Principal's Report Card Cover Letter

March 2, 2020   Dear Weymouth High School Families:   Every year, each public school and school district in Massachusetts receives a report card.  Just as your child’s report card shows how they are doing in different subjects, the school’s report card is designed to show families how our school is doing in different areas.  A link to our school’s report card is available at  http://reportcards.doe.mass.edu/2019/03360505.   The report card includes multiple measures of a school’s performance – more than just MCAS scores.  It represents a new way of looking at school performance, by providing information on student achievement, teacher qualifications, student learning opportunities, and more.    Report cards are designed to be useful tools for everyone connected to our school. Families can use the information to have meaningful conversations with us about what the school is doing well and where there is room for improvement. Community and education leaders can use the information to better understand how to support students and our school. We are just below the state average for 9th Grade course completion and we are working diligently to increase this number.  Our graduation rates align with the state average at 88% and we are working collaboratively to increase this as well.     In regards to MCAS, our students’ performance meets or exceeds the state in meeting expectations.  Overall, our school is making moderate progress towards targets for most accountability measures.  Our goal will continue to be to provide a rigorous program while providing support to improve our achievement in the area of state testing.   We encourage you to become involved in helping us improve our school. Whether you're an independent contractor providing a report as part of an assigned project or a company employee drafting an internal report for staff review, an attached cover letter will serve as a brief overview of the report's contents, and can help provide clarity about the report. Report cover letters summarize the details in the report, and provide an overview of why the report was requested, and what its contents are intended to do.

Business Cover Letter Contents

Much like a cover letter you would draft to accompany a resume when applying for a job, a report cover letter in business serves a similar purpose: It provides a snapshot and states that details will follow. It should not be confused with an executive summary, which is the narrative usually found at the beginning of a report, which indicates key findings and recommendations. In other words, the cover letter tells you what's in the report, and the executive summary at the beginning of the report tells you why the information is important.

Introduction -- who the report is aimed toward, and the purpose it serves. Example:

To the Board of Directors:

Attached please find the 2018 Annual Report that the board requested at the start of the new fiscal year.

Brief summary of rationale -- why the report was requested. Example:

As requested, the report provides an in-depth overview of corporate profits broken down into six-month increments. It also provides a market summary which details cost projections and anticipated revenues moving forward, in 12-month increments.

Bullet-point overview -- a detailed list of other elements included: Example:

Additional report contents include the following:

Performance Report Contents

When drafting something such as performance reports that will be delivered to human resources or to a department director, the cover letter can be brief and to-the-point. Example:

Attached please find six performance evaluations of marketing department staff members. The evaluations were conduced the week of January 5, 2018. Each has been reviewed and signed by the individual employee and also by that employee's immediate supervisor. As you will read, the majority of the reports are quite positive, and several exceed expectations. Please let me know if you require additional information or documentation.

Project Report Contents

Well-written project reports are usually all-inclusive, but a cover letter to accompany the report can be helpful, when it includes details, such as a summary of purpose and next steps. Example:

Attached please find an update on the re-branding campaign project the graphic arts department is conducting. Once approved by the marketing committee, the project can move into phase two, in which we will have a focus group that will help assess overall perception and name recognition.

Report cards for 3rd quarter were mailed to students’ homes on Thursday, April 9, with the following cover letter included.

Dear Thetford Academy Parents and Families,

Enclosed with this letter, you will find the 3 rd  quarter report card for your TA student(s). 

Our goal with 3 rd  quarter grades was to focus primarily on the learning and academic progress students demonstrated during the earlier portion of the quarter, while they were still on campus. We are well aware that students experienced a dizzying set of circumstances at the end of the quarter with the onset of a public health crisis in our communities and the rapid transition to remote learning. 

As always, if you have questions about a grade in a class, reach out directly to the teacher. If you have larger questions or concerns about your student’s report card or academic progress, please connect with the student’s advisor or counselor.

The 4 th  quarter of the school year will be entirely conducted through a remote learning approach. We hope that the first phase of school dismissal, March 18-April 3, served as an important training period for everyone – students, families, and school staff – to get used to, and adjust as needed, our routines and expectations for this final stretch of the year.

We are required to include a cover letter with a larger report that might be sent by mail, special delivery, or email. You should write cover letters specifically so that it explains their contents, reaffirms their salient theme, and suggests future steps.

Report cover letters in business serve a similar purpose: They provide a snapshot and the details which follow. While similar to an executive summary, they aren’t the same. You may find an executive summary at the start of the paper, which outlines key findings and recommendations.

You see, the cover letter tells you what the report contains, while the executive summary tells us why this information is important.

How to Write a Cover Letter for Formal Report?

It is helpful to employ company letterhead stationery to compose a cover letter in recognition of the importance of the document it accompanies. If using email stationery, treat it as a paper cover letter by including an image of the company logo on the email page.

Include the day’s date and address information, including first and last names, title, business name, street address, and zip code. You can begin with the salutation “Dear,” “Mr,” or “Mrs.”

Declare the letter’s purpose without using ambiguous or obscure language. Consider briefly capturing the essence of the report. Summarize the purpose of the report in one or two sentences.

Note the conclusion of the report in this part, but don’t give away the underlying findings. You want the reader to read the entire report, not just the cover letter. Keep in mind that you are writing a cover letter, not an executive summary. Stating all the important findings is appropriate in an executive summary but not in a cover letter.

In a formal conclusion or next step section, indicate what actions you want from the recipient. Is it necessary for them to pass the document on? If so, make sure you state with a clear call to action. Or are you coordinating a larger meeting to present the findings? Be specific about the next steps as well as the day and date if necessary.

Project reports have all the content necessary. However, cover letters can be useful when they include details such as the description of the goal and next steps.

How to write a cover letter for a school report.

Learning to write an effective cover letter is an important skill that will serve you well once you finish school and begin applying for a job. Writing a cover letter for a school report follows a similar format to writing a cover letter that accompanies a resume. Keep your cover letter to two pages or less, and focus on the skills and research you conducted that qualify you to write the report.

Start a new word document. Set the format to include top, right and left margins of one inch, a bottom margin of 1 1/2 half inches, single-spaced, with Times New Roman font at 12-point size.

Write a formal salutation directly addressing your teacher or professor. For example, "Dear Mr./Mrs. (Teacher Name)".

Write the first paragraph and state the title and basic description of your report. Include the purpose of your report, such as whether it was a research study or an analysis, and what purpose the report serves.

Write the second paragraph, splitting it into two paragraphs if necessary. Elaborate on what the report is about and your reasons for writing it--aside from it being an assignment. Explain what qualifies you to write this report, and what research you did to find the information included. Do not merely summarize the report itself, but instead provide your teacher with a "behind the scenes look" at the work you put into the report.

Write the final paragraph and mention any other materials accompanying the report, such as a bibliography or copies of research. Thank your teacher for his time, type a formal closing and type your name underneath.

Print the cover letter and sign your name beneath your typed name. Turn in the cover letter on top of your school report.

What is a Cover Letter? (and Why It’s Important)

A cover letter is a one-page document that you submit as part of your job application (alongside your CV or Resume). 

Its purpose is to introduce you and briefly summarize your professional background. On average, your cover letter should be from 250 to 400 words long .

A good cover letter can spark the HR manager’s interest and get them to read your resume. 

A bad cover letter, on the other hand, might mean that your application is going directly to the paper shredder. So, to make sure this doesn’t happen, it’s essential to know how to write a convincing cover letter.

How does a good cover letter look, you might ask. Well, here’s an example:

Keep in mind, though, that a cover letter is a supplement to your resume, not a replacement. Meaning, you don’t just repeat whatever is mentioned in your resume.

If you’re writing a cover letter for the first time, writing all this might seem pretty tough. After all, you’re probably not a professional writer.

The thing is, though, you don’t need to be creative, or even any good at writing. All you have to do is follow a tried-and-tested format:

  • Header - Input contact information
  • Greeting the hiring manager
  • Opening paragraph - Grab the reader’s attention with 2-3 of your top achievements
  • Second paragraph - Explain why you’re the perfect candidate for the job
  • Third paragraph - Explain why you’re a good match for the company
  • Formal closing

How to Write the Perfect Cover Letter (And Get Hired!)

Now that we’ve got the basics out of the way, we’re going to guide you through the process of writing a cover letter step by step. 

Step #1 - Pick the Right Cover Letter Template

A good cover letter is all about leaving the right first impression.

So, what’s a better way to leave a good impression than a well-formatted, visual template?

Step #2 - Start the Cover Letter with a Header

As with a resume, it’s important to start your cover letter with a Contact Information section:

Here, you want to include all essential information, including:

  • Phone Number
  • Name of the hiring manager / their professional title
  • Name of the company you’re applying to

In certain cases, you might also consider adding:

  • Social Media Profiles - Any type of profile that’s relevant to your field. Social Profiles on websites like LinkedIn, GitHub (for developers), Medium (for writers), etc.
  • Personal Website - If you have a personal website that somehow adds value to your application, you can mention it. Let’s say you’re a professional writer. In that case, you’d want to link to your blog.

And here’s what you shouldn’t mention in your header:

  • Your Full Address 
  • Unprofessional Email - Make sure your email is presentable. It’s pretty hard for a hiring manager to take you seriously if your email address is “[email protected].” Whenever applying for jobs, stick to the “[first name] + [last name] @ email provider.com” format.

Step #3 - Greet the Hiring Manager

Once you’ve properly listed your contact information, you need to start writing the cover letter contents.

The first thing to do here is to address the cover letter to the hiring manager .

That’s right, the hiring manager! Not the overly popular “Dear Sir or Madam.” You want to show your future boss that you did your research and are really passionate about working with their team.

No one wants to hire a job seeker who just spams 20+ companies and hopes to get hired in any of them.

So, how do you find out who’s the hiring manager? There are several ways to do this. 

The simplest option is to look up the head of the relevant department on LinkedIn. Let’s say you’re applying for the position of a Communication Specialist at Novoresume. The hiring manager is probably Head of Communications or Chief Communications Office.

So, you do a quick lookup on LinkedIn:

And voila! You have your hiring manager.

Or let’s say you’re applying for the position of a server. In that case, you’d be looking for the “restaurant manager.”

If this doesn’t work, you can also check out the “Team” page on the company website; there’s a good chance you’ll at least find the right person there.

Here are several other greetings you could use:

  • Dear [Department] Hiring Manager
  • Dear Hiring Manager
  • To whom it may concern
  • Dear [Department] Team

Step #4 - Write an Attention-Grabbing Introduction

First impressions matter, especially when it comes to your job search.

Recruiters get hundreds, sometimes even thousands, of applications. Chances are, they’re not going to be reading every single cover letter end-to-end.

So, it’s essential to catch their attention from the very first paragraph .

The #1 problem we see with most cover letter opening paragraphs is that they’re usually extremely generic. Most of them look something like this..

  • Hey, my name is Jonathan and I’d like to work as a Sales Manager at XYZ Inc. I’ve worked as a sales manager at MadeUpCompany Inc. for 5+ years, so I believe that I’d be a good fit for the position.

See the issue here? This opening paragraph doesn’t say pretty much anything except the fact that you’ve worked the job before.

Do you know who else has similar work experience? All the other applicants you’re competing with.

Instead, you want to start off with 2-3 of your top achievements to really grab the reader’s attention. Preferably, the achievements should be as relevant as possible to the position.

So now, let’s make our previous example shine:

My name’s Michael and I’d like to help XYZ Inc. hit and exceed their sales goals as a Sales Manager. I’ve worked with Company X, a fin-tech company, for 3+ years. As a Sales Representative, I generated an average of $30,000+ in sales per month (beating the KPIs by around 40%). I believe that my previous industry experience, as well as excellence in sales, makes me the right candidate for the job.

See the difference between the two examples? If you were the hiring manager, which sales manager would you hire, Jonathan or Michael?

Now that we’ve covered the introduction, let’s talk about the body of your cover letter. This part is split into two paragraphs: the first is for explaining why you’re the perfect person for the job, and the latter is for proving that you’re a good fit for the company.

So, let’s get started...

Step #5 - Explain why you’re the perfect person for the job

This is where you show off your professional skills and convince the HR manager that you’re a better fit for the job than all the other applicants.

But first things first - before you even write anything, you need to learn what the most important requirements for the role are. So, open up the job ad and identify which of the responsibilities are the most critical.

For the sake of the example, let’s say you’re applying for the position of a Facebook Advertiser. You scan the job ad and see that the top requirements are:

  • Experience managing a Facebook ad budget of $10,000+ / month
  • Some skills in advertising on other platforms (Google Search + Twitter)
  • Excellent copywriting skills

Now, in this section, you need to discuss how you fulfill these requirements. So, here’s how that would look for our example:

In my previous role as a Facebook Marketing Expert at XYZ Inc. I handled customer acquisition through ads, managing a monthly Facebook ad budget of $20,000+ . As the sole digital marketer at the company, I managed the ad creation & management process end-to-end. Meaning, I created the ad copy , images, picked the targeting, ran optimization trials, and so on.

Other than Facebook advertising, I’ve also delved into other online PPC channels, including:

Step #6 - Explain why you’re a good fit for the company

Once you’ve written the last paragraph, you might be thinking - I’m a shoo-in for the job! What else do I need to write? I’ll just wrap up the cover letter and hit that sweet SEND button.

Well, no. You’re not quite there yet.

The HR manager doesn’t only look at whether you’ll be good at the job or not. They’re looking for someone that’s also a good fit for the company culture.

After all, employees that don’t fit in are bound to quit, sooner or later. This ends up costing the company a ton of money, up to 50% of the employee’s annual salary . 

Meaning, you also need to convince the HR manager that you’re really passionate about working with them.

How do you do this? Well, as a start, you want to do some research about the company. You want to know things like:

  • What’s the company’s business model?
  • What’s the company product or service? Have you used it?
  • What’s the culture like? Will someone micro-manage your work, or will you have autonomy on how you get things done?

So, get to Googling. Chances are, you’ll find all the information you need either on the company website or somewhere around the web.

Then, you need to figure out what you like about the company and turn that into text.

Let’s say, for example, you’re passionate about their product and you like the culture of innovation / independent work in the organization.

You’d write something like:

I’ve personally used the XYZ Smartphone, and I believe that it’s the most innovative tech I’ve used in years. The features such as Made-Up-Feature #1 and Made-Up-Feature #2 were real game changers for the device. 

I really admire how Company XYZ thrives for excellence for all its product lines, creating market-leading tech. As someone that thrives in a self-driven environment, I truly believe that I and Company XYZ will be a great match.

What you don’t want to do here is be super generic for the sake of having something to write. Most job seekers tend to mess this one up. Let’s take a look at a very common example we tend to see (way too often):

I’d love to work for Company XYZ because of its culture of innovation. I believe that since I’m super creative, I’d be a good fit for the company. The company values of integrity and transparency really vibe with me.

See what’s wrong here? The example doesn’t really say anything about the company. “Culture of Innovation” is something most companies claim to have. 

The same goes for “values of integrity and transparency” - the writer just googled what the values for the organization are, and said that they like them.

Any hiring manager that reads this will see through the fluff.

So, make sure to do a lot of research and come up with good reasons why you're applying.

Step #7 - Wrap up with a call to action

Finally, it’s time to finish up your cover letter and write the conclusion.

In the final paragraph, you want to:

  • Wrap up any points you couldn't in the previous paragraphs. Do you have anything left to say? Any other information that could help the hiring manager make their decision? Mention it here.
  • Thank the hiring manager for their time. It never hurts to be courteous, as long as you don’t come off as too needy.
  • Finish the cover letter with a call to action. The very last sentence in your cover letter should be a call to action. You should ask the hiring manager to take some sort of action.

And now, let’s turn this into a practical example:

So to wrap it all up, thanks for looking into my application. I hope I can help Company X make the most out of their Facebook marketing initiatives. I'd love to further discuss how my previous success at XYZ Inc. can help you achieve your facebook marketing goals.

Step #8 - Use the right formal closing

Once you’re done with the final paragraph, all you have to do is write down a formal “goodbye” and you’re good to go.

Feel free to use one of the most popular conclusions to a cover letter:

  • Best Regards,
  • Kind Regards,

And we’re finally done! Before sending off the cover letter, make sure to proofread it with software like Grammarly, or maybe even get a friend to review it for you.

Does your cover letter heading include all essential information?

  • Professional email
  • Relevant Social Media Profiles

Do you address the right person? I.e. hiring manager in the company / your future direct supervisor

Does your introductory paragraph grab the reader's attention?

  • Did you mention 2-3 of your top achievements?
  • Did you use numbers and facts to back up your experience?

Do you successfully convey that you’re the right pro for the job?

  • Did you identify the core requirements?
  • Did you successfully convey how your experiences help you fit the requirements perfectly?

Do you convince the hiring manager that you’re passionate about the company you’re applying to?

  • Did you identify the top 3 things that you like about the company?
  • Did you avoid generic reasons for explaining your interest in the company?

Did you finalize the conclusion with a call to action?

Dear Families:

Every year, each public school and school district in Massachusetts receives a report card. Just as your child’s report card shows how they are doing in different subjects, the school’s report card is designed to show families how our school is doing in different areas. A link to our school’s report card is available at  https://reportcards.doe.mass.edu/2023/00200045 .

The report card includes multiple measures of a school’s performance – more than just MCAS scores. It represents a new way of looking at school performance, by providing information on student achievement, teacher qualifications, student learning opportunities, and more.  

Report cards are designed to be useful tools for everyone connected to our school. Families can use the information to have meaningful conversations with us about what the school is doing well and where there is room for improvement. Community and education leaders can use the information to better understand how to support students and our school. 

You will notice on our report card that our school is making limited or no progress towards targets for most accountability measures as determined by state academic assessments. 51% met state expectations and 3% exceeded state expectations on the 2023 English Language Arts MCAS and 48% met state expectations and 10% exceeded state expectations on the 2023 Math MCAS. This is higher than the state and district elementary school averages for the last year. Massachusetts did not calculate accountability status for the 2020-21 year. We continue to focus on supporting students socially, emotionally, and academically to fill any gaps that may have resulted from the challenges of these pandemic years. We encourage you to become involved in helping us improve our school. We see parents as critical partners in the success of our students and school, and we are grateful for your continued support.

Finally, if your child attends a school that receives federal Title I funds, you also have the right to request the following information about the qualifications of your child’s classroom teachers:

  • Whether your child’s teacher is licensed in the grade levels and subject areas they teach,
  • Whether your child’s teacher is teaching under an emergency license or waiver, 
  • The college degree and major of your child’s teacher, and
  • Whether your child is provided services by paraprofessionals and, if so, their qualifications.

HHS Statement Regarding the Cyberattack on Change Healthcare

The U.S. Department of Health and Human Services (HHS) is aware that Change Healthcare – a unit of UnitedHealth Group (UHG) – was impacted by a cybersecurity incident in late February. HHS recognizes the impact this attack has had on health care operations across the country. HHS’ first priority is to help coordinate efforts to avoid disruptions to care throughout the health care system.

HHS is in regular contact with UHG leadership, state partners, and with numerous external stakeholders to better understand the nature of the impacts and to ensure the effectiveness of UHG’s response. HHS has made clear its expectation that UHG does everything in its power to ensure continuity of operations for all health care providers impacted and HHS appreciates UHG’s continuous efforts to do so. HHS is also leading interagency coordination of the Federal government’s related activities, including working closely with the Federal Bureau of Investigations (FBI), the Cybersecurity and Infrastructure Security Agency (CISA), the White House, and other agencies to provide credible, actionable threat intelligence to industry wherever possible.

HHS refers directly to UHG for updates on their incident response progress and recovery planning. However, numerous hospitals, doctors, pharmacies and other stakeholders have highlighted potential cash flow concerns to HHS stemming from an inability to submit claims and receive payments. HHS has heard these concerns and is taking direct action and working to support the important needs of the health care community.

Today, HHS is announcing immediate steps that the Centers for Medicare & Medicaid Services (CMS) is taking to assist providers to continue to serve patients. CMS will continue to communicate with the health care community and assist, as appropriate. Providers should continue to work with all their payers for the latest updates on how to receive timely payments.

Affected parties should be aware of the following flexibilities in place:

  • Medicare providers needing to change clearinghouses that they use for claims processing during these outages should contact their Medicare Administrative Contractor (MAC) to request a new electronic data interchange (EDI) enrollment for the switch. The MAC will provide instructions based on the specific request to expedite the new EDI enrollment. CMS has instructed the MACs to expedite this process and move all provider and facility requests into production and ready to bill claims quickly. CMS is strongly encouraging other payers, including state Medicaid and Children’s Health Insurance Program (CHIP) agencies and Medicaid and CHIP managed care plans, to waive or expedite solutions for this requirement.
  • CMS will issue guidance to Medicare Advantage (MA) organizations and Part D sponsors encouraging them to remove or relax prior authorization, other utilization management, and timely filing requirements during these system outages. CMS is also encouraging MA plans to offer advance funding to providers most affected by this cyberattack.
  • CMS strongly encourages Medicaid and CHIP managed care plans to adopt the same strategies of removing or relaxing prior authorization and utilization management requirements, and consider offering advance funding to providers, on behalf of Medicaid and CHIP managed care enrollees to the extent permitted by the State. 
  • If Medicare providers are having trouble filing claims or other necessary notices or other submissions, they should contact their MAC for details on exceptions, waivers, or extensions, or contact CMS regarding quality reporting programs.
  • CMS has contacted all of the MACs to make sure they are prepared to accept paper claims from providers who need to file them. While we recognize that electronic billing is preferable for everyone, the MACs must accept paper submissions if a provider needs to file claims in that method.

CMS has also heard from providers about the availability of accelerated payments, like those issued during the COVID-19 pandemic. We understand that many payers are making funds available while billing systems are offline, and providers should take advantage of those opportunities. However, CMS recognizes that hospitals may face significant cash flow problems from the unusual circumstances impacting hospitals’ operations, and – during outages arising from this event – facilities may submit accelerated payment requests to their respective servicing MACs for individual consideration. We are working to provide additional information to the MACs about the specific items and information a provider’s request should contain. Specific information will be available from the MACs later this week.

This incident is a reminder of the interconnectedness of the domestic health care ecosystem and of the urgency of strengthening cybersecurity resiliency across the ecosystem. That’s why, in December 2023, HHS released a concept paper that outlines the Department’s cybersecurity strategy for the sector. The concept paper builds on the National Cybersecurity Strategy that President Biden released last year, focusing specifically on strengthening resilience for hospitals, patients, and communities threatened by cyber-attacks. The paper details four pillars for action, including publishing new voluntary health care-specific cybersecurity performance goals, working with Congress to develop supports and incentives for domestic hospitals to improve cybersecurity, increasing accountability within the health care sector, and enhancing coordination through a one-stop shop.

HHS will continue to communicate with the health care sector and encourage continued dialogue among affected parties. We will continue to communicate with UHG, closely monitor their ongoing response to this cyberattack, and promote transparent, robust response while working with the industry to close any gaps that remain.

HHS also takes this opportunity to encourage all providers, technology vendors, and members of the health care ecosystem to double down on cybersecurity, with urgency.
