Structure of a Cover Letter

If you’re unsure how you’re actually going to write a cover letter, it can help to break the letter down into its various parts and concentrate on just one section at a time. Here’s what goes into each of the four main sections of a cover letter:

The Beginning:

This is where you tell employers who you are, why you’re writing , and how you heard about the organization or the specific opening. The “who you are” part is a brief introduction of yourself with a phrase like: “I am a senior at XYZ University graduating in May with a major in biology.” Just mention the basic facts about you and your situation, choosing the ones that will be most relevant to the employer. The “why you’re writing” part is where you mention which position you are applying for, or what your job ­objective is if no specific opening has been advertised. Then be sure to tell them how you heard about the organization or the job. You might say, for example, “I saw your posting for a Marketing Assistant at the Career Services on Career Jamaica.” Or, “I read about the expansion of your East Coast operations in the Jamaica Gleaner and am ­interested in ­discussing entry-level opportunities you might have ­available.”

The Middle:

1. The Sales Pitch

It’s best to get right to the point. The objective of this part of the letter is to list–either in paragraph form or as an actual list of bullet points–the reasons why the reader should see you as a viable candidate. It’s best to start with a statement that provides an overview of your qualifications, then go into them more specifically, using the examples you ­identified ­before you started writing. A typical opening statement might sound something like: “As a political science major and former campaign volunteer for the Liberal party, I offer the following skills and accomplishments.”

2. The Flattery

This is the “why them” section of your letter. It’s where you flatter the reader a bit by commenting  on something positive about the organization and letting them know why you would want to work there.

You might mention the organization’s reputation, sales record, size, corporate culture,  management philosophy or anything else that they take pride in. Prospective employers like  to know that you have chosen them for a reason and that they’re not just one of hundreds of  companies you’re writing to as part of a mass mailing. (Even if you are doing a mass  mailing, you must tailor each letter to “flatter” the reader and show that you’ve done some  research on that organization or that person.)

 The End:

A Request for Further Action

Some people think of this final section of a cover letter as the closing , but it’s much more than that . The closing paragraph isn’t just about thanking the reader for taking the time to read your letter or for considering you as a candidate for a job. It ’s also about where to go from here–about opening the door to fur ther contact . It’s where you suggest how to proceed, usually by saying that you will call or email the reader to follow up and see if a meeting can be arranged.

The important thing is to end the letter in an assertive, but courteous way by taking the initiative to follow up Once you’ve gotten these four sections of the letter completed in terms of content, go back and smooth out any rough edges of your writing and check for typos, misspellings and grammatical errors.

Then you’re ready for “Sincerely” or “Best Regards” and your signature,and you’re off and running on the road to a great job.

How to write an application letter that gets noticed — Pt 2

Dear Tabia:

As indicated last week, this second of our two-part response will look at the content of your letter as well as its layout and organisation.

Always bear your main purpose in mind, which is to get your résumé read and to generate sufficient interest that you will be invited to an interview. Pay keen attention to the requirements of the position. If a job description was not provided, do some research to find out what roles holders of similar positions played.

The key requirements usually fall under the headings: education and training, experience, specific technical and employability skills, and competencies. Your goal is to demonstrate that your qualifications and experience are a great match for this position. To do so you need to link the core dimensions of the job to your specific competencies and experience. Resist the temptation to give too much detail in the application letter.

In terms of organisation, take note of the following:

i. The layout should be full-block format.

ii. Structure your application letter with three or four core paragraphs.

iii. Be concise. The letter should be no more than one page.

iv. In the first paragraph, establish your reason for writing, identify the specific position you are seeking to fill or the area of service. Indicate how you became aware of the vacancy.

v. In the second and, if necessary, the third paragraphs you tell why you are interested in the organisation and show explicitly how your specialised training and experience would be a good fit for the position and how you will add value. Based on the themes of the job requirements, provide evidence of your ability to perform the job citing accomplishments from your training and experience. Save details such as name of organisation and dates for the résumé.

vi. In your final core paragraph, request an interview and indicate the specific action you will take and in what timeframe.

vii. Lastly, express appreciation for the reader’s time and consideration. End with a note of optimism.

viii. Include a formal complimentary close.

Bearing the above elements in mind, let your personality and creativity shine through. Resist the temptation to copy wholesale what others have written.

Start with your current/last employer. Insert name of employer, address, job title and beginning – end dates of employment. Avoid listing your duties for each employer. Instead, think about what you achieved for your employer at each job. Insert the achievements most relevant for the job you are applying for.

A   letter of application, also known as a  cover letter , is a document sent with your resume to provide additional information about your skills and experience to an employer. Your letter of application is intended to provide detailed information on why you are an ideal candidate for the job.

Here’s how to ensure that your application supports your resume, highlights your most relevant qualifications, and impresses the hiring manager.

Get off to a direct start.  In your first paragraph, explain why you are writing. Mention the job title and company name, and where you found the job listing. While you can also briefly mention why you are a strong candidate, this section should be short and to the point.

Offer something different than what's in your resume. You can make your language a bit more personal than in your resume bullet points, and you can tell a narrative about your work experience and career.

Application letters typically accompany resumes, so your letter should showcase information that your resume doesn't.

Make a good case.  Your first goal with this letter is to progress to the next step: an interview. Your overarching goal, of course, is to get a job offer. Use your application letter to further both causes. Offer details about your experience and background that show why you are a good candidate. How have other jobs prepared you for the position? What would you bring to the position, and to the company? Use this space to  emphasize your strengths .

Close with all the important details.  Include a thank you at the end of your letter. You can also share your contact information and mention how you will follow up.
