Current and Future Presentation Technology

The pace of technology development has increased dramatically over the last few years. How presentations are designed, built and delivered has also changed, with increased audience interaction, product demos, immersive slides and non-linear storytelling.

Presentations can take many forms, from small meeting room pitches to large keynote presentations launching new products. With the advances in  presentation software , we are no longer limited to basic PowerPoints; instead we have software such as Prezi, live  audience polling apps  and technology to practice presentations in virtual reality.

In this article, we look at how technology will change the way presentations are delivered and created, covering technology trends such as augmented reality and embedded 3D models.

Current presentation technology

1. html5 presentations.

With  HTML5 , you can build presentations without paid software such as PowerPoint and Keynote. HTML5 is very flexible and feature filled, allowing you to build beautiful presentations with it.

Although HTML5 requires some coding knowledge, companies and educational organizations have begun adopting this method of presentation creation.

Designers can now create life-like objects and customized visual environment with virtual reality and augmented reality, which audiences can interact with.

This would allow people watching the presentation remotely (e.g. during a keynote) to actually interact with the presentation by, for example, putting on a VR headset and being teleported inside the simulation which is being talked about.

3. Product demos

Product demos can be the heart of a presentation. Many of the largest and best known presentations included a demo (iPhone, Microsoft Surface Pro, iPad, Google Glass, etc.).

With improved streaming capabilities, demos are becoming more popular, with the presenter usually streaming the device screen to a larger projector so the audience can see what the presenter is doing.

Presentations nowadays adopt a conversational and interactive approach, instead of the audience just listening to the presenter for an hour. Often the presenter will ask questions of the audience and encourage them to get involved in the presentation, leading to higher knowledge retention rates.

1. augmented reality – enhance the world around you.

For some time now,  augmented reality has been used in presentations . As AR headsets improve in quality and reduce in price, we’ll see them being utilized much more in presentations.

Augmented reality can make static images and data come alive with animations and graphics. AR allows your audience to explore data, locations, stories and much more in a realistic way, putting them inside the story and presentation.

Imagine a product design presentation to directors of a company. Augmented reality allows the directors to visualize the product in the meeting room with them, where they can interact with it as they would the real product.

One limitation with this, particularly at large conferences, is that every audience member would require an AR headset – which currently cost several thousand dollars. The price will reduce in the future but currently this is a key limitation of the technology.

2. Virtual reality – teleport to a new virtual world

With over  100 million virtual reality users in 2018 , virtual reality (VR) has become a popular way to enhance people’s digital experience. Initially used for gaming, VR is expanding out into the training, collaboration and presentation sectors, where the audience can be teleported to a virtual world – an amazing way to tell immersive stories.

Studies have shown that visualizing a situation increases memory retention. In this way, VR will help audience members  retain what is being told , leaving them with a truly memorable experience.

As with AR, audience members can even interact with each other in the virtual world. Software such as BigScreen, AltSpace and Facebook Spaces have shown the power of group interaction, something that could be leveraged well for presentations.

Companies are already  experimenting with VR meetings  and presentations and will be very exciting so see where this leads – will it end up replacing Skype and other VOIP / video presentation software?

3D models have been used for years now but as a result of better accessibility with PowerPoint’s 3D functionality, presenters can show all the possible perspectives of a product to be designed.

This is an important development for Computer Aided Design teams and designers in general. Being able to present 3D models to colleagues and stakeholders in an understandable way is important for the review process.

4. A seamless presentation

The rapport between presenters, their audience and their presentation is crucial. Information being presented on the screen needs to correspond with the presenter’s body language and speech.

Devices such as  Leap Motion controllers  allow presenters to advance slides, control transition between slides or zoom slides by tracking hand, finger and muscle movements. This technology will become an important part of future presentations.

5. Audience interaction with your presentation

Technology will change how your presentation audience interact with the presentation, including how they ask questions, make suggestions, contribute to polls and discuss your presentation online.

Technology can allow anyone in the world to watch and interact with your presentation – future technology may even reduce the need to people to meet up in-person, with online and interaction tools being so powerful. Videos emerged as the clear winner in all our surveys. We ran these surveys on all our social handles and contacted successful speakers. 27.14% of all respondents prefer visual aids because they are easy to understand, can be paused during a presentation, and can trigger all sorts of emotions. That being said, it is also very tough to create good videos. However, more and more tools are available to help you create amazing videos without professional help.

Hans Rosling’s TED talk, titled ‘the best stats you have ever seen,’ is one of the best speeches.  He uses video for the speech ’s entirety while not diverting the audience’s attention away from him. He does all this while also bringing out some optimism for the world’s future. We highly recommend this TED talk to learn how to use videos effectively as a visual aid and inject some positivity into your lives during these trying times.

2. Demonstrations

Demonstrations, also known as demos, are undoubtedly among the most effective visual aids for communication. You can use demonstrations in two ways. One as a hook to captivate your audience. Prof. Walter Lewin was famous for using demonstrations as a hook during lectures. In his most famous lecture, he puts his life in danger by releasing a heavy pendulum to show that a pendulum’s period remains constant despite the mass. 

Demonstrations can also be used to show how some things are done or work. We use demonstrations to showcase how Orai works and how you can use them to improve your speaking skills.

18.57% voted for demonstrations because they are unique, interactive, up close, and have a personal touch.

3. Roleplays

Jokes aside, why do you think comedy shows are memorable? You guessed it right. Roleplays! Role – play is any speaking activity when you put yourself into somebody else’s shoes or stay in your shoes but put yourself into an imaginary situation! 

Nothing is more boring than a comedian delivering lines straight from a joke book.  Legendary comedians like George Carlin, Kevin Hart, Chris Rock, and Bill Burr use roleplays effectively and make a mundane joke genuinely memorable. 

Jokes aside, you can use roleplays in business presentations and speeches. Use real-life stories or examples in your role plays to make them authentic. 

15.71% of the survey respondents voted for roleplays because they are very close to real life and do not take the audience’s attention away from the speaker.

With 12.86% of the votes, Props is number 4. A prop is any concrete object used to deliver a speech or presentation. Props add another dimension to our speech and help the listeners visualize abstract concepts like vision, milestones, targets, and expectations. It ties verbal to visual. Introducing a prop into your speech or presentation should not seem forced. Use them sparingly to highlight your address’s most critical points or stories.

People voted for props because they feel 3D visualization is more useful than 2D visualization. Props will make your presentations stand out because few people use them today.

When we sent out the survey to the Orai community and some highly successful speakers, we were sure that slides/presentations would come out on top. However, we were surprised by the results. With 12.86% votes, slides are number five on our list.

Presentations are effortless to create and, therefore, the most commonly used visual aid in business communications. Today, dozens of software programs are available to help you make beautiful presentations. Microsoft PowerPoint is the pioneer in the space and holds a significant market share.

Whatever is your preferred software, you need to keep your audience at the center while making presentations.

People described the ease of creation and the ability to incorporate other visual aids when asked why they chose presentations as their top visual aid.

The inclusion of Audio in this list can appear controversial. But it got a significant vote share in our survey and cannot be ignored. Audio can add a new dimension to your presentations where the audience is hearing your voice and other sound cues that can trigger various emotional responses. Especially when coupled with other visual aids, audio can be a powerful tool for making impactful presentations.

7. Handouts

What is a handout.

A handout is a structured view of your presentation or speech that you can distribute to the audience.

What are the benefits of a handout?

Like how this blog gives more information than our YouTube video on the different visual aids, handouts can be used to furnish more information than your discourse itself. They give your audience something to take away after your presentation, making you and your presentation more memorable. 

Are you going to be speaking about something overly technical? Then handouts are your friends. Handouts are also an opportunity to facilitate follow-ups if you specify your contact details. 

Handouts are tied with whiteboards and got 2.86% of the votes in our survey.

8. Physical & Online Whiteboards

What is a whiteboard.

Traditionally, whiteboards are white, shiny, and smooth boards on which texts and diagrams are made using non-permanent markers. It is widely used in professional presentations, brainstorming sessions, and group discussions. Post-COVID, more and more companies are moving to online whiteboards. Online whiteboards are software that provides a space where individuals across the globe can collaborate online. Many companies have moved beyond the whiteboard and started using online whiteboards for meetings and discussions.

What are the benefits of a whiteboard?

A whiteboard helps listeners better visualize thoughts, concepts, and ideas. It is also a better alternative to the blackboard for a smaller audience as it is tidier and easier to use. Online whiteboards can be used instead of traditional whiteboards without being limited by space constraints. Online whiteboards will transform virtual meetings into a collaborative experience.

9. Blackboard

A blackboard (aka chalkboard) is a surface on which texts or diagrams are made using chalk made from calcium sulfate or calcium carbonate. Blackboards are typically used in classrooms for large groups of students.

With 1.43% of the vote share, the blackboard stands at the bottom, along with flipcharts.

10. Flipchart

Flipcharts consist of a pad of large sheets of paper bound together. It is typically fixed to the upper edge of a whiteboard or canvas. Flipcharts are easy to create and inexpensive fit for small groups of people.

Nowadays, everybody seems only interested in making presentations powered by computer-generated slide decks. However, the flip chart has its charm. Since most presentations consist of less than ten people, flip charts can be a refreshing change to the standard slide deck. Moreover, flipchart does not require electricity. No electricity and no software means fewer of those last-minute hick-ups.

What is AV & AV Technology?

AV is an abbreviation for Audio Visual, which is used to describe electronic media that possess an audio (sound) and visual (sight) component. AV technology refers to the actual equipment or tools that convey these components, such as lighting, projectors, speakers, and displays.

The Pre-Show: Audio Visual Equipment Considerations

While it might be tempting to jump right into the proverbial wires and plugs of navigating event audio-visual equipment, it’s not where you should start. To better understand what AV technology can do for your event, you need to know how you’ll get it all in, out, powered, and connected for use during the event.

Below, some common client scenarios and industry terminologies to familiarize yourself with AV equipment and related pre-show AV services:

Scenario 1: “We sent the exhibitor order form to the keynote speaker and discovered he needed another microphone.”

• Exhibitor Order Forms : While you undoubtedly have a vision for your event, remember that it isn’t a given that every presenter shares your exact idea of adequate audio-visual coverage. An exhibitor order form is essentially a list given to your speakers prior to an event, asking them what specific technology they’ll need to deliver a smooth, clear presentation to your attendees.

Scenario 2: “We’re planning the load in at 8 am, starting at the loading docks in the rear of the building.”

• Load In / Load Out : These terms refer to one of the most important aspects of setting up audio-visual equipment for an event – and believe it or not, they start before a plug ever finds an outlet. Physically moving in speakers, screens, projectors, and control systems at the right time and place is the effort that will keep your event on-track and on-schedule.

Scenario 3: “We felt pressured to use the in-house supplier , but went with a great third-party provider that had the colored LED light wall that we wanted for the big speech.”

• In-House Supplier / Third Party Provider : Many larger venues offer either an in-house audio-visual team or have a preferred provider ready to recommend if your event needs one. While there are benefits to both approaches, third-party providers – those that aren’t built into the venue – often offer access to more innovative technology solutions , as they aren’t restricted by the venue budget. The other side of the coin is that they may be less familiar with the venue and its capabilities – an obstacle that’s easy to overcome, however, with enough time for research.

Fine Tuning: Physical AV Components

It’s not all screens and wires – a complete event audio visual setup requires a lot of support of the physical variety as well. Depending on the height, width, and power capabilities of a given venue, you might require all of these elements to have adequate AV coverage for your audience. Read on to learn more about the subtle nuances of physical AV components:

Scenario 1: “When we needed the sounds of the video to reach the back of the auditorium, suspension rigging for the speakers helped our team achieve better acoustics for the entire room.”

• Rigging : You’ve probably heard of this word in conjunction with ropes or sailing ships. In an AV context, it points to the equipment providers rely on to suspend components, such as projectors, microphones, speakers, or lighting , from the ceiling of a venue or room. Most large-scale setups will need some sort of rigging, so be sure you have information about maximum ceiling height or load-bearing weight to pass on to your audio-visual services provider.

Scenario 2:  “The trusses gave us the ability to make a “backstage area” right on stage so the presenter could line up her various props out of the audience’s line of sight.”

Now is an important time to remember that your attendees aren’t just interacting with audio-visual technology in sit-and-watch sessions, speeches, and classes – they’ve all come with their own technology, such as smartphones, tablets, and laptops, ready to hashtag, post, and share. The better they’re able to use those tech tools, the better your event will look to potential attendees for next year’s event on social media. Leverage the latest technology that’s available and take your event to the next level. Below, a glossary of the tools of the trade to keep top of mind when orchestrating your next corporate event:

Scenario 1: “When the speaker suggested session attendees bookmark her website mid-presentation, the audience was grateful that the event’s sponsored WiFi gave them fast access to the page.”

• Sponsored Wi-Fi: All of those attendees need to be able to access the internet in order to post, visit websites that speakers suggest, and so on. Sponsored wifi gives them that option and gives you a valuable chance to share your own brand or sell placement for another at the same time. Not all venues have this capability, so be sure to check your en masse internet options well before your event to avoid unpleasant breakouts of “low bars syndrome” and frustrated guests.

Scenario 2: “We couldn’t find a flight out to the conference, but thanks to live streaming from the session, we were able to watch the once-in-a-lifetime interview from our favorite author from our home computer.”

• Video Conferencing / Live Streaming : Advances in audio-visual technology for events have enabled organizers to reach bigger audiences than ever before, even if they aren’t physically present. “Streaming” technology refers to combinations of components that record and broadcast a live feed or audio and video to the internet as it’s physically happening elsewhere. This can be used to send out an event session to members across the world, or to bring a guest speaker onto an event screen for a local audience if he or she is unable to physically attend. Holding a video conference allows participants from all over to communicate with each other in real-time through sound and vision. Some events even use these methods to monetize their sessions by streaming individual informative sessions and offering certification classes afterwards.

Scenario 3: “She had a great question for the presenter, but she should have had a wireless microphone because the back rows couldn’t hear what she was asking.”

• Wireless Microphones: While this term is a little self-explanatory, many event organizers incorrectly believe that individual presenters and speakers are the only ones that need wireless microphones. Audience interactions drive engagement at events, so in addition to the familiar tiny mic clip / battery belt clip combinations, be sure that you have a wireless microphone option that can be passed through the audience for questions and comments that all can listen and respond to. Encouraging communication from both sides is extremely important for engagement and collaboration.

The Main Event: Audio Visual Equipment Done Right

Now that you’re set up and connected to your audience, it’s time to “seal the deal” with an above-the-bar AV presentation. Crisp, clear images that put every PowerPoint slide in the spotlight, and audio that’s loud enough to hear – but not so loud that every ‘S’ sounds like snakes have escaped from the podium.

While there is no universal list of settings to ensure perfection at every event and every venue, there are a few areas of focus that you can’t afford to overlook when it comes to your AV event setup:

Scenario 1: “When the older screen only offered a 4:3 aspect ratio and the presentation was displayed in 16:9, the attendees seemed to stare more at the ugly black bars than the speaker.”

• Aspect Ratio: These numbers, typically presented in an X:Y format, correspond to the proportion of a screen’s width to its height. In other words, if the ratio of your projectors doesn’t match up with the screens they’re projecting on, you’ll either get an image that will have black bars across the top and bottom, or along the sides of the image or video. Either way, it paints a distracting picture for the audience and could potentially cause the message to be lost in proverbial translation. Make sure to adjust either component accordingly to make certain your displays look professional and clear.

Scenario 2: “The clarity offered by HDMI cables is the difference between a clear, high-definition movie played on a flat screen and the same movie played on a grainy, old-fashioned television.”

• HDMI: Most people are familiar with this acronym from home television and computer monitor hookups, but it’s especially important during large-scale events. Short for High Definition Multimedia Interface, HDMI cables and ports are the go-to for all professional display and sound needs in the event sphere. In addition to the cables and connectors that will come with your audio-visual provider’s equipment, make sure to keep dongles and adapters on hand for common devices so your presenters always have a ready AV solution for displaying or playing files.

Scenario 3: “The speaker was able to relax and connect with the audience because he knew he could rely on the audio visual technician to follow the cue-to-cue faithfully.”

• Cue-to-Cue / Run of Show: Your AV team needs to know when to cue up lights for presenters, when to start and stop certain AV aspects like music or video, and sometimes even when to change PowerPoint slides. A cue-to-cue or run of show script lays out each change in an easy-to-follow format so that your session presenters and keynote speeches look polished and professional.

Scenario 4: “Thankfully, the nervous performer was able to reassure himself that his tie was on straight with a quick glance down at the confidence monitor on stage.”

• Confidence Monitor: This unique piece of audio visual for events is one of the few that isn’t set up with audience consumption in mind. This small screen is typically mounted flat or at a slight angle on the front of a stage, facing the performer or speaker. Through the use of Image Magnification (I-Mag), it allows him or her to get a quick glance at what they look like to the audience, allowing them to adjust accordingly – clothes, facial expressions, gestures, and so on – if needed. Additional uses of confidence monitors is to display presenter notes, or the master PowerPoint slides so that the presenter needn’t turn around to see what is on the screens.

Timeline The Innovation-Decision Process

Knowledge Stage • Stimulates interest • Provides small group and whole group interaction • Fosters collaboration and sharing of work. Fosters“real life” experiences

Persuasion Stage What are some ways a visual presenter can be used in a Classroom? • show a picture or chart from a textbook • share examples of student writing • show artifacts such as buttons, fossils, seashells, plants • show live science experiments • capture pictures from a textbook that can then be imported into PowerPoint.

Decision Stage • How are visual Presenters Making a difference? • In this video clip a teacher was ask to utilize the visual presenter for a day, instead of traditional equipments. • Share successful stories of its implementation.

Implementation Stage Teachers will be given professional development in using the visual Presenter . Best practices I its usage will be shared during team meetings, using video clips of the teachers who are implementing it in their classrooms.

Confirmation Stage How can we measure its effectiveness? • Students and teachers will integrate it in their lessons. Pre and Post Benchmark tests will be executed to determine growth. • Teachers and students will be surveyed on its usage and effectiveness, using questionnaires. These questionnaires will be given three times per year. Beginning middle and end.
