling this option means that YouTube won’t store information about visitors on your web page unless they play the video.”

4. Copy and paste the embed code

With the YouTube embed code copied, back in PowerPoint, navigate to the Insert tab, select Video and then select the ‘Video from Web Site’ option.

In PowerPoint 2010, you want to select the insert tab, click the video drop down and select video from website

In the dialog box that pops open, hit CTRL + V on your keyboard to paste the YouTube embed code into the dialog box, and then click on Insert.

embed youtube video in powerpoint presentation

A black box is inserted onto your slide that you then want to resize and position.

Note:  If you have the option to show the player controls at the bottom of your video, you will want to stretch the video out to cover the image you are using (in this case a blank computer screen) so that the YouTube video controls show on top of the controls on your image.

That way, when you play the video, it will look more realistic.

To see how the video lines up within your frame (which can be tough when you have a black box on top of a black frame), simply double click the video in the Normal View, and the YouTube video will load.

Notice in the picture below how the YouTube controls replace the controls on the bottom of the static picture I’m using, creating a more realistic effect in PowerPoint.

PowerPoint 2007: Embed a YouTube in PowerPoint

There are two methods for inserting YouTube videos in PowerPoint 2007, and a number of trouble shooting issues you need to be aware of.

Method #1: The Easy Way  – Using add-ins like the free one built by Microsoft MVP Shyam, which does all of the hard work for you.

Method #2: The Harder Way  –  Adding the Developer tab to your Ribbon, adding a Shockwave ActiveX Object, and then manually manipulating the URL of your YouTube video.

Which one is best depends on how many YouTube videos you need to add to your PowerPoint presentations and how often you plan to do so.

If you frequently need to install YouTube videos in PowerPoint, you should definitely get the free add-in for PowerPoint 2007 and/or consider upgrading to a more recent version of PowerPoint which gives you additional YouTube options like adding playlists.

Warning: Compatibility Issues

If you are sharing your files with people using other versions of PowerPoint, you also need to be aware of the compatibility issues.

YouTube videos inserted in more recent versions of PowerPoint (2010 and 2013) will not necessarily play when opened in PowerPoint 2007…they might, it just depends on how they were added.

That said, any YouTube video successfully inserted in an earlier version of PowerPoint, will always play in a later version.

Method #1: The Easy Way

Embedding YouTube videos in PowerPoint 2007 normally requires getting and manipulating the video’s URL. This easy method of using an add-in is awesome because it does all of the hard work for you!

It takes a minute in the beginning to download and install the add-in, but once it’s all set up, with just a few clicks (as you’ll see below), you can quickly grab your YouTube videos and play them directly in PowerPoint.

A big thanks to Microsoft MVP  Shyam Pillai  for developing this great free add-in!

1. Download the free add-in

2. Extract the zipped file

embed youtube video in powerpoint presentation

3. Copy the PowerPoint add-in

embed youtube video in powerpoint presentation

4. Add the PowerPoint add-in

Back in PowerPoint 2007, open the Windows button in the upper left-hand corner and select PowerPoint Options.

embed youtube video in powerpoint presentation

Select Add-ins on the left, use the drop-down at the bottom of the screen to filter to PowerPoint Add-ins and the select Go.

embed youtube video in powerpoint presentation

In the Add-Ins dialog box that opens, select Add New.

embed youtube video in powerpoint presentation

Clicking OK, a macro dialog box might open. If it does, select Enable Macros.

embed youtube video in powerpoint presentation

You should now see the YouTubeVideo2k7 add-in in the window with a check mark next to it. Click Close.

embed youtube video in powerpoint presentation

With the add-in installed, if you now open up the Insert tab in PowerPoint 2007 or 2010, you will have an added command at the end of the Insert Tab for quickly embedding YouTube videos.

embed youtube video in powerpoint presentation

Now that you have the PowerPoint 2007 Add-In installed, let’s take a look at how to use it.

5. Navigate to YouTube and copy your video’s URL

embed youtube video in powerpoint presentation

Warning: Get the right URL

Be VERY careful here!

PowerPoint 2007 cannot play YouTube playlists, which you can tell by the length of the URL. Notice in the picture below the difference in length between the video and the video plus its playlist.

If you accidentally embed the longer URL into PowerPoint 2007, the YouTube video will not play, regardless of how you try to troubleshoot. If you want to embed a playlist in PowerPoint, you need to upgrade to PowerPoint 2010 or PowerPoint 2013.

You need to grab the shorter URL which is everything up until the ‘&list’ or ‘&index” separator. With the shorter URL selected, hit CTRL + C on your keyboard to copy it.

6. Insert the YouTube video using the add-in

embed youtube video in powerpoint presentation

Hit CTRL + V to paste in your YouTube URL, then hit Next.

embed youtube video in powerpoint presentation

You can select options for your video like Play and Loop. I will simply hit Next.

embed youtube video in powerpoint presentation

You can then choose to resize the video here if you like. But as we can do this on our own in a second, I will again simply hit Next.

embed youtube video in powerpoint presentation

On the last screen, hit Finish

embed youtube video in powerpoint presentation

The YouTube video is now inserted into your slide as a white box with an X through it.

embed youtube video in powerpoint presentation

7. Resize the YouTube video

embed youtube video in powerpoint presentation

As you resize the video, the entire box might turn white, but no worries, you are still fine.

8. Launch the YouTube video

embed youtube video in powerpoint presentation

Assuming you are connected to the internet, the video will load and you will be able to play the video directly from within your PowerPoint 2007 presentation.

The final example of a YouTube video embedded in PowerPoint 2007

Method #2: The Hard Way

If that sounds scary to you, I highly recommend the easier method described above, using the free add-in.

1. Add the Developer Tab to your ribbon

embed youtube video in powerpoint presentation

2. Insert a Shockwave file

embed youtube video in powerpoint presentation

Within the dialog box, navigate down to Shockwave ActiveX Control, click OK.

embed youtube video in powerpoint presentation

And then draw a rectangle on your slide (where your YouTube video will go).

Note that you cannot draw the Shockwave ActiveX Control on top of another object, so you will have to draw it on a blank part of your slide (assuming you have something on your slide).

Example inserting a video within a picture of a computer monitor

The Shockwave ActiveX object will look like a white box with an X through it. Resize and position the object on your slide, in this case I’m stretching it out to fit on top of my blank computer screen image.

embed youtube video in powerpoint presentation

Now we are ready to get our YouTube video

3. find your youtube video’s url.

Navigate to YouTube and find your Video’s URL…but be VERY careful here! PowerPoint 2007 cannot play YouTube playlists, it can only play individual videos, so you need to be careful you don’t accidentally grab a video + its playlist.

embed youtube video in powerpoint presentation

If you want to embed a playlist in PowerPoint, you need to upgrade to PowerPoint 2010 or PowerPoint 2013 and use the embed code method. See the PowerPoint 2013 tutorial below.

With the shorter URL selected, hit CTRL + C on your keyboard to copy.

4. Open up the properties of your Shockwave ActiveX object

embed youtube video in powerpoint presentation

In the Properties dialog box, scroll down to the Movie section and paste in your URL.

embed youtube video in powerpoint presentation

5. Adjust the YouTube URL within the dialog box

To get the YouTube video to play correctly in PowerPoint 2007, you need to make two adjustments:

#1: Delete the ‘watch?’ from the URL #2: Replace the ‘=’ with ‘/’

embed youtube video in powerpoint presentation

With the URL adjusted, hit OK to close the dialog box.

6. Run your presentation

embed youtube video in powerpoint presentation

So that’s how to embed a YouTube in PowerPoint, regardless of which version of PowerPoint you have.

This allows you to quickly and easily add interactive media features to your presentation.

The other advantage of embedding a YouTube video, is it does not increase the size of your presentation. That means that you don’t need to worry about compressing your presentation.

How to Embed a Youtube Video in PowerPoint

One of the most effective ways to avoid death by PowerPoint is to include a video in your presentation to explain complex topics. Since YouTube has an infinite archive of content on virtually any imaginable topic, you can easily find relevant videos to embed in your presentations. Furthermore, many presenters prefer to include videos from their organizations in their slide decks.

While embedding a YouTube video without a third-party tool was challenging, PowerPoint 2013 and later editions, such as using the newest edition of PowerPoint in Microsoft 365, is relatively easy. So, how to Embed a Video in PowerPoint? Below is a list of methods by which you can embed videos from YouTube in PowerPoint.

1. Insert from Start via URL

The easiest way to insert an online video from start to end, including a YouTube video to PowerPoint, is via Insert > Media > Video > Online Videos .

2. Insert from Specific Time via URL

It is possible that you might want to add a video not from the start but from a specific time (e.g., after 20 seconds). To do this, go to the Share button below the video.

The share option available for YouTube videos

Select the time to start the video, and copy the URL.

Sharing options from YouTube

Now, insert the URL which contains the specific time. You will notice that the end of the URL will include the time after which the video starts.

3. Use Embed Code

In older versions of PowerPoint, such as PowerPoint 2013, there was an option to embed a video, where you could specify the embed code separately. The new edition of PowerPoint enables adding the embed code as a URL. Click the Share option below the YouTube video to copy the embed code.

From the given options, select Embed . From there, you can also specify the time you intend to start and if you want the video controls to show when it is playing.

Copy the embed code to include in your presentation slide.

Selecting the options to embed the code from YouTube

Instead of URL, enter the embed code via Insert > Media > Video > Online Videos.

Inserting an embedded YouTube video URL in PowerPoint

Using the methods mentioned above, you can embed and insert a YouTube video in PowerPoint and customize it further using the Ribbon menu options. Such as changing size, adding frame, adding effects, etc.

4. Download YouTube Video

Under certain circumstances, you can legally download a video offline. The following conditions apply when downloading YouTube videos legally:

  • You are a premium YouTube member.
  • Downloads are allowed in your country.
  • You are downloading videos you have uploaded.
  • The developer has enabled the download of the video.

To get the video, click the Download button below the YouTube video. Doing this usually makes the video available for streaming offline. However, premium users can also save copies of the videos on their mobile devices.

Downloading a video from YouTube

If you are a premium YouTube user saving a video on your SD card , tap your YouTube profile picture, go to Settings > Backgrounds & Downloads, and toggle to enable Use SD Card . If this option is not enabled, your videos will be downloaded to your phone’s internal memory. Unfortunately, videos don’t show up the same way on desktop devices, and using third-party tools isn’t legal.

Procedure for downloading YouTube videos from a smartphone

How to insert an offline video in PowerPoint? You can insert downloaded YouTube videos via Insert > Media > Video > This Device .

Select the video from your device, and you can insert it offline into your slide.

If you use Google Slides instead of Microsoft PowerPoint, you can still insert videos into your Google Slides presentations. Learn how to insert a video in Google Slides .

5. Embed a Video in PowerPoint Using a Third-Party Tool

Various third-party tools enable embedding videos in PowerPoint. Some of these tools became quite useful when the YouTube embed feature did not work correctly in older versions of PowerPoint. One such tool is iSpring Pro , a comprehensive app for authoring video tutorials that enables adding videos from YouTube to PowerPoint.

Once installed, iSpring adds a new tab in PowerPoint. Click the YouTube option from the iSpring tab, and insert the URL. You can also pick a time to start the video to avoid playing it from the start.

Using iSpring Pro in PowerPoint

Using iSpring, you can add characters, quizzes, objects, and other exciting features to make the added videos more enjoyable and your presentations more interactive.

Adding a video from an online or offline source in PowerPoint is easier than it used to be, and YouTube videos function seamlessly, providing the internet connection is stable. However, if you are authorized to download a video, you can use it offline to circumvent potential connection issues.

Make your presentations engaging, not boring

Author avatar

Sitting through a monotonous PowerPoint presentation can be pretty miserable. As a presenter, you want your audience to stay focused and enjoy your slides instead of making them yawn. One way to make your PowerPoint slideshow more engaging is to add a YouTube video to your presentation.

Depending on what version of PowerPoint you’re using, there are different ways to insert a YouTube video into your presentation. Learn how to embed YouTube videos in PowerPoint and why you might want to do it in the first place.

How to Embed a YouTube Video in PowerPoint image 1

Why Add YouTube Videos to Your PowerPoint Presentations

You want your audience to enjoy a presentation and also learn new information from it. The best formula for a well-balanced PowerPoint presentation is to mix your media, including text, images, charts, and videos. This will make your slideshow not only informative, but also captivating.

Some people learn more from visuals, while others remember things that they hear better than what they see. A YouTube video in your presentation will ensure that everyone gets the key takeaways from the meeting.

If you want to add a YouTube video to your PowerPoint presentation but don’t know where to start, follow the steps below.

  • Open YouTube and find the video you want to embed in PowerPoint.
  • Under the video, select Share .

Things You Should Know When Embedding Your Video in PowerPoint

There are a few tips and tricks that you should know of when adding YouTube videos to your PowerPoint presentation.

Should You Embed Your Video or Add a Link to Your Slide Instead?

Many users simply link to a YouTube video in the presentation, thinking this option is easier. Embedding is a better choice. It gives your presentation a more professional look, and also makes it easier for you as a presenter. If the video’s embedded, it’ll play as soon as you click on it without leaving the slide to open the YouTube site.

You can easily find the embed code for any video under the option to Share it on YouTube.

How to Search YouTube Videos Inside PowerPoint

There’s a trick that you can use to embed a YouTube video in PowerPoint without leaving your slide.

How to Embed a YouTube Video in PowerPoint image 9

When adding your video to the slide, in the Insert Video window select Search YouTube and type in the name of the video you’re looking for. After you select the search icon to confirm, you’ll see the list of options from YouTube. Pick the video you want to use in your presentation and select Insert to embed it on your slide.

What If the Video Appears Black Inside Your PowerPoint Presentation?

How to Embed a YouTube Video in PowerPoint image 10

After you’ve added the video to your PowerPoint slide, it might appear as a black rectangle at first. If you want to change the look of it to see the video’s preview right in your presentation, right-click the video and select Preview . You can then check what the video will look like on your slide during the presentation.

How to Embed a Local Video in PowerPoint

If you’re worried that you might run into internet connection problems during your presentation and/or already have the video you’d like embedded in PowerPoint downloaded, there’s an easy way to insert it into your slides.

To embed a locally stored video in PowerPoint, follow the steps below.

  • Open PowerPoint and open the slide where you want to insert the video from your computer.
  • Find the Insert tab and select Video .
  • From the drop-down menu, select This Device .

How to Embed a YouTube Video in PowerPoint image 11

  • Find the video you want to embed in PowerPoint and select Insert .

You’ll see the video appear on the slide in your PowerPoint presentation. You can move and resize it by dragging its corners.

Embedding a locally stored or downloaded video in PowerPoint is a good solution for when you can’t ensure stable internet connection for your presentation. However, it’ll make the PowerPoint file much larger which in turn can cause performance problems.

Jazz Up Your Next PowerPoint Presentation

Adding a YouTube video to your slideshow is an effective way to make your presentation engaging for your audience. If you often work with PowerPoint, you can also learn how to insert other formats of media to your presentation like music, PDF files , or even animated GIFs .

What type of content do you primarily create?

embed youtube video in powerpoint presentation

Making an engaging PowerPoint presentation is no easy feat.

You have to figure out what to say, and what you want your audience to grasp. Then, decide how to bring the two together to deliver a compelling presentation.

One popular way to add flair is by embedding video into the content, like what Dr. Frans de Waal did in his TED Talk on inequity aversion . To emphasize his points, he included videos of animal experiments, turning a mind-numbingly boring topic into an engaging and viral presentation—which now has over 5 million views.

In this step-by-step guide, you’ll learn how to embed a video in PowerPoint so you can create exceptional presentations that grab your audience’s attention and help them remember what you said.

How to embed a video in PowerPoint from your PC or Mac

First, of course, you’ll need a video, either one online or from your media library. The next step is to find a way to make it play during your PowerPoint presentation. You could do it manually by bringing up the video from another website or program while you’re speaking, but that process is clunky and you might end up facing technical challenges.

Luckily, there are simpler and easier methods of embedding videos in PowerPoint. You can link to your video file externally or embed it directly in your presentation.

Use the tutorial below to insert videos in PowerPoint from a computer.

How to embed a video in PowerPoint in Windows

Step 1: select the powerpoint slide.

Launch Microsoft PowerPoint on a Windows computer and open a blank or existing PowerPoint file.

Then, go to the slide you want to embed a video and select the Insert tab in the toolbar.

Step 2: Click Video > This Device

Select the Video option. Here, you can either embed a video from your computer or from an online source, like a website or YouTube and other supported platforms.

Click This Device from the drop-down menu to embed a video from a folder on your computer.

PowerPoint supports MP4 files encoded with H.264 video and AAC audio. So, you can upload videos in file formats, such as M4V, MOV, ASF, AVI, MPG, MPEG, or WMV.

If you don't want to play a video full screen, resize it to your preferred dimensions.

For precise height-to-width proportions:

  • Select Format (PowerPoint 2013 or newer) or Options (PowerPoint 2010) in the Size group
  • Click the Dialog Box Launcher Icon image
  • Click Size, then select the Lock aspect ratio checkbox under Scale
  • Enter your preferred height and width under Size and rotate or enter the percentage of size that you want in the Scale height and width boxes

Then, select Video Format to access formatting options like borders and effects or right-click the video for more options. You can also use the Designer tool to choose from professional slide templates.

Then, click the Playback tab to trim your video, add captions, choose playback options, like In Click Sequence, Automatically, or When Clicked On.

Note: In PowerPoint for Microsoft Office 365 or PowerPoint 2016 version 1709 or later, you can use the In Click Sequence option. This way, your video can play in sequence with other actions you’ve programmed on the slide, like animations or transitions.

To insert a web video, select Video > Online Videos .

Note: PowerPoint supports YouTube, SlideShare, Vimeo, Stream, and Flip video providers.

Step 3: Click Insert

If you choose to embed an online video, copy the link to the video you want to embed and paste it in the blank field. A preview of your video will appear in the Insert video pop-up.

Click the Insert button to embed the video in your presentation.

PowerPoint will download and insert the video on the selected slide. You can drag the edges of the video thumbnail to resize it, then use Video Format options, like shape, border, and effects to enhance the video.

Select the Playback tab to insert captions or choose how your video plays (automatically or when clicked).

Note: You can’t change when an online video starts. But if you’re embedding a YouTube video, you can copy the video URL at the current time to link from a specific start time.

Click the Slide Show tab to preview the video with all the formatting changes you made. Then, save your presentation to your computer or click the Share button to move or copy it to the cloud.

How to embed a video in PowerPoint on a Mac

To embed a video in PowerPoint for Mac, you’ll need to save the video file in the same folder as your presentation.

Launch PowerPoint and open a blank or existing presentation, then select the slide you’d like to add a video to.

Select Insert .

Step 2: Click Video > From File

Click Video to access video embed options from the drop-down menu:

  • Video browser
  • Video from file
  • Stock videos
  • Online film

Select Video from file to insert a video file from your Mac.

In the Choose a Video dialog box, select the video file you want to insert, then click the Insert button to embed the video on the slide.

If you want to put a link to the video on the slide, click Show Options in the lower left corner of the dialog box.

Then, select the Link to file box, and click Insert .

Select the Video Format tab to add effects and choose whether your video will play automatically or when clicked.

Tip: If you’re using the 2016 version of PowerPoint (or newer), you can play back videos with multiple audio tracks. These versions also support closed captions and subtitles embedded in video files.

Select the Playback tab to do the following:

  • Trim your video
  • Add fade in and fade out effects
  • Play the video on full screen or hide during the show
  • Insert captions
  • Select start time options (in click sequence, automatically, or when clicked)
  • Loop the video to play repeatedly and continuously during the presentation
  • Rewind your video

How to embed a video in PowerPoint from YouTube

Embedding a YouTube video to a PowerPoint presentation is simple. You can use the video URL or integrated search function to embed a video you uploaded to YouTube or someone else’s video (with permission).

To add a video to your PowerPoint presentation, you’ll copy the video embed code and paste it into the slide you want. The code will load the video at the source and play it on the platform you’re using.

You won’t need to download and upload the video from YouTube and the video will load and play faster regardless of the file size. Plus, you can share video content that’s covered under copyright, so you’re not in danger of crossing any legal lines.

Follow these steps to embed a video in PowerPoint from YouTube on a Windows PC or Mac.

How to embed a video in PowerPoint from YouTube in Windows

Step 1: click “insert video”.

Open a PowerPoint presentation and select the slide you want to embed your video.

Click Insert > Video .

Step 2: Choose “Online video”

Select the Online Videos option.

Step 3: Insert the URL from YouTube

Right-click the video to copy the video link or embed code, or click Share to get the embed code. Then, paste the URL or embed code in the link field.

A preview of your video will appear in the Insert video dialog box.

Click Insert to embed the video in your presentation.

Resize the video thumbnail, then use the video formatting options to enhance it.

Click Playback play the video automatically or when clicked or add captions. Then, preview the video with all the edits you made and save or share your presentation.

Note: YouTube’s video file formats are similar to those PowerPoint supports, so your video will likely play without issues. However, YouTube supports some formats that PowerPoint doesn’t, including FLV, 3GPP, WebM, DNxHR, ProRes, HEVC (h265), and CineForm. If your video isn’t playing, check to make sure it’s a supported file format.

How to embed a video in PowerPoint from YouTube on a Mac

Step 2: choose “online film”.

Select Online Film .

A URL pop-up will appear prompting you to enter the link to the YouTube video.

Go to YouTube and copy the link or embed code of the video you want to embed in your presentation. You can right-click the video and select copy video URL or copy embed code, or click Share and copy the video link or embed code.

Paste the video link or embed code in the URL pop-up in your PowerPoint presentation, then click Insert .

Resize your video and polish your slides before saving the presentation to your computer.

How to insert a video file link in PowerPoint

Embedding a video in PowerPoint may be convenient, but it increases the size of your presentation.

To reduce your presentation file size, insert a video file link to create a linked video. The downside with linked videos is that links can break, but you can prevent this by copying and storing your presentation and linked videos in the same folder, then linking to the video there.

Ensure you have a stable internet connection, then use the steps below to insert a video file link in PowerPoint on a PC or Mac.

Insert a video file link in PowerPoint on a PC or Mac

Step 1: take a screenshot of the video.

Find the video you want to link to in PowerPoint and take a screenshot of the clip.

To take a screenshot in Windows, you can either use the Snipping tool, press the PrtScn (print screen) key and Windows Logo key on your keyboard.

If you’re using a Mac computer, you can take a screenshot by pressing and holding SHIFT + COMMAND + 3 keys together (for full screenshot) or SHIFT + COMMAND + 4 keys to screenshot a specific area.

Step 2: Insert the screenshot in your presentation

Alternatively, navigate to the slide you want to add your screenshot to, select Insert > Pictures > Picture from File . Then, find the screenshot you took, select Insert to add it to the slide, then crop, resize, and position it to your liking.

Step 3: Hyperlink the image to your video

Right-click the image and select Link .

If your video is in Descript, copy the video link from your dashboard.

Insert the video link in the address field then click OK .

The hyperlink will be connected to the image itself, not other elements on the slide or the entire slide.

Click Slide Show to test your video and ensure it links to the right video. When you click on the image, it will open in a web browser, ready for you to play.

Why can’t I embed a video in PowerPoint?

Embedding videos to a PowerPoint presentation is a straightforward process, but sometimes the video may fail to play. Let’s review some reasons for playback failure and how to resolve them.

Video playback issues

Video playback may fail in PowerPoint if:

  • The storage folder is corrupt
  • The video’s audio is out of sync
  • The video file is corrupt, damaged, in an unsupported file format, or missing certain files

How to fix: Convert your video into a supported file format, check PowerPoint playback settings, or make the video visible by unchecking the Hide while not playing option in the playback tab. You can also save your presentation using the PPT or PPTX extension, so it’s easier to open the file in older or modern Office versions.

File size and compatibility

Your video might not play if the file is too big. To resolve this issue, compress the media file by going to File > Info > Compress Media. Then, select one of these options:

  • Presentation quality/full HD: Adjusts the video size while maintaining its quality.
  • Internet quality/HD: Saves on space and video quality.
  • Low quality/Standard: Saves more space but doesn’t keep overall video and audio quality. This option is ideal if you want to share the presentation with others and ensure your videos will still play.

If your video file is incompatible with PowerPoint, it may be in an unsupported file format or missing a codec.

How to fix: Convert the video to a supported format or add a missing codec to your computer for smooth playback.

Broken links

When adding an online video, you might accidentally enter an incorrect link or the video link may be broken at the source. This means it won’t embed correctly and won’t play when you’re presenting.

How to Embed a YouTube Video in PowerPoint (On or Offline)

November 1, 2018

by Holly Hunt

embed youtube video in powerpoint presentation

Viewers retain 95% of a message when they watch it in a video, compared to 10% when reading it in text.

If you've mastered how to upload a video to YouTube — or just have a favorite YouTube video — and now want to showcase it in a relevant business presentation, I highly recommend doing so. Video is proven to be more engaging, effective, and memorable than any other medium.

So if you’re about to give a presentation on the job and you’re worried about retaining the audience’s attention, consider including a relevant video.

How to embed a YouTube video in PowerPoint

  • Navigate to PowerPoint slide
  • Copy the YouTube video link that you wish to add
  • On the  Insert  tab in PowerPoint, click  Movie,  then  Online Movie.  Paste the link and insert
  • Format the video using the  Video Format  and  Playback  tabs

If you’re presenting on PowerPoint , adding a video may not feel intuitive. In fact, it can quickly become frustrating. This should not be keeping you up the night before the presentation. I’ll guide you through the steps so you can focus on more important things — like perfecting the message you want to get across — before the big day.

This article demonstrates how to embed YouTube videos in PowerPoint. Keep reading to learn how with a url or embed code, or jump ahead for the offline method, how to embed a video from your files .

There are two ways to add a video to PowerPoint: embedding it from YouTube or inserting a video file from your computer. I’ll go over each of these and how you can edit your video to make it as attractive and seamless as possible.

: YouTube has a lot of  jargon you may not know yet. Find out !

Videos should help your presentation, not hurt it or slow it down. So let’s dive into how to enhance your PowerPoint presentation with videos!

If you're looking to give credit to the creators whose videos you utilize, read more on .

How to embed a YouTube video

YouTube videos are easy to embed once you know which buttons to push. You can embed videos from your own YouTube channel (learn how to make a YouTube channel here) or from someone else's.

YouTube is the only platform that PowerPoint supports for embedding videos. Vimeo, for example, cannot be embedded into PowerPoint presentations. for steps on how to download and embed both YouTube and non-YouTube videos from your files.

Keep in mind that if you use the following method, you will have to be online when you give your presentation, otherwise the video will not play.

1. Navigate to PowerPoint slide

Decide which slide you want to feature your video. Let that slide be dedicated solely to the video itself. If you try to add a lot of text to the slide, it may become overwhelming. However, it is wise to continue using the same background or color scheme throughout the presentation.

2. Choose the YouTube video

Now, open up YouTube. Navigate to the video you wish to include. Once on that video’s page, copy the URL at the top of the browser.

3. Embed the YouTube video in PowerPoint

Back in PowerPoint, go to the Insert menu. It is situated right next to Home at the top of your screen. Next, go to Video (or Movie , depending on if you have a Mac or PC) and click it. In that drop-down menu, select Online Movie .

how-to-embed-youtube-video-in-powerpoint

From there a window will pop up asking that you enter the URL for the online video. So go ahead and do so! Paste the URL you just copied into the empty field and then hit Insert.

You can also use the video's embed code instead of URL for the same results.

That window will disappear and your video will appear on the PowerPoint slide.

4. Format YouTube video in PowerPoint

Once embedded, you should have a new tab on the menu banner available to you — the Video Format tab. Here, you’ll find a variety of editing options available to you.

embed-youtube-video-in-powerpoint

You can choose from a wide range of borders and special effects. You can also crop and resize the video.

If you click Format Pane on the right, a sidebar will pop open. This can help make some of these editing options more easily accessible. You can choose for yourself which way you’d like to work.

how-to-embed-youtube-videos-in-powerpoint

If you go to the Playback tab, located to the right of the Video Format tab, you can see additional editing options. This Playback tab is most likely where you’ll make the majority of your changes.

embed-youtube-videos-in-powerpoint

Here you can trim the video, decide at what time you’d like to it to fade in or out, and you can play with the volume. But the editing features don’t stop there! My favorite options are choosing how to start the video, and whether or not the video plays full screen or remains the same size.

You cannot change the poster frame, or thumbnail, when embedding a YouTube video. The only exception is if created the video yourself, in which case you can go into your YouTube account and change the picture. Make sure you follow the requirements!

I’ll walk you through each of the above options now.

How to start a video at a certain time

In the Playback tab, look toward the middle of the banner where it says Start. You’ll notice a drop-down menu is available. In Click Sequence is automatically selected for you, which means the video will begin playing as you continue hitting enter or clicking to advance the presentation. If you want to change that, hit the drop-down menu and select your start preference.

youtube-video-in-powerpoint

Personally, I like to select When Clicked On because then I have full authority over when the video plays. In Click Sequence is fine, too, but if you accidentally hit Enter too many times during your presentation it might start playing before you are ready.

Another reason I prefer When Clicked On is so I can pause and take a moment to introduce the concept surrounding the video before playing it. That way your audience knows exactly what and why they’re about to watch it.

How to play a video full screen

If you want your video to take up the entire screen when it plays, check the box located below the Start drop-down menu. It is intuitively named Play Full Screen.

How to embed videos into PowerPoint from your files

If you want to add a video that is saved to your computer, it’s easy to do so. The good news with these is the internet connection will not impact video quality during your presentation.

You can download or videos at your own discretion, just make sure you adhere to copyright laws.

1. Navigate to your PowerPoint slide

Again, choose the slide you want to present the video on. Just like when we embedded the video, I highly recommend either having no text on the slide or only including an accompanying headline. Let the video breathe a little and be the center of attention. It just looks like a cleaner design this way!

2. Select your video

From your slide, click Insert. It is the second tab on your menu banner right next to Home. A new banner will open up revealing all the Insert options. Go all the way to the right and click on Video . In that drop-down menu, select Movie from File.

how-to-embed-video-in-powerpoint

From there, a new “Choose a Movie” window will appear giving you access to all the files on your computer. Find and select the video you want to include in your PowerPoint presentation.

3. Insert the video into PowerPoint

Double click on the video or click Insert in the bottom right corner. The window should disappear and your video should appear within PowerPoint. Most likely, it has taken over the entire slide and looks overwhelming. Fortunately, you can edit it to look how you want!

4. Format video

Now that the video is in your PowerPoint, you can play around with the formatting of it. You’ll automatically be directed to a new tab on the menu banner called Video Format.

On the right of your screen, if you click Format Pane an editing sidebar will appear.

embed-video-in-powerpoint

You can edit the brightness of the video, crop it, add a border, and change the size of it there. Change the size of the video simply by dragging the corners until you’re satisfied.

For ease of reading and distribution, it can be helpful to .

Once you’re comfortable with how the video looks, you can navigate to the Playback tab. There you can choose when and how the video starts during your presentation. My personal preference is for it to start when I click on it specifically.

To do this, navigate to where it says Start in the middle of the banner.

how-to-embed-videos-in-powerpoint

Use the drop-down menu next to it. You’ll notice In Click Sequence is automatically selected. That means the video will start when you hit enter or click the screen to advance the presentation. If you don’t mind that, go ahead and keep it!

If you’re nervous about public speaking and/or this presentation has high stakes, you might let your nerves get the best of you and hit Enter too many times. I know I’ve done this before. When it happens, you have to apologize and rewind the video to the beginning again. Awkard.

Since I prefer having more control, I’m going to select When Clicked On from that drop-down menu. That way the video only starts when I specifically click on the Play button within the PowerPoint slide.

embed-videos-in-powerpoint

Right below that menu is a checkbox with the words Play Full Screen. Not surprisingly, if you want your video to become full-screen when you play it, you should check that box.

how-to-add-video-to-powerpoint

How to change the poster frame

After embedding your video, one still image from the video will appear as the “poster frame.” This is the image that represents the video until you hit play. If you aren’t happy with the image that was automatically loaded, you can change it to something more exciting!

This works for videos you insert from a computer file. It will not work for YouTube videos that you embed.

Hit play on the video in PowerPoint. Allow it to play until you find a frame you want to use. Pause it on that frame.

Now go to the Video Format tab. Select Poster Frame. A drop-down menu will appear. From there, hit Current Frame.

how-to-add-videos-to-powerpoint

Now when you navigate to that slide, the image you picked should be the new poster frame.

Your presentation now has a video!

See, embedding a video from YouTube or your files is not nearly as time-consuming as you thought! Now you can move on and focus on the big picture of your PowerPoint, not worry over minuscule details.

Best of luck delivering your presentation!

How to Embed YouTube Video in PowerPoint: A Simple Guide

embed youtube video in powerpoint presentation

Did you know that most people tune out of PowerPoint presentations after just 10 minutes ? A scary stat, but it’s true. Your audience has around 5 seconds to decide if you’re charismatic or not. That’s not the best pep talk as you prepare for your presentation, is it?

The majority of people ( 83% ) prefer video to audio and text for accessing information and instruction.

With video capturing the hearts — and attention spans — of the masses nowadays, you can incorporate this into your PowerPoint presentations to keep your audience engaged and from head bobbing at their desks. Want to know how to embed a YouTube Video in Powerpoint? Today, we’ll walk you through the process.

How to Insert a Video into PowerPoint from Your Computer Files (Mac)

To insert a video into PowerPoint from your desktop is fairly straightforward. That said, the process will vary depending on what version of PowerPoint you have. There are a few different methods for inserting a video from your computer depending on the version of PowerPoint you have. Today, we’ll be exploring inserting video using the newer version (16.57) – the process varies for older versions (i.e. PowerPoint 2010) .

Open Microsoft PowerPoint

Go to the PowerPoint slide you want to include a video on

You can insert a video file directly from the slide you’re on by clicking on the video

How to Embed YouTube Video in PowerPoint steps

  • Next, select the video file you want to insert

How to Embed YouTube Video in PowerPoint steps

  • You could also go to the Insert tab in the toolbar, then select Video , Video from File

How to Embed YouTube Video in PowerPoint steps

Again, here you will select the video file you want to insert.

You can also select videos from your photos, TV shows, or films from your iTunes library. Simply follow the above steps, but instead of selecting Video from File, choose Video Browser.

How to Embed YouTube Video in PowerPoint steps

How to Add YouTube Videos into PowerPoint from YouTube (Mac)

Before we dive into this section, we must note that it’s no longer possible to embed a YouTube video into Powerpoint 2010 using a URL or embed code. If you’re working with the 2010 version, this feature may not be available unless you upgrade to a higher version of Powerpoint.

Before you start, you’ll first want to search and find the video on YouTube that you wish to use. Then, in your browser’s address bar, copy the URL (or click the share button below the video to find the URL).

YouTube URL copy code

Now, to insert a video into PowerPoint from YouTube, follow the first two steps from the previous paragraph (to save you from going back and reviewing, Step 1 is to open PowerPoint, and Step 2 is to go to the PowerPoint slide you want to include a video on!).

Next, click on the Insert button in the toolbar, then select Online Film.

Insert Online Film

From here, a new window will pop up that reads, Enter the URL for the online video

Enter the URL

That is where you’ll enter the video URL for your YouTube (Vimeo, Dropbox, or whichever video hosting platform ) link and select insert.

How to Embed YouTube Video in PowerPoint Using This Same Process

  • Search YouTube to find the video you want to use.
  • Choose Embed under Share .

Share Embed

  • There will be some video embed code displayed (starting with *iframe> and ending with <\iframe>).

Embed Code

  • Right-click and select Copy .
  • Then, go back to PowerPoint and open the slide where you want the video to appear.
  • Using the table’s menu tab, click Insert , then select Video , and then Online Video .
  • In Step 2 , you’ll have copied a code. Paste that into the search box then click the arrow to keep going.

Embed code paste

This is only possible using Microsoft PowerPoint 2013 and 2016. Newer versions of Microsoft 365 and PowerPoint 2019 only support embedding videos using a URL.

How to Embed Videos in PowerPoint: The Issues

Your options for video formatting are limited once you embed a video in PowerPoint. It’s tricky because while it looks like you can use the formatting options, these only apply to the thumbnail , not the video during playback.

If, for example, you crop the thumbnail for a video, once you hit play, it will return to its original size. Another problem is that you can’t make the video full screen (which is something you might want to do during a presentation). While it’s not something that’s a big deal, it’s something you should bear in mind.

What If I Don't Have an Internet Connection at the Time of My Presentation?

No worries! You can still add a YouTube video to your PowerPoint presentation even for offline playback.

First, you’ll have to download the video by using a website or software like Wondershare, for example. Or you can also download YouTube videos if you have Premium. Next, you’ll follow the earlier steps for inserting a video file (click the Insert tab at the top of the slide. From there, select Online Film ).

Can I Set Up My Video to Play Automatically?

Definitely! Depending on your presentation’s setup, you may want your video to auto-play instead of awkwardly fumbling around to click start. Thankfully, it’s surprisingly easy to use.

Click on the Playback tab in the top-right corner of the menu bar.

Playback

Click the drop-down menu next to Start and choose either:

  • In Click Sequence – The video can be started with a clicker or by using any other mechanism that triggers the next slide (i.e. pressing the right arrow key).
  • Automatically – When you choose automatically, your video starts playing as soon as the slide on which it's embedded appears.
  • When Clicked On – This one is also pretty self-explanatory. The video will only start to play if and when you click on it.

Can I Loop My Video?

Yes (as long as it’s a video uploaded from your video files and not a video from YouTube!). If you need your video to repeat, or loop, if you like, you’ll be able to do that too!

As soon as your video has been added to your slide, click the Playback tab. On the far right, there is an option to select Loop until Stopped. To enable looping, click the white box.

embed youtube video in powerpoint presentation

The video plays on repeat until you move on to the next slide.

What Other Video Options Are There?

Glad you asked! For videos uploaded from your video files, PowerPoint allows you to play your video with our without sound, fade in or fade out, and even trim to a certain point! Note: you won’t be able to access these features for videos linked from the web. You can also adjust the video’s size, position, and transitions!

Formatting

Are There Certain Video Formats That Are Best For Powerpoint?

MP4 files are recommended, but only for PowerPoint 2013 and later. MP4 or MOV files can be played in PowerPoint 2010’s 32-bit version – but only if a QuickTime Player is installed on the computer. However, if you’re using PowerPoint 2010, we recommend using WMV videos.

How to Embed YouTube Video in PowerPoint to Ensure a Smooth Video?

Slow playback and audio/video lag are both horribly distracting (when the lips don't match the speech, you’re sure to lose your viewers’ attention!). Here are two suggestions to ensure a better audio and video experience:

  • Prepare your slide by compressing the media files
  • Avoid using special effects such as reflections, shadows, glows, soft edges, bevels, and 3-D rotations in your video.

How to Embed a YouTube Video in PowerPoint

Embed a YouTube video in PowerPoint represented by a laptop with play button.

Inserting a YouTube Video in PowerPoint Using a Link or Embed Code

by Avantix Learning Team | Updated May 1, 2021

Applies to: Microsoft ® PowerPoint ® 2013, 2016, 2019 and 365 (Windows)

You can embed a YouTube video in a PowerPoint presentation and run it during a slide show. Essentially, you are linking to the YouTube video but it will play seamlessly in PowerPoint. In order to play a linked or embedded YouTube video, you will need to copy the link or embed code first from YouTube and then paste it into PowerPoint. Because you are connecting to YouTube using this method, you will also need a solid internet connection to play the video.

As YouTube is constantly being updated, options in YouTube may change.

Although there are programs that enable users to download a YouTube video, you can run into copyright issues if you download (or screen record) a YouTube video so linking or embedding can help avoid those types of problems.

Copying a link or embed code in YouTube

The first step in the process is to get the link or embed code from YouTube:

  • Go to youtube.com using your browser.
  • In YouTube, use the Search box to find the video you want to use in your presentation. The URL (uniform resource locator) of the video will appear in the address bar of the browser.
  • Below the video, click Share. A dialog box appears. You can copy this link and paste it into PowerPoint later.
  • If you prefer to include player controls and set a starting point, click Embed. A dialog box will appear with the embed code for the video. Select the desired options by checking them (such as including the player controls).
  • Select the code.
  • Press Ctrl + C to copy (or click COPY).

The following dialog box appears if you click Share below a video in YouTube:

Embed a YouTube in PowerPoint by clicking Share in YouTube.

If you click Embed, another dialog box appears and you will have the option of selecting the Embed code:

Embed code in YouTube to insert into PowerPoint to play an embedded video.

Pasting the link or embed code into PowerPoint

The second step is to paste the link or embed code into your PowerPoint presentation:

  • Open the PowerPoint presentation in which you want to insert the video.
  • Navigate to the desired slide.
  • Click the Insert tab in the Ribbon.
  • In the Media group, click Video and then choose Video from Web Site (2010) or Online Video (2013 and later versions). A dialog box appears.
  • In 2013, click From a Video Embed Code and press Cntrl + V to copy the code. In 2016, 2019 and 365, paste the code in the URL area of the dialog box by pressing Ctrl + V.
  • Click Insert.

The following dialog box appears in PowerPoint 2016, 2019 and 365:

PowerPoint dialog box to embed code for YouTube video (newer versions) and link to the video.

PowerPoint 2013 displays the following dialog box:

PowerPoint dialog box in 2013 to insert youtube video embed code.

Issues and limitations

There are limited playback options on the Playback tab for YouTube videos. For example, you won't have the option of playing full screen or looping using the Playback tab.

For PowerPoint 2013 and 2016 users, if the embed code method does not work, run PowerPoint updates and this may solve the problem.

Note: You can no longer embed and play YouTube videos in PowerPoint 2010. In 2017, Google retired the Flash Player that PowerPoint 2010 used to play YouTube videos.

Resizing the video placeholder

The YouTube video may appear as a black box on the slide in Normal View depending on your version of PowerPoint. Double-click the video in Normal View if the video appears as a black box.

To resize the placeholder:

  • In Normal View, click the video placeholder.
  • Drag one of the corner handles to resize the video and maintain proportions.

Setting a YouTube video to play on click in a slide show

To set a video to play on click vs in click sequence (where you would click anywhere on the slide):

  • In Normal View, click the video.
  • Click the Playback tab in the Ribbon.
  • Select When Clicked on from the Start drop-down menu in the Video Options group.
  • Click Slide Show on the bottom right of the screen to run the show.
  • Position your pointer on the video and click to play it.
  • Press ESC to exit the show.

Since YouTube videos depend on a working internet connection, it's a also good idea to have a backup plan in case the connection is weak or dropped.

How to Insert a YouTube Video into a PowerPoint Presentation

One sure and simple way to enhance a Microsoft PowerPoint presentation and audience engagement is to add a video from YouTube. This website is chock-full of educational and entertaining videos that can add a dynamic element to your content. Whether you want to use your own footage or “borrow” it from someone else’s channel, here are some step-by-step guides on how to insert videos into PowerPoint presentations.

  • How to Embed a YouTube Video in PowerPoint as an Online Video
  • How to Insert a Video Into PowerPoint Using an Embed Code
  • How to Insert a YouTube Video as a Screencast
  • How to Add a YouTube Video via iSpring Suite

1. How to Embed a YouTube Video in PowerPoint as an Online Video

Starting from version 2010, Microsoft PowerPoint includes a built-in tool for inserting videos from YouTube into slides. Follow these 5 steps to embed a YouTube video in a PowerPoint presentation:

Getting the link to a YouTube video

  • Click on the thumbnail of the web video and click the Insert tab.

Adjusing the video size in PowerPoint

Pros and Cons

  • Quick and easy
  • Requires that viewers have a stable internet connection
  • Playback is not customizable
  • Can’t be done in PPT version 2007 and earlier

2. How to Add a Video in Presentations Using an Embed Code

A more advanced way to embed YouTube videos in PowerPoint presentations is to use the embed code. This method allows you to customize the YouTube video’s attributes by using the YouTube API parameters.

Here’s a brief guide on how to embed a YouTube video in your PowerPoint slide:

Copying an Embed code

  •  Click on the Insert button or Enter.

Note: Before you add the YouTube video to PowerPoint, you can add some parameters to the code to make the video play the way you need it to. For example, you can let the video start playing automatically after a user opens the PowerPoint slide it has been placed in, or you can specify how many seconds from the start the video will begin and when it will end.

You can read about all the available YouTube API parameters here .

  • More control over the online video’s playback and appearance with the help of parameters
  • More time consuming than inserting a link
  • An internet connection is required

3. How to Insert YouTube Videos in PowerPoint as Screencasts

While all of the above tips require viewers to have an internet connection, you can make your presentation internet independent by making a screen capture of the YouTube video by using the built-in screencasting tool. This option is available in PowerPoint 2013 and later versions.

Here is how to embed a YouTube video in PowerPoint as a Screencast:

Capturing a screen

  • Open the YouTube video you want to add and click Select Area on the control menu. You’ll see a cross-haired cursor. By clicking on it and dragging it, you can select the area of the screen that you want to record. Note: It automatically records the audio and the mouse pointer. To turn off these options, deselect Audio and Record Pointer on the control dock.

Deselecting options

  • When you’ve finished, save your presentation with a video: File tab > Save . The recording is now embedded in the selected PowerPoint slide.
  • Video can be played offline
  • The quality of the captured video content is lower than that of the original version
  • Requires more time than other techniques (the time required depends on the duration of the video you capture)
  • May violate author’s rights

4. How to Put a YouTube Video in PowerPoint via iSpring Suite

3. Why can’t I embed YouTube videos in my PowerPoint Presentation?

There may be different reasons why you can’t embed YouTube videos in PowerPoint. To understand this issue, check out this article by Microsoft.

4. PowerPoint can’t insert a video from the selected file. How can I fix it?

There could be several reasons why PPT isn’t allowing you to insert a video from the selected file. The first possible issue is a video format compatibility — PPT may not support the format of the video you are trying to insert. One more reason is codec issues. Codecs are software used to compress or decompress a video or audio file. If your system doesn’t have the correct codec, the file will not play. Check out this article by Microsoft to find out details.

5. Can I download YouTube videos?

There are certain limitations and legal aspects that you should be aware of. YouTube’s Terms of Service specify that videos are intended for streaming, not for downloading, and unauthorized downloading can violate copyright laws. There are also third-party services — free YouTube downloader apps that allow you to download videos from YouTube. But using such services might be against YouTube’s policies, potentially leading to the suspension of your account.

YouTube offers an official way to access videos through its own app for offline viewing, which is YouTube Premium, a subscription-based service. This is legal and permitted by YouTube’s policies.

Additionally, if you are the owner of the content or have explicit permission from the owner, you can download the video directly from YouTube’s site.

There are several ways to add YouTube videos to PowerPoint. Embedding YouTube videos may require different amounts of time and have various playback options. If you want to customize video playback, the best option will be to embed video content in your slide. If your task is capturing a video and inserting it into a PowerPoint presentation that will be played offline, record a screencast. And, finally, in case you want to share your presentation online and are concerned with its security, use iSpring Suite .

Click a slide in the left sidebar in PowerPoint.

At the top of the PowerPoint window, click the "Insert" tab.

And you're all set.

Now that you have added a video to your presentation, you might want to change how it plays in your slides. In PowerPoint, you have multiple ways to change your video's playback.

To access these playback options, first, click your video in your presentation. Then, at the top of the PowerPoint window, click "Playback."

Click "Playback" at the top of PowerPoint.

In the "Playback" tab, under the "Video Options" section, you will find various options to manage your video's playback.

Click the "Start" drop-down menu in the "Video Options" section of the "Playback" tab in PowerPoint.

The other options are "Play Full Screen," which opens your video in full screen, and "Loop Until Stopped" that plays your video over and over again until you manually stop it.

Before you close PowerPoint, make sure you save your presentation so that your embedded video is saved with it. Do this by clicking File > Save in PowerPoint's menu bar.

Click File > Save in PowerPoint.

We all know that Microsoft’s PowerPoint software has been a presentations staple for a few decades now. And whether you only used it in school once or twice, or you use it for work on a daily basis, there’s always something new to learn about the classic Microsoft platform. For example, did you know that you can embed videos in your PowerPoint presentations?

Those custom animations and fanciful fonts are only going to hold your audience for so long, and nothing says “yay, a break from reading” like a two or three-minute YouTube clip. In this guide, we’re going to teach you how to add videos to PowerPoint slides, and answer a few frequently asked questions about this subject, too.

Step 1: Head to the slide where you want to embed a YouTube video by clicking it in the sidebar section, where all your slides are located. Now, click the exact area where you want to add the video, such as the title header or within the main body of text underneath.

Step 2: Click the Insert tab at the top. Select the Video icon. From the drop-down list that appears, choose Online Video .

Please note that if you're using PowerPoint 2019 or newer, you'll be able to insert online videos from YouTube by just copying and pasting the video URL into a slide.

Step 3: Open the video you wish to embed on YouTube. Under the video player, click Share and then the Embed icon. Under the Embed Video title, click the Embed Code once, which will select the entire code section. Click the Copy button or use the keyboard shortcut ( Ctrl + C on Windows).

Step 4: Go back to your PowerPoint presentation window after you’ve copied the necessary code. Within the From a Video Embed Code section, paste the code into the adjacent field. Click the Enter button on your keyboard or click the small, grayed-out Arrow .

Step 1: You can customize how you want the video to play on your slide. Click the Playback tab and make any necessary adjustments, such as the video playing automatically or only letting it play when you click the video itself.

Step 2: You can also click the video frame, then right-click and select the Format Video tab for further modification tools, such as the video’s brightness, size, and more.

If you’d prefer to embed a video into your PowerPoint presentation with a video contained within your system, Microsoft provides an option to do so.

Step 1: Choose exactly where you want to add a video file. Click the Insert tab and select the Video icon. Click the Video on My PC field.

Step 2: Navigate to the video you want to insert, then double-click it or click it once and select the Open button. Microsoft PowerPoint will embed the video with its own media player.

Please remember that if you do prefer the option to insert a video directly from your PC and you'll need to show the presentation via an external system, don't forget to save both the PowerPoint and video files onto your USB, external hard drive, etc. Otherwise, it won't be able to play the video. Moreover, add both of them into a single folder so they're interconnected to ensure playback.

If you want your video to start playing the moment you open the slide it’s pasted to, the first thing you’ll need to do is make sure your slideshow is in Normal view. Next, click the YouTube video. Now click Playback > Start > Automatically .

You can also set up Play in Click Sequence , which automatically plays a slide’s YouTube video when you press the spacebar, right arrow key, or any other key that advances to the next slide.

There’s a couple of reasons your YouTube video may not be playing in PowerPoint. For starters, you should check to make sure the video you’re attempting to embed is compatible with PowerPoint. Popular formats like MP4, AVI, and WMV are supported. If your video isn’t in a PowerPoint-supported format, you could always convert it using programs like HandBrake .

If you’re playing an embedded YouTube video, the device you’re running PowerPoint on will need to be connected to the internet, too. If you know you’re going to be in a situation where you don’t have internet access, it’s probably a better idea to download the YouTube video to your computer first, and then place the video into your PowerPoint.

1. Click on the PowerPoint slide you want, then go to Menu > Insert.

2. In the top right corner, click Video > Video on My PC.

3. Find the video you want to embed and click “Insert”.

4. Adjust the settings in the Video Format toolbar

To make sure your embedded video file plays the way you want, go to the Video Format toolbar and check the settings. For example, if you want your video to take center stage as soon as you click on the slide, select “Play Full Screen” and “Start Automatically”.

5. Preview your presentation

The final step to embedding a video in a PowerPoint presentation is to check if your video plays exactly how you want it to. That’s it! You’re done.

How to insert and play a video file link from your computer

If you’d rather insert a link to a video stored on your computer, that’s an option too. The process is very similar to the one you use when you embed a video in your PowerPoint.

Compared to embedding a video directly into a PowerPoint, linking to a file stored on your PC or Mac keeps the file size of your presentation smaller. The downside is that links break and videos get deleted from computers.

For the video to play in your PowerPoint, an actual copy of the linked video must be stored on your computer. If you choose this option, keep the video itself in the same folder as the PowerPoint presentation. When you send the PowerPoint to someone else, be sure to send the linked video as well.

Follow these steps to insert and play a video file link from your computer:

  • Click on the PowerPoint slide, then go to Menu > Insert.
  • Click Video > Video on My PC
  • Find the video you want to link to and click “Link to File”.

Why can I not embed a video in PowerPoint?

If you can’t embed a video in PowerPoint from your PC or Mac, then you’re probably using an unsupported format. Your video needs to be WMV, ASF, or MP4. Microsoft recommends  embedding a video file in MP4 format  encoded with H.264 (MPEG-4 AVC).

How to Embed Part of a Youtube Video in PowerPoint

A laptop screen with a powerpoint presentation playing a section of a youtube video

PowerPoint presentations are now synonymous with workplace and educational presentations. They are seen as a compelling way to put together information, ideas, and concepts that communicate effectively to others. However, it can be tough to relay an idea clearly without incorporating audio, videos, and images. Amongst these multimedia files, videos stand out for their ability to quickly capture the viewer’s attention and convey information in a much more stimulating way. That’s why embedding a YouTube video in PowerPoint can be a game-changer when delivering a presentation.

Table of Contents

Why Embedding YouTube Videos in PowerPoint is Important

Embedding a YouTube video in PowerPoint can help you enhance the quality of your presentation, adding a new dimension of interactivity that sets it apart from the bland static displays that people are used to seeing in presentations. With YouTube videos, your presentation will be more engaging and interactive, better at captivating the audience’s attention, and more effective at conveying your message.

Another advantage of embedding YouTube videos in PowerPoint is that it allows you to easily incorporate multimedia content into your presentation. You can use videos to demonstrate a product or service, showcase a customer testimonial, or provide a visual representation of data or statistics. This can help you to better illustrate your points and make your presentation more memorable.

Furthermore, embedding YouTube videos in PowerPoint can save you time and effort. Instead of having to create your own videos or search for relevant images, you can simply find a video on YouTube that fits your needs and embed it directly into your presentation. This can be especially useful if you are working on a tight deadline or have limited resources.

Steps to Embed a YouTube Video in PowerPoint

The process of embedding a YouTube video in PowerPoint is not complicated, and it doesn’t require advanced technical skills. Here’s a step-by-step guide:

  • First, find the YouTube video you want to add to your presentation.
  • Next, click on the “Share” button below the video, and then click on “Embed.”
  • Select the desired size of the video player.
  • Copy the HTML code that appears on the page after choosing the size of the video player.
  • Open PowerPoint and click on the slide where you want to add the video.
  • Click on the “Insert” tab, then click on the “Video” dropdown menu, and select “Online Video.”
  • In the “From a Video Embed Code,” paste the HTML code from the YouTube share page.
  • Click on “Insert.”
  • Resize the video if necessary.
  • Save the PowerPoint presentation.

It’s important to note that when you embed a YouTube video in PowerPoint, you are relying on an internet connection to play the video during your presentation. If you don’t have a reliable internet connection, it’s best to download the video and insert it directly into your presentation. This will ensure that the video plays smoothly without any interruptions or buffering.

How to Choose the Right YouTube video to Embed in PowerPoint

It’s important to choose the right YouTube video when embedding it in a PowerPoint presentation. The video should be relevant to the topic of the presentation and deliver a clear and compelling message. Use the YouTube search bar to search for videos related to your content and choose one with an engaging and informative thumbnail.

Another important factor to consider when choosing a YouTube video to embed in your PowerPoint presentation is the length of the video. It’s best to choose a video that is no longer than 5 minutes, as longer videos can lose the audience’s attention and distract from the main message of the presentation. Additionally, make sure to watch the entire video before embedding it to ensure that it is appropriate and does not contain any offensive or controversial content that could negatively impact the presentation.

Tips for Optimizing Video Quality in PowerPoint Presentations

To optimize video quality in PowerPoint, always ensure that you embed high-quality video files with decent resolutions. The video’s resolution should align with the dimensions of the PowerPoint slide, and the aspect ratio should be set to 16:9 for standard widescreen displays. Additionally, you can reduce the compression of your saved PowerPoint presentation to maintain video quality.

Another tip for optimizing video quality in PowerPoint presentations is to avoid using too many video files in one presentation. This can cause the presentation to become slow and may result in buffering issues. It is recommended to use only the necessary video files and to compress them before embedding them into the presentation.

Lastly, it is important to consider the audio quality of the video files. Poor audio quality can detract from the overall quality of the presentation. Make sure to use high-quality audio files and adjust the volume levels accordingly. You can also use closed captions or subtitles to enhance the accessibility of the presentation.

How to Trim a YouTube Video to Embed in PowerPoint

Unfortunately, there is no direct way to trim a YouTube video using YouTube’s own tools for the purpose of embedding it in PowerPoint. However, you can use video editing software to trim the video if you have the rights to edit and redistribute the video content. Once you have the trimmed video, you can upload it to your own YouTube channel or a video hosting service that allows you to generate an embed code for the trimmed video, which you can then insert into PowerPoint.

The Benefits of Embedding Videos vs. Linking Videos in Presentations

It can be tempting to link videos in presentations instead of embedding them to reduce the PowerPoint file size and make sharing easier. However, there are many benefits of embedding videos that make it a better choice. Embedded videos offer seamless playback without worrying about internet connectivity issues or buffering. Additionally, embedding videos makes it easier to control playback, customize the look and feel of the video, and ensure that your presentation always runs seamlessly.

How to Add Sound Effects and Music to a YouTube Video in PowerPoint

It is not possible to add sound effects or music to a YouTube video that is embedded in PowerPoint. If you need to play sound effects or music along with the video, you will need to play them separately using PowerPoint’s audio tools. You can insert audio files into your presentation and synchronize them with the video playback manually.

Best Practices for Using Embedded Videos for Effective Presentations

While embedding a YouTube video in PowerPoint is useful, here are some best practices to help you make the most out of it:

  • Choose videos that are relevant to the topic and help illustrate or explain the concept without detracting from the overall message.
  • Make sure the videos are high-quality with reasonable resolutions and good sound quality.
  • Use videos sparingly and avoid cramming too many of them into one presentation.
  • Always test your presentation in advance to ensure that the videos play correctly.

Troubleshooting Tips for Common Issues When Embedding Videos in PowerPoint

There may be times when embedding YouTube videos in PowerPoint hits a snag. Here are some common issues and how to troubleshoot them:

  • The embedded video won’t play after loading the presentation. Ensure that the computer is connected to the internet.
  • The video file is not supported because of the wrong format. Convert your video into a supported file type (MP4 is the preferred format of PowerPoint).
  • The video in the PowerPoint presentation is not playing in full screen or covering the entire slide. Open the video in the native media player, resize it, save, and insert it again into the PowerPoint presentation.

How to Customize the Size and Position of Embedded Videos in PowerPoint

You can customize the size and position of an embedded YouTube video in PowerPoint to fit the design aesthetics of your presentation. Here’s how:

  • Select the embedded video in your slide.
  • While holding down the SHIFT key, drag a corner diagonal to the desired size for the video.
  • Drag the video to its desired position on the slide.
  • Right-click on the video, and select “Format Video.”
  • Select the “Size & Properties” option.
  • You may adjust the Video effects or Change picture or watermark from this window

Adding Captions and Subtitles to Embedded Videos in PowerPoint

Adding captions and subtitles to embedded YouTube videos in PowerPoint is not possible directly through PowerPoint. To display captions or subtitles, you will need to use the features provided by YouTube. Ensure that the video you choose to embed has captions available, and they will be displayed when the video is played within the presentation if the viewer has captions enabled on their YouTube settings.

Creative Ideas for Using Embedded Videos in Different Types of Presentations

Embedded videos can be used in presentations in many creative ways, including:

  • To introduce a speaker or to highlight a particular point during a presentation.
  • To provide an engaging alternative to live streaming a lab demonstration or a lab tour
  • To offer enhanced stress relief exercises such as meditation sessions, healthy lifestyle practices at work, or an opening time-lapse video of a sunrise or sunset over the city you’re visiting.
  • To incorporate virtual tours for online learning initiatives, marketing, etc.

The Security Risks of Embedding Videos from External Sources

When embedding videos in PowerPoint presentations, it’s essential to be careful while choosing external sources. External videos may contain malware or viruses that can infect your computer or other devices on your network. When selecting external sources to embed videos, always verify the relevance of the content and ensure the video is coming from reputable sources.

Alternatives to YouTube for Embedding Videos in PowerPoint

While YouTube is a prevalent video hosting platform, other hosting sites such as Vimeo, Dailymotion, and Wistia have features similar to embedding. If you are unable or unwilling to use YouTube, these sites are other viable alternatives to explore.

Embedded videos are an excellent way to enhance your PowerPoint presentations and make them more effective at delivering your message. With the above tips, you can now easily embed YouTube videos in PowerPoint presentations and enjoy the numerous benefits they offer. Happy Presenting!

How to Embed a YouTube Video in PowerPoint

We show you how to embed a YouTube video in PowerPoint so that you can spice up your presentations and impress colleagues.

Markus Kasanmascheff

Table of Contents:

It can be difficult to keep an audience's attention during a lengthy presentation. In fact, 4 out of 5 professionals admit to shifting their focus away from the presenter during the last presentation they attended. One way to combat this is interactive elements. You can embed a YouTube video in PowerPoint to break up long stints of talking and create a more fun environment.   Though you can add a plain hyperlink to your presentation to open in the browser, that doesn't look particularly professional. Instead, it makes sense to embed your video in PowerPoint so you can play it directly from the application. As an added benefit, the video's thumbnail will appear for a more beautiful design.   In this guide we show you how to embed a YouTube video in PowerPoint using two methods: its embed code and a URL. Both will give more or less the same results, so we recommend the latter unless you have a specific reason.

How to Embed a YouTube Video in PowerPoint Using Code

Embedding a YouTube video using its embed code is slightly more technical but offers additional customization options. This method is especially useful for those working with older versions of PowerPoint.

How to Insert a YouTube Video in PowerPoint Using a URL

You can speed up the process to embed video in PowerPoint from YouTube by using just its URL rather than the embed code. This should work so long as you have a modern version of PowerPoint.

FAQ – Frequently Asked Questions About Videos in PowerPoint

Will embedded youtube videos in powerpoint work without an internet connection.

Embedded YouTube videos require an active internet connection to stream content from YouTube's servers. If you plan to present in a location without internet, consider downloading the video (if permitted by copyright) and embedding the file directly into your PowerPoint presentation.

Can I embed a private YouTube video into my PowerPoint presentation?

Private YouTube videos cannot be embedded directly. For a video to be embeddable in PowerPoint, it must be either public or unlisted. If you are the owner of the video, you can change its privacy settings on YouTube to ‘Unlisted' , which allows embedding while not making the video publicly searchable.

How can I make an embedded video autoplay when its slide comes up during the presentation?

To make an embedded YouTube video autoplay in PowerPoint, first embed the video into your slide. Then, right-click on the video, select ‘Playback' , and then choose ‘Automatically' under ‘Start' . This setting ensures the video begins playing as soon as the slide is displayed without requiring a manual play action.

Is there a way to loop an embedded YouTube video in PowerPoint?

Direct looping of embedded YouTube videos within PowerPoint is not supported. An alternative would be to set the video to loop on YouTube's platform before embedding, but this requires the loop setting to be available and set on YouTube. Another approach is to edit your video to include the repeat content and upload it as a new video for embedding.

What versions of PowerPoint support embedding YouTube videos?

Embedding YouTube videos is supported from PowerPoint 2010 onwards. Newer versions, such as PowerPoint 2019 and PowerPoint for Microsoft 365, provide enhanced support and a more user-friendly experience for embedding videos from YouTube using both the URL and embed code methods.

How can I embed videos from Vimeo or other services into PowerPoint?

For services like Vimeo, you can use the embed code provided by the video platform. Go to ‘Insert' > ‘Video' > ‘Online Video…' in PowerPoint and paste the embed code. Compatibility and support can vary, so it's recommended to test the embedded video before the presentation.

Can I insert videos from sources other than YouTube using these methods?

The URL method described in the tutorial is tailored for YouTube. However, PowerPoint allows embedding videos from other services through their embed codes. Always check the specific platform's guidelines for embedding content and test the video in PowerPoint to ensure compatibility.

If I embed a YouTube video, will viewers of the presentation need a YouTube account to watch it?

Viewers do not need a YouTube account to watch an embedded YouTube video within PowerPoint. The requirement is for the video to be publicly accessible or unlisted. Private videos cannot be viewed without logging into the account that has access.

Can I control the playback volume of an embedded YouTube video in PowerPoint?

The embedded YouTube video's volume controls are managed through YouTube's built-in player controls during playback. PowerPoint does not offer separate volume control for embedded YouTube videos, so adjustments must be made using the video player's volume slider or the computer's volume settings.

What should I do if the ‘Online Video' option is not available in my PowerPoint?

If the ‘Online Video' option is missing, it's likely that you are using an older version of PowerPoint that doesn't support this feature. Consider updating to a newer version. As an alternative, you can download the video and insert it into your presentation as a local file through ‘Insert' > ‘Media' > ‘Video' > ‘This Device' .

Is it possible to embed a YouTube video so it plays in fullscreen automatically in PowerPoint?

PowerPoint doesn't support automatic fullscreen playback for embedded videos. You would have to set the video to fullscreen manually during presentation mode or adjust the video frame size to fill the slide as a workaround.

Can I customize the playback quality of an embedded YouTube video?

The playback quality of an embedded YouTube video in PowerPoint is determined automatically by YouTube based on factors like internet speed. It's not possible to preset a specific playback quality within PowerPoint. Viewers can manually adjust the quality during playback using the YouTube player controls if needed.

What happens if the YouTube video I embedded is removed from YouTube?

If an embedded YouTube video is removed from the platform or if the video's URL changes, it will no longer be accessible in your PowerPoint presentation. You'll see a blank frame or an error message in place of the video. It's advised to regularly check embedded videos for availability, especially before important presentations.

How can I add annotations or comments to an embedded video in PowerPoint?

PowerPoint doesn't support adding annotations directly to embedded online videos. As a workaround, you can overlay shapes, text boxes, or comments on or around the video frame on your slide. These can serve as annotations and are helpful for providing additional context or notes related to the video content.

Can an embedded video in PowerPoint be used as a clickable link to open a webpage?

While the video itself cannot be directly used as a hyperlink in PowerPoint, you can overlay a transparent shape or icon over the video frame and add a hyperlink to that shape. This setup can then direct users to a webpage or another slide within the presentation when clicked, effectively making the video or its part act as a clickable link.

3. Creating a Creative Timeline Template Using Transitions like Morph

For a more creative and unconventional approach, you can use PowerPoint’s Morph transition to create a dynamic timeline. This method allows you to animate transitions between slides, making your timeline visually engaging and unique.

In this example, we’re doing a 4-point timeline:

  • On a blank PowerPoint slide, lay out 8 rounded rectangles – 4 positioned in one row, and the other 4 just below them.
  • Right-click on the 1st rounded rectangle and select “Format Shape”.
  • In the side panel that appears, under the Fill dropdown, select “Picture or texture fill”.
  • From here, you can either insert a photo from a file or paste from your clipboard. Use a photo or illustration that best accompanies that specific point on your timeline. For this example, insert pictures of the inventors themselves.
  • Fill each of the remaining 3 rounded rectangles in the row with pictures.
  • Once done, place the other 4 rounded rectangles on top, covering each photo.
  • On top of these rectangles, add your text, and proceed to group them into each rounded rectangle.
  • Duplicate the slide 4 times.
  • On the 2nd slide, slightly tilt the 1st rounded rectangle to the right and reposition it diagonally to the right downwards. This reveals the 1st photo behind.
  • On the 3rd slide, do the same for the 2nd rounded rectangle, and so on, until the last slide.
  • Once everything is set, select all the slides. Go to the Transitions tab and apply Morph.
