How to embed a video in PowerPoint for a more engaging presentation

What type of content do you primarily create?

embed presentation in powerpoint

Making an engaging PowerPoint presentation is no easy feat.

You have to figure out what to say, and what you want your audience to grasp. Then, decide how to bring the two together to deliver a compelling presentation.

One popular way to add flair is by embedding video into the content, like what Dr. Frans de Waal did in his TED Talk on inequity aversion . To emphasize his points, he included videos of animal experiments, turning a mind-numbingly boring topic into an engaging and viral presentation—which now has over 5 million views.

In this step-by-step guide, you’ll learn how to embed a video in PowerPoint so you can create exceptional presentations that grab your audience’s attention and help them remember what you said.

How to embed a video in PowerPoint from your PC or Mac

First, of course, you’ll need a video, either one online or from your media library. The next step is to find a way to make it play during your PowerPoint presentation. You could do it manually by bringing up the video from another website or program while you’re speaking, but that process is clunky and you might end up facing technical challenges.

Luckily, there are simpler and easier methods of embedding videos in PowerPoint. You can link to your video file externally or embed it directly in your presentation.

Use the tutorial below to insert videos in PowerPoint from a computer.

How to embed a video in PowerPoint in Windows

Step 1: select the powerpoint slide.

Launch Microsoft PowerPoint on a Windows computer and open a blank or existing PowerPoint file.

Then, go to the slide you want to embed a video and select the Insert tab in the toolbar.

Step 2: Click Video > This Device

Select the Video option. Here, you can either embed a video from your computer or from an online source, like a website or YouTube and other supported platforms.

Click This Device from the drop-down menu to embed a video from a folder on your computer.

PowerPoint supports MP4 files encoded with H.264 video and AAC audio. So, you can upload videos in file formats, such as M4V, MOV, ASF, AVI, MPG, MPEG, or WMV.

If you don't want to play a video full screen, resize it to your preferred dimensions.

For precise height-to-width proportions:

  • Select Format (PowerPoint 2013 or newer) or Options (PowerPoint 2010) in the Size group
  • Click the Dialog Box Launcher Icon image
  • Click Size, then select the Lock aspect ratio checkbox under Scale
  • Enter your preferred height and width under Size and rotate or enter the percentage of size that you want in the Scale height and width boxes

Then, select Video Format to access formatting options like borders and effects or right-click the video for more options. You can also use the Designer tool to choose from professional slide templates.

Then, click the Playback tab to trim your video, add captions, choose playback options, like In Click Sequence, Automatically, or When Clicked On.

Note: In PowerPoint for Microsoft Office 365 or PowerPoint 2016 version 1709 or later, you can use the In Click Sequence option. This way, your video can play in sequence with other actions you’ve programmed on the slide, like animations or transitions.

To insert a web video, select Video > Online Videos .

Note: PowerPoint supports YouTube, SlideShare, Vimeo, Stream, and Flip video providers.

Step 3: Click Insert

If you choose to embed an online video, copy the link to the video you want to embed and paste it in the blank field. A preview of your video will appear in the Insert video pop-up.

Click the Insert button to embed the video in your presentation.

PowerPoint will download and insert the video on the selected slide. You can drag the edges of the video thumbnail to resize it, then use Video Format options, like shape, border, and effects to enhance the video.

Select the Playback tab to insert captions or choose how your video plays (automatically or when clicked).

Note: You can’t change when an online video starts. But if you’re embedding a YouTube video, you can copy the video URL at the current time to link from a specific start time.

Click the Slide Show tab to preview the video with all the formatting changes you made. Then, save your presentation to your computer or click the Share button to move or copy it to the cloud.

How to embed a video in PowerPoint on a Mac

To embed a video in PowerPoint for Mac, you’ll need to save the video file in the same folder as your presentation.

Launch PowerPoint and open a blank or existing presentation, then select the slide you’d like to add a video to.

Select Insert .

Step 2: Click Video > From File

Click Video to access video embed options from the drop-down menu:

  • Video browser
  • Video from file
  • Stock videos
  • Online film

Select Video from file to insert a video file from your Mac.

In the Choose a Video dialog box, select the video file you want to insert, then click the Insert button to embed the video on the slide.

If you want to put a link to the video on the slide, click Show Options in the lower left corner of the dialog box.

Then, select the Link to file box, and click Insert .

Select the Video Format tab to add effects and choose whether your video will play automatically or when clicked.

Tip: If you’re using the 2016 version of PowerPoint (or newer), you can play back videos with multiple audio tracks. These versions also support closed captions and subtitles embedded in video files.

Select the Playback tab to do the following:

  • Trim your video
  • Add fade in and fade out effects
  • Play the video on full screen or hide during the show
  • Insert captions
  • Select start time options (in click sequence, automatically, or when clicked)
  • Loop the video to play repeatedly and continuously during the presentation
  • Rewind your video

How to embed a video in PowerPoint from YouTube

Embedding a YouTube video to a PowerPoint presentation is simple. You can use the video URL or integrated search function to embed a video you uploaded to YouTube or someone else’s video (with permission).

To add a video to your PowerPoint presentation, you’ll copy the video embed code and paste it into the slide you want. The code will load the video at the source and play it on the platform you’re using.

You won’t need to download and upload the video from YouTube and the video will load and play faster regardless of the file size. Plus, you can share video content that’s covered under copyright, so you’re not in danger of crossing any legal lines.

Follow these steps to embed a video in PowerPoint from YouTube on a Windows PC or Mac.

How to embed a video in PowerPoint from YouTube in Windows

Step 1: click “insert video”.

Open a PowerPoint presentation and select the slide you want to embed your video.

Click Insert > Video .

Step 2: Choose “Online video”

Select the Online Videos option.

Step 3: Insert the URL from YouTube

Right-click the video to copy the video link or embed code, or click Share to get the embed code. Then, paste the URL or embed code in the link field.

A preview of your video will appear in the Insert video dialog box.

Click Insert to embed the video in your presentation.

Resize the video thumbnail, then use the video formatting options to enhance it.

Click Playback play the video automatically or when clicked or add captions. Then, preview the video with all the edits you made and save or share your presentation.

Note: YouTube’s video file formats are similar to those PowerPoint supports, so your video will likely play without issues. However, YouTube supports some formats that PowerPoint doesn’t, including FLV, 3GPP, WebM, DNxHR, ProRes, HEVC (h265), and CineForm. If your video isn’t playing, check to make sure it’s a supported file format.

How to embed a video in PowerPoint from YouTube on a Mac

Step 2: choose “online film”.

Select Online Film .

A URL pop-up will appear prompting you to enter the link to the YouTube video.

Go to YouTube and copy the link or embed code of the video you want to embed in your presentation. You can right-click the video and select copy video URL or copy embed code, or click Share and copy the video link or embed code.

Paste the video link or embed code in the URL pop-up in your PowerPoint presentation, then click Insert .

Resize your video and polish your slides before saving the presentation to your computer.

How to insert a video file link in PowerPoint

Embedding a video in PowerPoint may be convenient, but it increases the size of your presentation.

To reduce your presentation file size, insert a video file link to create a linked video. The downside with linked videos is that links can break, but you can prevent this by copying and storing your presentation and linked videos in the same folder, then linking to the video there.

Ensure you have a stable internet connection, then use the steps below to insert a video file link in PowerPoint on a PC or Mac.

Insert a video file link in PowerPoint on a PC or Mac

Step 1: take a screenshot of the video.

Find the video you want to link to in PowerPoint and take a screenshot of the clip.

To take a screenshot in Windows, you can either use the Snipping tool, press the PrtScn (print screen) key and Windows Logo key on your keyboard.

If you’re using a Mac computer, you can take a screenshot by pressing and holding SHIFT + COMMAND + 3 keys together (for full screenshot) or SHIFT + COMMAND + 4 keys to screenshot a specific area.

Step 2: Insert the screenshot in your presentation

Alternatively, navigate to the slide you want to add your screenshot to, select Insert > Pictures > Picture from File . Then, find the screenshot you took, select Insert to add it to the slide, then crop, resize, and position it to your liking.

Step 3: Hyperlink the image to your video

Right-click the image and select Link .

If your video is in Descript, copy the video link from your dashboard.

Insert the video link in the address field then click OK .

The hyperlink will be connected to the image itself, not other elements on the slide or the entire slide.

Click Slide Show to test your video and ensure it links to the right video. When you click on the image, it will open in a web browser, ready for you to play.

Why can’t I embed a video in PowerPoint?

Embedding videos to a PowerPoint presentation is a straightforward process, but sometimes the video may fail to play. Let’s review some reasons for playback failure and how to resolve them.

Video playback issues

Video playback may fail in PowerPoint if:

  • The storage folder is corrupt
  • The video’s audio is out of sync
  • The video file is corrupt, damaged, in an unsupported file format, or missing certain files

How to fix: Convert your video into a supported file format, check PowerPoint playback settings, or make the video visible by unchecking the Hide while not playing option in the playback tab. You can also save your presentation using the PPT or PPTX extension, so it’s easier to open the file in older or modern Office versions.

File size and compatibility

Your video might not play if the file is too big. To resolve this issue, compress the media file by going to File > Info > Compress Media. Then, select one of these options:

  • Presentation quality/full HD: Adjusts the video size while maintaining its quality.
  • Internet quality/HD: Saves on space and video quality.
  • Low quality/Standard: Saves more space but doesn’t keep overall video and audio quality. This option is ideal if you want to share the presentation with others and ensure your videos will still play.

If your video file is incompatible with PowerPoint, it may be in an unsupported file format or missing a codec.

How to fix: Convert the video to a supported format or add a missing codec to your computer for smooth playback.

Broken links

When adding an online video, you might accidentally enter an incorrect link or the video link may be broken at the source. This means it won’t embed correctly and won’t play when you’re presenting.

How to fix: Before inserting or embedding an online video, install the required updates for your version of PowerPoint and check that you’ve copied the right link. Then, test your video to ensure it plays on any device.

How to embed videos into your PowerPoint presentations

How to embed videos into your PowerPoint presentations

If you had to hold a presentation at work or school, you probably know how important is to make your presentation attractive to keep your audience's attention until the very end. When you need to make a point about something, a video might just do the trick. PowerPoint allows you to add videos to your presentations. For example, you can embed a local video file from your computer, a YouTube clip or a video from another website. Here's how to embed any video in your Microsoft PowerPoint presentations:

How to embed videos from your pc in your powerpoint presentations, how to embed a youtube video into your powerpoint presentation, how to embed a video in your powerpoint presentation using an embed code.

NOTE: For the purpose of this article we used Microsoft Office PowerPoint 2016.

This method allows you to insert local video files from your computer or other computers you are connected to. You can embed almost any type of video format, from ".mp4", to ".avi", to ".mkv" or ".mov." First, you need to open the PowerPoint app and select the slide where you want to add the video.

PowerPoint, Embed, video

Next, click or tap the Insert tab from the ribbon on the top.

PowerPoint, Embed, video

Now, you need to go to the Media section, which is just at the right side of the ribbon.

PowerPoint, Embed, video

Click or tap the Video button in the Media section and a small menu opens. Press the " Video on My PC" option to embed a video from your PC.

PowerPoint, Embed, video

File Explorer will open. Search for the folder containing the video that you want to insert into your presentation. Once you've found the video file, you can click or tap Insert.

PowerPoint, Embed, video

Now, the video is embedded into your PowerPoint presentation. You can play the video, using the buttons at the bottom of the video player that is shown on the slide. If you can't see the buttons make sure the video is selected. You can drag the corners to resize it, or click and drag to reposition it on your slide.

PowerPoint, Embed, video

The video is packed into the PPT or PPTX file where you save your presentation, so you don't need to worry about sending it along with the presentation. Remember that as the size of the video increases, the size of the presentation will increase too. You should not embed very long videos if you want to keep the presentation file small and easily transferable.

PowerPoint 2016 allows you to search for videos on YouTube within the app and add them directly to your presentation. To do this, select the slide where you want the video and then go to the Insert tab on the ribbon. Look for the Media section and press the Video button. In the menu that is displayed, choose the Online Video option.

PowerPoint, Embed, video

Now, another window opens with two options: YouTube and "From a Video Embed Code."

Next to the YouTube logo, there is a search bar where you can type the name of the video that you want to add. Click or tap the Search button to display the search results.

PowerPoint, Embed, video

The next thing you need to do is to select the video from the list of results and press the Insert button on the bottom of the window.

PowerPoint, Embed, video

Wait for the video to be added to your PowerPoint presentation.

PowerPoint, Embed, video

You can preview the video, resize or reposition it just as you like.

PowerPoint, Embed, video

IMPORTANT: Make sure that you are connected to the internet when you want to play the video from your presentation, during your presentation delivery.

This option allows you to insert online videos into your presentations using embed codes from all kinds of online platforms. To do this, first select the slide where you want the video and then go to the Insert tab on the ribbon. Look for the Media section, and press the Video button. In the menu that is displayed, choose the Online Video option.

PowerPoint, Embed, video

Next, make sure that you have copied the video embed code from the online platform where you found the video that you want to use in your presentation. For example, under any video you watch on YouTube, you need to press the Share option. Then, click or tap Embed so that the video embed code will be displayed.

PowerPoint, Embed, video

Paste the embed code in the " From a Video Embed Code" field and press the Insert button on the right side of the field or the Enter key on your keyboard.

PowerPoint, Embed, video

Wait for the video to be inserted into your PowerPoint presentation, where you can play it, resize it or reposition it as you like.

PowerPoint, Embed, video

The problem with this method is that it accept only very simple embed codes, like those on YouTube. However, it doesn't seem to work with videos from other famous online platforms like Vimeo or Dailymotion. We tried and failed each time.

As you can see, Microsoft PowerPoint allows you to embed videos in your presentation using several methods, all of them accessible to any user. You can add a video stored on your PC or online videos from YouTube or another platform, using embed codes. Try this feature and let us know how it works. Also, if you have questions regarding this topic don't hesitate to share them with us in the comments below.

How to Embed a Video In PowerPoint

Videos have become a pivotal part of presentations. And not only. All types of content rely on videos – regardless if they are informational, educational, or sales content. According to Invideo ,

The average person is about to watch around 100 minutes of video content PER DAY in 2022.

This piece of stats only adds to the fact that people around the world embrace video content more and more, and will prefer it over text. In this article, we will show you how to embed a video in PowerPoint, so you can grab your audience’s attention and make them rate your presentation.

Article overview: 1. Why insert a video in PowerPoint? 2. How to embed a video in PowerPoint? 3. How to edit a video in PowerPoint?

1. Why insert a video in PowerPoint?

Before we show you how to embed videos in PowerPoint, we need to start with the reasons why you should add videos to your PowerPoint presentation.

✔️Reason #1 – People hate boring presentations

79% of people say they find most presentations boring. If you insert video content in your PowerPoint presentations, there’s no guarantee your presentation will be more likable. But you’ll certainly increase your chances to stand out.

✔️Reason #2 – Short attention span

Distractions are one major problem for presenters. Over the years, the average attention span has shrunk to just 8 seconds. Apart from the best practices to start and end a presentation , you can also keep your audience hooked when you embed videos in PowerPoint.

✔️Reason #3 – People absorb video content better

Your end goal is to convey your message no matter what your presentation is about. According to stats, audiences only retain 10% of the information they’ve seen in a text, compared to 95% in videos . If Google’s CEO Sundar Pichai can give up on bulk texts and bullet points, what stops you from following his presenting style?

2. How to embed a video in PowerPoint?

In 2022, a PowerPoint presentation can be a powerful tool that can impress audiences and sell great ideas. That’s why Microsoft has ensured they are in line with the recent digital marketing trends .

There are not one but three ways to insert videos in PowerPoint ! We will cover all of them in our tutorial.

2.1. How to insert a video into PowerPoint from my computer?

When to use : If you have your own videos to share in the presentation.

The best thing about adding videos in PowerPoint is that there is a dedicated menu. And in case some steps seem familiar, don’t get surprised.

Our first option is computer imports.  Let’s see how to add a video from a PC or Mac.

Insert menu PowerPoint

Step 2 : Pick Video , and then go to This computer – the first option.

Insert video from this device

Step 3 : Select a file of your choice and then click Insert .

2.2. How to embed a stock video in PowerPoint?

Stock videos are great options for corporate presentations. Paired with some great PowerPoint templates for download , you can capture the attention of your audience. You have over 20 categories to choose from and if you prefer, you can use the search bar to find what you need. While there isn’t much of a choice compared to YouTube and Vimeo (which we will discuss later), picking stock videos ensures you won’t have copyright issues with your presentations.

Let’s see how to insert a stock video in PowerPoint.

Step 1 : Select Insert from the menu ribbon (this step is the same).

Step 2 : Pick Video , and then go to Stock Videos – the second option.

Import stock video in presentation

Step 3 : Choose which video you want to select and then press Insert .

2.3. How to embed a third-party video in PowerPoint?

Without a doubt, most people ask how to embed a YouTube video in PowerPoint, as this is the best place to find video resources. But you can not only embed a video from YouTube in PowerPoint, you can also insert one from other platforms like Vimeo, Slideshare, Stream, and Flipgrid. All you need to do is just copy the address of the video URL and paste it into the search bar. Let’s see how to do so.

Step 2 : Pick Video , and then go to Online Videos  – the third option.

Import video by URL in PowerPoint

Step 3 : Copy the video URL and paste it into the search bar.

Embed Video with url in PPT slide

Step 4 : When the video preview appears, click Insert .

Import online video

N.B. Embedding a video from an online source – WARNING⚠️

We need to warn you that adding videos to PowerPoint from online sources may affect the Video Format and Playback options. Also, embedding through the Web will cause a delay in loading time. I’ve personally found out that on average, a YouTube video embedded in PowerPoint starts playing in 5-6 seconds at least.

I ran an experiment where I added one Graphic Mama’s video from my computer, and it loaded instantly. It also didn’t have any formatting and playback issues. In conclusion, it may be best if you find a way to download your desired videos and upload them directly from your PC/Mac.

Be careful with Online videos in PowerPoint

3. How to edit a video in PowerPoint?

If you learned how to upload a video in PowerPoint using these three methods mentioned above, that’s great. You have already made a lot of progress to satisfy your audience and meet your presentation goals. But your task doesn’t end here (unfortunately). You need to plan how your video will look and sound. Positioning your video, trimming unnecessary parts of it, etc., are all important things to consider.

Let’s see how to modify your PowerPoint videos so that they look great and add that “extra touch of finesse” to your slides.

3.1. How to format a video in PowerPoint?

Without a doubt, you need to check all the boxes when you upload your videos into PowerPoint. And the first thing to do is check your video format. Microsoft has added a lot of functions so that you can further customize the video experience for your audience.

Video Format Menu

Video Menu in PowerPoint Overview

As you can see, you can adjust the video, apply some video style, test it for accessibility, arrange it in the slide, and select its size. Let’s start.

3.1.1. How to apply visual color corrections?

Visual Corrections Presets

Visual Presets in PowerPoint

If you want to modify your contrast and exposure, you can use 25 pre-made color combinations between +40% and -40% brightness and contrast.

Visual Corrections Extended Menu

Video Visual Corrections Extended Menu

In case none of the presets delights you, you can manually adjust the brightness and contrast with 1% stops and values beyond +/- 40%.

3.1.2. Video Recolor

Sometimes, the video isn’t in your brand colors or you wish to make it more playful. The video recolor tool gives you just that – it applies a dramatic change to your video colors, in order to fit the Powerpoint templates colors or simply add some color punch. You’re left with three options: to pick something from the default options (21), choose a custom recolor variation, or check the video color options which are also found in Format Video Menu  on the right (check Visual Corrections Extended Menu  image).

3.1.3. Choosing Video Styles

Of course, choosing the right video style is important. It will be a decisive factor in measuring how well your audience will respond to the video. Picking one of the templates is okay but if you put some effort into choosing a video shape , video border , and video effects , you will notice a big difference.

Video styles menu

Video Shape

Video Shapes can make your videos a ton better. The standard square format can be tweaked and if you add some imagination, you can end up with superb interactive elements – like arrows, comment boxes, etc.

Video shape menu

Video Border

Video borders are very useful. They can outline the video, putting the focus on it, and the most important thing – separate the video from the background, especially if they are in similar colors.

Video border function

Video Effects

Video effects are your playground. But seriously – these effects can make your embedded video stand out by adding some shadows, soft edges, glow effect, or simply giving it a smooth 3D look that will grab the audience.

3.1.4. Video Accessibility, Arrangement, and Dimensions

We decided to combine all these three under one section, as these are some of the standard options that don’t need much explanation. Alt text  is for people with visual impairment or if the resource doesn’t load due to a slow Internet connection. Typically, you need between 1-2 sentences to explain what is in the video. When you click on Alt text, a dialog box with instructions will appear on the right.

Alt Text field in PowerPoint

The Arrange and Size  options are related to where the video is positioned and how much space it will occupy from the slide. With Arrange , you can place the video anywhere on the slide, as well as rotate it, bring it back and forwards, and align it.

The Size  tools allow you to scale the video up and down, crop it, and by default – lock the aspect ratio. To manage the alignment and size at the same time (as these two settings go well together), there is a special dedicated menu that you can access by clicking on the small arrow (check the cursor).

3.2. How to manage Video Playback in PowerPoint?

Learning how to embed a video in PowerPoint is important but just as crucial is the way you play the video – which parts are you going to show, which effects you will add, and decide if you will add or skip adding captions. All these things can make a difference.

3.2.1. How to add bookmarks to your video in PowerPoint?

You have probably seen plenty of YouTube videos where you can find bookmarks when new important parts of the videos start. The same applies here. You can add and remove bookmarks, so as to separate the different parts of your video.

3.2.2.  Editing options

In the Editing section of the Playback menu, you can choose if you want to trim your video or add Fade In/Fade Out effects, and the duration of the latter. Below, you can see how to trim a video in PowerPoint – you can select the start and the end of it, so your audience will see the most important details only.

Trim video function

3.2.3. Video Options

In the Video Options , you will find several tools that you can work with.

  • Volume  – starting with video volume, it’s pretty straightforward what this means. You have 3 modes /low, medium, high/ + mute.
  • Start  – you have three options: Automatically /by default/, In Click Sequence , and When Clicked On .
  • Play Fullscreen  – when the video is on, it will be displayed throughout the whole slide.
  • Hide While Not Playing  – if the video is not playing, it will not be accessible.
  • Loop until Stopped – after the video ends, it will automatically start from the beginning if you don’t stop it manually.
  • Rewind after Playing – once the video is played through the end, it will display the first frame and stop.

Other video options

3.2.4 Insert Captions

If your video has a voiceover, you may need to add captions to make it more understandable for an audience with hearing impairment or people sitting too far from you. The captions have to be uploaded from your computer.

Learning how to embed videos in PowerPoint is crucial for your presentation success. You will get access to a whole new world. But don’t forget about formatting. Some basic video editing can make your videos even more engaging.

How to embed a video in PowerPoint

We all know that Microsoft’s PowerPoint software has been a presentations staple for a few decades now. And whether you only used it in school once or twice, or you use it for work on a daily basis, there’s always something new to learn about the classic Microsoft platform. For example, did you know that you can embed videos in your PowerPoint presentations?

Those custom animations and fanciful fonts are only going to hold your audience for so long, and nothing says “yay, a break from reading” like a two or three-minute YouTube clip. In this guide, we’re going to teach you how to add videos to PowerPoint slides, and answer a few frequently asked questions about this subject, too.

Step 1: Head to the slide where you want to embed a YouTube video by clicking it in the sidebar section, where all your slides are located. Now, click the exact area where you want to add the video, such as the title header or within the main body of text underneath.

Step 2: Click the Insert tab at the top. Select the Video icon. From the drop-down list that appears, choose Online Video .

Please note that if you're using PowerPoint 2019 or newer, you'll be able to insert online videos from YouTube by just copying and pasting the video URL into a slide.

Step 3: Open the video you wish to embed on YouTube. Under the video player, click Share and then the Embed icon. Under the Embed Video title, click the Embed Code once, which will select the entire code section. Click the Copy button or use the keyboard shortcut ( Ctrl + C on Windows).

Step 4: Go back to your PowerPoint presentation window after you’ve copied the necessary code. Within the From a Video Embed Code section, paste the code into the adjacent field. Click the Enter button on your keyboard or click the small, grayed-out Arrow .

Step 1: You can customize how you want the video to play on your slide. Click the Playback tab and make any necessary adjustments, such as the video playing automatically or only letting it play when you click the video itself.

Step 2: You can also click the video frame, then right-click and select the Format Video tab for further modification tools, such as the video’s brightness, size, and more.

If you’d prefer to embed a video into your PowerPoint presentation with a video contained within your system, Microsoft provides an option to do so.

Step 1: Choose exactly where you want to add a video file. Click the Insert tab and select the Video icon. Click the Video on My PC field.

Step 2: Navigate to the video you want to insert, then double-click it or click it once and select the Open button. Microsoft PowerPoint will embed the video with its own media player.

Please remember that if you do prefer the option to insert a video directly from your PC and you'll need to show the presentation via an external system, don't forget to save both the PowerPoint and video files onto your USB, external hard drive, etc. Otherwise, it won't be able to play the video. Moreover, add both of them into a single folder so they're interconnected to ensure playback.

If you want your video to start playing the moment you open the slide it’s pasted to, the first thing you’ll need to do is make sure your slideshow is in Normal view. Next, click the YouTube video. Now click Playback > Start > Automatically .

You can also set up Play in Click Sequence , which automatically plays a slide’s YouTube video when you press the spacebar, right arrow key, or any other key that advances to the next slide.

There’s a couple of reasons your YouTube video may not be playing in PowerPoint. For starters, you should check to make sure the video you’re attempting to embed is compatible with PowerPoint. Popular formats like MP4, AVI, and WMV are supported. If your video isn’t in a PowerPoint-supported format, you could always convert it using programs like HandBrake .

If you’re playing an embedded YouTube video, the device you’re running PowerPoint on will need to be connected to the internet, too. If you know you’re going to be in a situation where you don’t have internet access, it’s probably a better idea to download the YouTube video to your computer first, and then place the video into your PowerPoint.

On top of that, you’ll learn what you can and can’t do when embedding videos into PowerPoint, including:

  • How to trim a video (including how to trim a YouTube video)
  • Getting your video to play full screen

2. Internet connection

Online videos require a good – STRONG – internet connection to play properly.

That means that if you embed a YouTube video in your PowerPoint and the conference room you are presenting in has a weak internet connection, you are in trouble.

So I highly recommend spot checking the internet quality of the room you will be presenting in before working with any online video in your presentation.

If your internet connection is weak, be prepared to skip the video in your presentation.

3. Playback options

How to add a Video thumbnail

Adding a video thumbnail (or what PowerPoint calls a  Poster Frame ) is super easy.

But this is only applicable to videos you add to your presentation from your computer. That’s because online videos will automatically populate with whatever thumbnail their creator gave it (you cannot edit it or change it in PowerPoint).

There are two types of thumbnails you can add to your videos in PowerPoint:

  • Use a frame from your video as the thumbnail (easiest)
  • Import your own custom thumbnail image (most flexible)

Neither is better or worse (your video will still play the same either way), it’s just a personal preference.

What is a video thumbnail and why is it important?

A video thumbnail is simply an image that is displayed before you play your video. You will see these on YouTube videos all the time before you click to play them.

In PowerPoint, the thumbnail image can become an important part of your overall slide design theme.

If you don’t add your own thumbnail, the first frame of your video will automatically be used as the video’s  Poster Frame .

Adding a  Poster Frame  is an optional step, but can go a long way to improving the overall design of your PowerPoint slides.

Here are the different ways to add a thumbnail or Poster Frame to your embedded video:

1. Using a video frame as the thumbnail (or Poster Frame)

How to Embed a Video in PowerPoint (Step-By-Step)

Today, I’m going to show you how to embed a video in PowerPoint to make your presentations come to life. I'm also going to cover some of the best practices for creating a PowerPoint presentation, as well as the frequently asked questions about inserting video in PowerPoint.

So, shall we get started?

How to upload a video to PowerPoint from your desktop or laptop

Embedding video in PowerPoint makes your file size larger. But it allows you to share a video with your audience without frantically looking for it on your computer while presenting. This tutorial is for PowerPoint 365. If you’re using an older version there might be some differences but you should still be able to follow along just fine. Just follow these five easy steps:

1. Start by opening your PowerPoint presentation and navigating to the slide where you want to insert your video.

2. Then, click the “Insert” tab.

Graphical user interface, application, PowerPointDescription automatically generated

3. Now, in the top right corner, click the arrow under the "Video" button, or in PowerPoint 365, click the arrow beside the "Video" button.

4. Next, click "Video on My PC/Movie from File" and select the video you want to insert. Then, click the “Insert” button.

5. The video will now appear on your slide. You can resize it or move it around on the slide as you see fit.

And that’s it. You’re good to go! Don’t forget to preview your entire presentation to ensure your video plays exactly as you want it to.

How to link a video in PowerPoint

Another method for inserting video in PowerPoint is to link the media on your slide to an external source or file. It will keep your presentation file size small as it will launch the video from its location on your PC. However, the link may be broken if you move the source video to a different location on your computer.

Here’s how to do it:

1. In the top left corner, click the “Insert” tab.

2. then, click the arrow under the “video” button, 3. on the drop-down menu, click “video on my pc/movie from file.”, 4. now, click the drop-down arrow beside or under “insert” and select “link to file.” if you’re using powerpoint 365, click the “option” button, then select “link to file.”.

Graphical user interface, applicationDescription automatically generated

4. Choose your video, then click “Insert.”

Graphical user interface, applicationDescription automatically generated

And voila! You’re all set! We suggest keeping your linked video and your PowerPoint presentation in the same folder so as not to lose either of them.

How to put a YouTube video in a PowerPoint

You can also add an online video to your PowerPoint presentation . This is a much better approach because you won’t have to download a video and it won’t add anything to your PowerPoint’s file size. However, to play the video during your presentation, you must have an internet connection.

Embedding a video from YouTube depends on the version of your PowerPoint. I’ll walk you through the process for PowerPoint 365, but it’s not that different from the earlier PowerPoint versions.

1. Copy the video’s URL from the address bar of your computer's web browser.

2. Choose the PowerPoint slide onto which you want to insert the video and click the "Insert" tab

3. Now, click “Video,” then choose “Online Video/Movie…

4. Once the online dialog box appears, paste the YouTube video URL and click “Insert.”

Best Practices for Video PowerPoint Presentations from Ben, VEED’s Head of Enterprise

Download your videos to avoid issues from a bad internet connection when making and presenting your video powerpoint.

While inserting online videos in PowerPoint is a convenient way to avoid increasing the file size, you'll need an internet connection to play them while presenting. And what if your internet connection goes down during your presentation? Will you find your way out of this mess? Most likely, but it’s better to prepare for this situation.

Download video files from websites such as YouTube , Vimeo , or VEED, so you don't have to worry about retrieving them if your internet goes down. It's also a good idea to save your completed PowerPoint so you can present it if there are any connectivity issues during an in-person presentation.

Know when to upload a video vs. link to a video inside a PowerPoint

If you have lots of videos in your PowerPoint presentation, expect the file size to be huge. What you can do is to choose videos you can do without or whose content you can explain on your own, and then link to that video and let it stream over the internet. This is a great tip in case an internet connection issue arises. But, it’s always best to download the video as a backup just in case something happens.

Why should you embed a VEED video instead of a YouTube video for professional PowerPoint presentations?

Youtube videos play distracting off-topic advertisements, which we don’t want to see during a presentation. You’ll never have that problem with videos you create, edit, save, and share with VEED .

You can also use VEED to clean your audio, add subtitles to your video , and even translate it . This is useful when presenting to a global audience.

VEED can also help you take your presentation to the next level. Use our teleprompter to avoid forgetting your lines. You can also use our screen recorder tool to record yourself talking through your PowerPoint slides. Turn on your camera to keep your video personalized.

How to link to a VEED video inside of PowerPoint

  • Upload your video to VEED. You can even import a YouTube video from the video’s URL.
  • (Optional) Edit the video if needed
  • Click on export
  • Click on ‘share’ to copy and paste the video share link to the text (or image) on your presentation that’ll be hyperlinked.

Keep videos between 30 to 90 seconds long

Use videos to enhance your presentation, not to replace it. People don't have long attention spans , so keep it short but sweet. You only have the first 2.7 seconds of your video to capture your audience’s attention before they tune out.

In general, 60 to 90 seconds is the video duration sweet spot for engagement.

According to Forbes , the ideal video length for a presentation is only 30-60 seconds long because studies have shown that 75% of people will likely stick with a video if it’s only 60 seconds long.

Cover only one idea per video so the content is easy to digest.

Look into your camera’s lens and pace yourself

When recording, look directly into the camera lens. This is like looking your audience in the eyes.. They’ll feel as if you are speaking directly to them.

You can edit or re-record your lines using VEED's screen recording and teleprompter tool. You can also cut out the pauses before returning your gaze to the camera.

How to Embed a Website in PowerPoint: Step-by-Step Guide for Seamless Integration

Embedding a website into a PowerPoint presentation can transform a typical slide into an engaging, interactive experience. Imagine showing your audience live data updates from a website or directly integrating a web tool without leaving your presentation. By using the LiveWeb add-in, we can insert live web pages into our slides, making our presentations more dynamic and interactive.

How to Embed a Website in PowerPoint: Step-by-Step Guide for Seamless Integration

To get started, we need to install the LiveWeb add-in, which seamlessly allows us to link a website into a PowerPoint slide. Once installed, simply navigate to the “Insert” tab, select “My Add-ins,” choose “Web Viewer” or “LiveWeb,” and paste the website URL. This feature enables us to keep our audience engaged by presenting content that updates in real-time.

When we incorporate live web pages into a presentation, it not only retains our audience’s attention but also enriches the content we present. This method is perfect for business pitches, educational sessions, or any scenario where up-to-date information is crucial. By adding an interactive layer, we ensure our presentations remain fresh and compelling.

Embedding Web Content into Slides

When adding web content to PowerPoint slides, it’s important to use the right tools and techniques. We’ll break this down by exploring different ways to embed web elements, ensuring a smooth presentation experience.

Using LiveWeb for Interactive Pages

LiveWeb, an add-in for PowerPoint, helps us embed live, interactive web pages directly into slides. This tool is useful for showcasing live data or interactive content.

  • Download and install LiveWeb.
  • Open PowerPoint and create or select a slide.
  • Go to the Insert tab and click on Web Page in the LiveWeb section.
  • Enter the URL of the web page you want to embed.

LiveWeb keeps the web page refreshed, making it great for displaying dynamic content like stock tickers or social media feeds.

Leveraging PowerPoint Add-ins

We often leverage add-ins to enhance our PowerPoint presentations with web content. The Web Viewer add-in, for example, allows us to insert websites easily.

Steps to use Web Viewer:

  • Open PowerPoint and navigate to the Add-ins section.
  • Click on My Add-ins and select Web Viewer .
  • Paste the web URL, removing the https:// as it’s added by default.

Using add-ins is user-friendly and integrates smoothly without needing extensive tech skills.

Inserting Audio and Video Media

Embedding multimedia brings life to our slides. Insert videos from YouTube or Vimeo:

  • Go to the Insert tab and choose Online Video .
  • Paste the video URL into the dialogue box.

For audio, do the same:

  • In the Insert tab, select Audio and then Audio from Online Sources .

These elements ensure our presentations are engaging and informative.

Adding Html Files and Markup

We also embed HTML files and custom markup to add specialized content. This involves creating local HTML files and then embedding them with iframes or other methods.

Steps to embed HTML:

  • Save your HTML file locally.
  • Use the Insert tab and select Object .
  • Choose Create from File and browse to your HTML file.

HTML embedding is useful for adding custom forms, interactive graphs, or CSS-designed elements, making our presentations versatile and dynamic.

By employing these methods, we create interactive and engaging PowerPoint presentations that captivate our audience and convey information effectively.

Creating Clickable Hyperlinks

We’ll guide you through creating clickable hyperlinks to enrich your PowerPoint presentation, whether linking to external websites or navigating within the slideshow.

Hyperlinking to External Websites

Adding hyperlinks to external websites helps integrate online content directly into your presentation. This can be done easily by selecting the text, shape, or image you want to link. Then, click on Insert > Link .

A dialog box will appear where you can enter the URL of the website. Make sure the URL is complete, starting with http:// or https:// . This will ensure that the presentation can access the internet correctly.

Adding external links is also a good way to reference sources, provide additional reading material, or direct your audience to an external online tool or resource. This kind of link can make your slides far more interactive and engaging.

Using Hyperlinks for Navigation

Using hyperlinks within your presentation helps in creating a non-linear navigation format. This is particularly useful for complex slideshows where users need to jump between different sections.

To do this, select the text or object to be used for the link. Go to Insert > Link , then choose Place in This Document . A list of your slides will appear, allowing you to select the destination slide.

By setting up these internal links, you can create a table of contents, interactive quizzes, or a FAQ slide where users click questions to view answers on separate slides. Hyperlinks within the presentation are key for enhancing user experience and ensuring a smooth navigation flow.

Enhancing Slideshows with Additional Elements

Adding more elements to your slides can make your PowerPoint presentation more engaging and informative. Let’s dive into integrating data visualizations and incorporating screenshots and images to enhance your slideshow.

Integrating Data Visualizations

Integrating data visualizations can transform ordinary slides into dynamic, informative displays. Charts, graphs, and infographics offer a clear way to present complex data. Using PowerPoint’s built-in chart tools, we can create bar charts, line graphs, and pie charts. Each of these visualizations can help communicate key insights effectively.

PowerPoint add-ins like DataPoint also allow us to embed real-time data. This is great for live presentations where information needs to be updated on the fly. We simply link our data source, and the chart updates automatically.

By incorporating interactive charts, we provide our audience with a deeper understanding of the data. They can interact with the presentation, thus making information retention more likely. It’s a game-changer for data-heavy presentations and helps keep the audience engaged.

Incorporating Screenshots and Images

Screenshots and images add visual appeal and clarity to our presentations. They help break the monotony of text-heavy slides and capture attention. To add a screenshot, we use the Insert tab and choose Screenshot from there. This allows us to capture the entire screen or a specific window directly into the slide.

Images can illustrate points more vividly than words alone. By utilizing high-quality images, we bolster key points in a memorable way. Stock photos, custom graphics, and screenshots of relevant web pages or applications can be seamlessly integrated.

Using the image formatting tools, we can adjust size, aspect ratio, and add effects like shadows or borders. This ensures that the visuals not only complement but enhance the overall slide design.

Adding images also humanizes our content, making it more relatable and engaging. Plus, screenshots can serve as practical guides or examples, making complex ideas easier to grasp for our audience.

Concluding Your Presentation

Let’s face it—nailing the conclusion of our presentation is just as important as the setup. Without a strong finish, our audience might feel like they’ve missed something. So, how do we craft that perfect closing?

First, we should recap the key points . It reminds everyone of the main takeaways. A clean summary slide does the trick. Bullet points work wonders here.

We can open the floor for questions . This encourages engagement and ensures everyone is on the same page. A simple “Any questions?” slide works great.

Another option is to pose a thought-provoking question or a call to action . For instance, “How can we apply these strategies in our teams?” or “Let’s start incorporating these tips today!”

Trying to leave a lasting impression? We should use a memorable quote that resonates with our topic. Quotes can be powerful if they align well with our content.

**Recap** **Questions** **Call to Action**
Key Points Q&A Session Next Steps
Summary Slide Engagement Implement

In presentation mode , make sure to thank the audience . It shows appreciation and leaves them with a positive last impression.

Lastly, consider offering a contact slide . This helps if anyone wants to reach out for further details. Simple, clear, and professional.

Wrapping up our session smoothly can make a significant impact, ensuring our hard work shines until the very end.

Let’s make our conclusions count! 😊

How to embed videos in PowerPoint

Inserting a video into a Microsoft PowerPoint presentation is a great way to enhance your slides. Learn how to embed Vimeo and YouTube videos and insert MP4, AVI, and other formats to level up your deck.

Alexander Boswell

For a lot of us, Microsoft PowerPoint represents a part of our lives we don’t often look fondly on. Whether that’s making presentations for school or work, with over one million companies using Office 365 worldwide, it’s safe to say you’ve either used it, or you will use it in the future.

However, PowerPoint (ppt) presentations don’t have to be boring with all text and a few images here and there. One trick you try to make your presentations more interesting and engaging is to embed video into your PowerPoint slides.

If the idea of adding video inside your slides is new to you (instead of minimizing the program and finding the video to play), then this guide will help you understand the benefits of using embedded videos, and how to do it with different video formats.

Table of contents

Videos help to explain complexity, videos minimize information overload, mixing mediums keeps your audience engaged, from your own video library, a video that’s not yours, add youtube video to powerpoint slide with a link, add youtube video to powerpoint slide with embed code, how to insert all other video types into powerpoint, what to do after you add a video to a powerpoint slide, adding video to powerpoint faqs, wrapping up, embed your beautiful videos anywhere with vimeo.

For reference, throughout this guide I’ll be using Version 16.51 PowerPoint for Mac (from Microsoft Office 365) and a standard design template for this tutorial. You may have a previous version of PowerPoint with slightly different wordings for buttons (which I’ll point out).

Why insert a video in a PowerPoint presentation?

First things first, let us take a look at some of the awesome benefits of adding video to PowerPoint presentations. While there are more than three benefits (particularly if you enjoy creating instructional videos ), or if your company makes use of asynchronous meetings , these are the main ones when it comes to the audience’s experience.

embed presentation in powerpoint

You may have heard some statistics floating around on the internet about how “65% of the population are visual learners”. While this particular stat isn’t actually based on empirical research to date, many people I’ve encountered throughout life seem to prefer videos in both learning and business environments.

The most obvious reason for these preferences is that videos often help to explain complexity a little easier than reading about it.

For example, in a 2018 Frontiers in Surgery study, viewing operative videos (vs reading a manuscript) greatly improved the confidence of trainee surgeons in performing difficult surgery.

Have you ever seen a presentation slide that was almost a full screen of block text and inwardly groaned at having to read it or watch the speaker read from the screen word for word?

Having too much information on a single slide is not only a design mistake but also contributes to information overload — which happens when someone faces “a level of information that is greater than their information processing capacity”.

Using video can help combat this problem by pacing out information at an easier rate than slamming someone with a huge wall of text all at once.

Similar to the point above, having a whole bunch of text in your presentation without anything else to break it up is a quick way to lose the interest of your audience.

Going to either extreme of using only text or only video isn’t likely to help people engage with the information you’re trying to give. However, giving a mix of mediums has a much better chance of increasing engagement in a learning environment.

In a business context, research suggests that the overwhelming majority (94%) of people surveyed report “watching explainer videos to learn more about a product, with 84% being swayed to make a purchase”. So including them in a sales deck may well work to persuade your audience into buying.

How to insert a Vimeo video into PowerPoint

Perhaps you have a portfolio of videos on your Vimeo account you want to add to your presentation instead. Thankfully, adding a Vimeo video to your slide show is just as easy as adding a YouTube video !

In fact, all the starting steps (insert video ➡️ online film ➡️ URL/embed code) are exactly the same. The only difference is the source of the video itself (and whether or not the video belongs to you).

So, from opening up the dialog box, you’ll want to head over to your Vimeo video library, which you can do by hovering over your profile picture and hitting the “videos” option in the drop-down menu:

embed presentation in powerpoint

From there, you’ll want to go to the video you want to embed (in this case, me playing a song I wrote) and click on the ‘link’ icon which will give you the option to either copy the URL or the embed code.

As I said before, for PowerPoint presentations, it doesn’t matter which one you choose since you need the internet to play them anyway.

embed presentation in powerpoint

With these options, simply paste your URL or embed code into the dialog box and it will insert the video to your slide.

As an additional measure, if for some reason the shortened embed code doesn’t work, you can also click on the video and copy the full embed code from the video options, like so:

embed presentation in powerpoint

From there, just as before you can paste the embed code in the PowerPoint dialog box and it works the same way.

To insert a video that doesn’t belong to you (but you have permission to use), it’s similar to how you would insert a YouTube video only the design is obviously different.

When you get to the Vimeo video you want to embed, click on the “share” button shaped like a paper airplane and you’ll get all the same options as before. All you have to do is copy either the URL or the embed code:

embed presentation in powerpoint

Just as before, paste either of these into the “online film” dialog box and your video will appear on the slide.

Quick note: to embed the video in PowerPoint, the video must be publicly available, or at least viewable via link. You can’t embed a video that is set to “Private”.

How to insert a YouTube video into PowerPoint

Whether you’re using the most updated version of PowerPoint or an older one, the steps are exactly the same here with the only difference being that older versions like PowerPoint 2010 may ask “video from website” rather than online video/film/movie depending on your localization.

There are two main ways you can insert a YouTube video into a slide in PowerPoint, and both require you to be connected to the internet when you add and play the video.

The easiest way to add a video in PowerPoint is to first, select the slide you want the video to appear on, then hit the insert tab and find the video icon towards the right:

embed presentation in powerpoint

From here, you’ll get a drop-down menu for various insert video options. Depending on your level of subscription, you may also see the “stock videos” option, which might be helpful in other situations. For now, choose “online film” (or movie/video).

embed presentation in powerpoint

After that, you’ll get a pop-up that asks you to paste the YouTube video URL into the box. In previous versions, you may also have the option here to search for a YouTube video inside PowerPoint, but it seems recent updates have removed that feature.

embed presentation in powerpoint

From here, you’ll need to find the YouTube video you want to add to your presentation, then either copy the URL from the address bar, from the right-click options, or hit the “share” button on the video and copy the URL from there:

embed presentation in powerpoint

Once you’ve copied the URL, paste it into the dialog box on PowerPoint and press “insert” or hit enter.

If you had an empty media box in the slide already (like I have in my slide above) your video will automatically paste into that box which you can resize afterward:

embed presentation in powerpoint

Shoutout to Abbie Emmons’ awesome YouTube channel for fiction writers.

However, if you had a blank slide before adding your video, it will appear in the middle of the slide. Resize and reposition however you want the video to appear.

Since YouTube videos require an internet connection for playback, it doesn’t necessarily matter whether you use the URL or the embed code. However, if you really want to use it, the embed code is a way for you to add the YouTube video without the link.

The starting steps are exactly the same as inserting a video via URL, except when you go to your chosen YouTube video, instead of copying the URL, you should click “Embed”. When you do, you’ll see the following screen:

embed presentation in powerpoint

If you click on the code box it should automatically select all of the code, but if you accidentally double-click you can either use your select-all keyboard shortcut (cmd+a for Mac, ctrl+a for Windows) or click off the box and back on it to reselect all.

Alternatively, if you right-click on the video itself, you can also copy the embed code from the options there.

Copy the embed code and paste it in the same dialog box as you do with the URL and you’ll get the same results.

After all of the above, what if you have a different video format to work with, or that the connection will be bad where you’re delivering your presentation? In this case, you’ll want to try embedding a video file from your computer.

Before you start, here’s a list of the video formats PowerPoint currently supports:

  • AVI movie (Some .avi files may require additional codecs) (.avi or .vfw)
  • MPEG-4 movie (.mp4, .mpg4)
  • Apple MPEG-4 movie (.mv4)
  • MPEG movie (.mpg, .mpeg, .mpe, .m75, .m15)
  • MPEG-2 video (.m2v)
  • MPEG-2 Transport Stream (.ts)
  • QuickTime movie (.mov, .qt)
  • DVI movie (.dif)
  • Windows Video file (Some .avi files may require additional codecs) (.asf, .avi)
  • MP4 Video file (only from 2013) (.mp4, .m4v, .mov)
  • Movie file (.mpg, .mpeg)
  • Windows Media Video file (.wmv)

As long as your video is one of the above formats, you’ll be fine. If not, you should try converting your file to one of the above before trying to embed it in your presentation.

So, in order to embed a video file, you’ll want to head back over to the “insert” tab and instead of clicking “online film”, select either “video browser” or “video from file”. Though in older versions, it will have “video on my pc” instead.

embed presentation in powerpoint

It may be unique to Mac, but if you select “video browser”, a “photos” window will pop up where you can browse videos from your photos app. In most cases though, you’ll want to pick “video from file” as it will take you to your folder manager (finder in Mac).

From here, you’ll be able to find the video you want to insert into your PowerPoint from the folder where it belongs:

embed presentation in powerpoint

When you select a video, the “insert” button will be available and you can click it to add the video to your slide.

Whether you decide to add a video from an online source or from your computer, here are the main points to keep in mind:

  • Inserting a video from your computer will significantly increase the PowerPoint file size whereas an online video won’t.
  • Using an online video requires an internet connection for the video to play while using a video file from your computer doesn’t.

Now you know how to add a video to your presentation, next we’ll briefly look at some of the options you have in terms of playing videos during your presentation.

Beyond simply adding the video to your slide, there are a couple of other considerations to take into account.

A lot of the time, you won’t have control over the thumbnail of the video you want to embed. However, if you want to change the thumbnail to an image you already have, you can do that by clicking on the “video format” tab and selecting either the “current frame” or “image from file” option, like so:

embed presentation in powerpoint

Changing the thumbnail also changes how it appears in the presentation overview in the left pane, and when you run through the presentation the video plays as normal.

Background video

If you want your video to appear in the background of your slide, all you need to do is make sure your video is high quality enough and resize it to fit the slide frame. If you want other elements to appear over the top, simply change the position using the “arrange” button in the Home tab.

The playback tab

The playback tab will also appear when you click on the embedded video, where you can change settings like whether the video starts automatically, when clicked on, or in the click sequence (handy if you have slide animations or text to work through first).

You can find these settings when you click on “start”:

embed presentation in powerpoint

Just below “start sequence” you can also check a box if you want the video to play full screen (not advisable with the automatic playback setting, or if you want the video to appear as part of the slide design).

If you’re working on a video you’ve embedded from your computer, you can also add bookmarks to let you quickly navigate different parts of the video, even during the presentation — great for topic changes or other segmentation.

You can either use a video stored on your computer by choosing the “video from file” option in the insert video tab or find the embed code of an online video.

Embed the video in your slide and then click on it to reveal the “Playback” tab. In there you’ll find the “start” settings where you can select “automatically” instead of the default “In Click Sequence” option.

You can either right-click on the video (on YouTube or any other site) and select the “copy embed code” option or hit the “share” button. In there you’ll find the “embed” option that brings up a window with the full embed code for you to copy.

At this point, you should know what the benefits are for including video in your presentations and exactly how to embed a video in PowerPoint, along with some bonus tips for using them.

Hopefully, you’ve come to realize just how easy it is to do and you’re feeling inspired to spice up your next presentation, or maybe even record your presentation to share it with the world!

The only version of PowerPoint that allows users to create embed code is PowerPoint for the Web .

Historically, consumers were able to save a presentation as a video and embed it onto a website. But it wasn't the same as allowing readers to click through the slides, and download if needed. Microsoft heard from their clients and added the ability to embed the web application into the latest iteration of PowerPoint (for Web). With that said, let's check out this feature from Microsoft!

Let's get started Embedding!

Now that you've seen what a PowerPoint looks like once embedded, let's get into the process of completing the task at hand.

Begin by opening the PowerPoint 365 Web Application (link here !)   Note* You may need to sign into your Microsoft Office account before you start.

After the site is open, select the presentation you'd like to embed into your website if already uploaded (or start from scratch).

Import content from other applications into PowerPoint

You can import content from other programs into your presentation. This includes files created by other Microsoft Office programs, as well as files from other programs that support Object Linking and Embedding (OLE).

Note:  You can insert content only from programs that support OLE and are installed on your computer. To see what types of content you can insert, on the Insert tab, in the Text group, click Object . The Insert Object box lists the object types you can use.

There are two ways to insert content objects into a PowerPoint presentation:

Linked objects     A linked object is updated if its source file is changed. For example, a linked chart built from data in Microsoft Excel is changed if the source Excel data changes. The source file must be available on your computer or network to maintain the link between the inserted object and the source data. Inserting a linked object is recommended if the source data set is large or complex.

Embedded objects     The source data is embedded in the presentation. You can view the embedded object on another computer, because the source data is part of the presentation file. Embedded objects typically require more disk space than linked objects.

Link or embed content copied from another program

In a program other than PowerPoint, select and copy the information that you want to insert as an object.

In PowerPoint, click where you want the object to appear.

On the Home tab, in the Clipboard group, click the arrow below Paste , and then click Paste Special .

Select Paste Special

In the Paste Special dialog box, do one of the following:

To paste the information as a linked object, click Paste link .

To paste the information as an embedded object, click Paste . In the As box, click the entry with the word "object" in its name. For example, if you copied the information from a Word document, click Microsoft Word Document Object .

Note:  If your selection is very small, for example, a few words from a Word document or a number from an Excel worksheet cell, you might not have to save it as an object. In this case, click one of the options provided in the As box, or paste the content directly.

Insert a linked object

Click in the slide where you want to place the object.

On the Insert tab, in the Text group, click Object .

What's the difference between linking and embedding, how to link or embed an excel worksheet in microsoft powerpoint.

Sometimes, you want to include the data on an Excel spreadsheet in a Microsoft PowerPoint presentation. There are a couple of ways to do this, depending on whether or not you want to maintain a connection with the source Excel sheet. Let's take a look.

You actually have three options for including a spreadsheet in a PowerPoint presentation. The first is by simply copying that data from the spreadsheet, and then pasting it into the target document. This works okay, but all it really does is convert the data to a simple table in PowerPoint. You can use PowerPoint's basic table formatting tools on it, but you can't use any of Excel's features after the conversion.

While that can be useful sometimes, your other two options---linking and embedding---are much more powerful, and are what we're going to show you how to do in this article. Both are pretty similar, in that you end up inserting an actual Excel spreadsheet in your target presentation. It will look like an Excel sheet, and you can use Excel's tools to manipulate it. The difference comes in how these two options treat their connection to that original Excel spreadsheet:

  • If you link an Excel worksheet in a presentation, the target presentation and the original Excel sheet maintain a connection. If you update the Excel file, those updates get automatically reflected in the target presentation.
  • If you embed an Excel worksheet in a presentation, that connection is broken. Updating the original Excel sheet does not automatically update the data in the target presentation.

There are advantages to both methods, of course. One advantage of linking a document (other than maintaining the connection) is that it keeps your PowerPoint presentation's file size down, because the data is mostly still stored in the Excel sheet and only displayed in PowerPoint. One disadvantage is that the original spreadsheet file needs to stay in the same location. If it doesn't, you'll have to link it again. And since it relies on the link to the original spreadsheet, it's not so useful if you need to distribute the presentation to people who don't have access to that location.

Embedding that data, on the other hand, increases the size of presentation, because all that Excel data is actually embedded into the PowerPoint file. There are some distinct advantages to embedding, though. For example, if you're distributing that presentation to people who might not have access to the original Excel sheet, or if the presentation needs to show that Excel sheet at a specific point in time (rather than getting updated), embedding (and breaking the connection to the original sheet) makes more sense.

So, with all that in mind, let's take a look at how to link and embed an Excel Sheet in Microsoft PowerPoint.

Linking or embedding an Excel worksheet into a PowerPoint presentation is actually pretty straightforward, and the process for doing either is almost identical. Start by opening both the Excel worksheet and the PowerPoint presentation you want to edit at the same time.

In Excel, select the cells you want to link or embed. If you would like to link or embed the entire worksheet, click on the box at the juncture of the rows and columns in the top left-hand corner to select the whole sheet.

Image 002

Copy those cells by pressing CTRL+C in Windows or Command+C in macOS. You can also right-click any selected cell, and then choose the "Copy" option on the context menu.

Image 1

Now, switch to your PowerPoint presentation and click to place the insertion point where you would like the linked or embedded material to go. On Home tab of the Ribbon, click the down arrow beneath the "Paste" button, and then choose the "Paste Special" command from the dropdown menu.

This opens the Paste Special window. And it's here where you'll find the only functional different in the processes of linking or embedding a file.

If you want to embed your spreadsheet, choose the "Paste" option over on the left. If you want to link your spreadsheet, choose the "Paste Link" option instead. Seriously, that's it. This process is otherwise identical.

Whichever option you choose, you'll next select the "Microsoft Excel Worksheet Object" in the box to the right, and then click the "OK" button.

Image 003

And you'll see your Excel sheet (or the cells you selected) in your PowerPoint presentation.

Image 005

If you linked the Excel data, you can't edit it directly in PowerPoint, but you can double-click anywhere on it to open the original spreadsheet file. And any updates you make to that original spreadsheet are then reflected in your PowerPoint presentation.

If you embedded the Excel data, you can edit it directly in PowerPoint. Double-click anywhere in the spreadsheet and you'll stay in the same PowerPoint window, but the PowerPoint Ribbon gets replaced by the Excel Ribbon and you can access all the Excel functionality. It's kind of cool.

Image 004

And when you want to stop editing the spreadsheet and go back to your PowerPoint controls, just click anywhere outside the spreadsheet.

Embed Vs. Link an Excel File in PowerPoint

When you want to add an Excel file to a PowerPoint presentation, you have two options: embedding or linking the file. Here’s a brief overview of the differences between the two:

  • Embedding an Excel file in PowerPoint means that a copy of the file is saved within the PowerPoint presentation itself. This can make your presentation larger in file size, but it also means that you don’t need the original Excel file to view or present the data. Any changes made to the original Excel file won’t be reflected in the embedded copy within PowerPoint.
  • Linking an Excel file to PowerPoint means that the presentation will display data from the original Excel file. This keeps the file size of the presentation smaller and ensures that any changes made to the Excel file are reflected in the PowerPoint presentation. However, if the Excel file is moved or deleted, the links will be broken and the data won’t display correctly in the presentation.

Benefits and Drawbacks of Embedding an Excel File in PowerPoint

When creating presentations, it’s useful to embed the Excel file directly into the PowerPoint file. But, it’s important to consider the benefits and drawbacks of this approach.

  • Easy Access to Data: Embedding an Excel file in PowerPoint allows you to easily access and manipulate data without having to switch between programs.
  • Increased Interactivity: Embedding an Excel file in PowerPoint allows you to create more interactive presentations with live data that can be manipulated and updated in real time.
  • Saves Time: It can save time by eliminating the need to create separate charts and graphs from scratch.
  • Better Organization: Embedding an Excel file in PowerPoint allows you to keep all your data in one place, making it easier to organize and manage your presentation.
  • Consistent Formatting: Embedding ensures that your data will be presented with consistent formatting and style.
  • File Size: Embedding an Excel file in PowerPoint can increase the file size of your presentation, making it more difficult to share and collaborate with others.
  • Compatibility Issues: Embedding an Excel file in PowerPoint can lead to compatibility issues between different versions of PowerPoint and Excel.
  • Security Risks: Embedding an Excel file in PowerPoint can pose security risks if the Excel file contains sensitive information.
  • Limited Editing Capabilities: Embedding an Excel file in PowerPoint limits your editing capabilities, as you may not be able to make changes to the data directly within the PowerPoint slide.
  • Refreshing Data: If the data in the embedded Excel file changes, you will need to manually refresh the data in the PowerPoint slide to ensure accuracy.

Things to Remember

  • Keep file size in mind when you embed an Excel file in PowerPoint.
  • Ensure compatibility with different versions of PowerPoint and Excel.
  • Test your presentation to ensure that the embedded Excel file displays correctly.
  • Update the presentation file with an embedded Excel file if the data changes or needs to be refreshed.
  • Consider security and privacy concerns when embedding Excel files containing sensitive information.

How to Make a “Good” Presentation “Great”

  • Guy Kawasaki

embed presentation in powerpoint

Remember: Less is more.

A strong presentation is so much more than information pasted onto a series of slides with fancy backgrounds. Whether you’re pitching an idea, reporting market research, or sharing something else, a great presentation can give you a competitive advantage, and be a powerful tool when aiming to persuade, educate, or inspire others. Here are some unique elements that make a presentation stand out.

  • Fonts: Sans Serif fonts such as Helvetica or Arial are preferred for their clean lines, which make them easy to digest at various sizes and distances. Limit the number of font styles to two: one for headings and another for body text, to avoid visual confusion or distractions.
  • Colors: Colors can evoke emotions and highlight critical points, but their overuse can lead to a cluttered and confusing presentation. A limited palette of two to three main colors, complemented by a simple background, can help you draw attention to key elements without overwhelming the audience.
  • Pictures: Pictures can communicate complex ideas quickly and memorably but choosing the right images is key. Images or pictures should be big (perhaps 20-25% of the page), bold, and have a clear purpose that complements the slide’s text.
  • Layout: Don’t overcrowd your slides with too much information. When in doubt, adhere to the principle of simplicity, and aim for a clean and uncluttered layout with plenty of white space around text and images. Think phrases and bullets, not sentences.

As an intern or early career professional, chances are that you’ll be tasked with making or giving a presentation in the near future. Whether you’re pitching an idea, reporting market research, or sharing something else, a great presentation can give you a competitive advantage, and be a powerful tool when aiming to persuade, educate, or inspire others.

Finding the Best AI Presentation Maker, Here's What I Tested...

Cassie Wilson

Published: July 19, 2024

You know what would have been great to have access to during my days as a teacher? An AI presentation maker. Whether you’re a teacher or a business professional, eye-catching presentations are a great way to spread (and digest!) information quickly.

Woman with best ai presentmaker graphic

Thankfully, AI presentation makers are becoming popular design tools. And one of the biggest perks of AI for presentations is that it can save you valuable time. Speaking from experience as a teacher, and now a small business owner, I can attest that any tool that can save me time is necessary.

Recently, I made it my mission to find the best AI presentation maker. First, I’ll explain how I tested them, and then I’ll show you each tool.

How I Tested the Best AI Presentation Makers

While I no longer teach Spanish to middle schoolers, pitch deck presentations are beneficial for my small business. Pitch decks can help me quickly show clients what I do and how I can help them. While pitch decks are useful, I do not enjoy spending hours creating them — mostly because designing is not my forte.

To test the usefulness of AI presentation makers, I asked six different presentation makers to create a simple presentation in which I offer my writing services to new clients. I wanted my AI-generated presentation to:

  • Be three to five pages long, starting with a short introduction and ending with a contact page.
  • Include relevant graphics.
  • Include my headshot.

Then, using various AI-enabled presentation tools, I timed how long it took me to create my short pitch deck and took notes on what worked and what didn’t. Using this method, I found some AI presentation makers are better than others.
